The Role:
The Office Manager and HR Admin will be responsible for overseeing onboarding, health & Safety and human resources functions pertaining to all employees. The role holder will also be responsible for maintaining the office space, administration and any related governance. This role will provide administration support to the Board of Trustees and act as Company Secretary to the Trust.
Responsibilities:
Office:
- Develop and implement office policies and procedures to ensure smooth operations and compliance with company standards.
- Ensure the office space meets all Health & Safety regulations, including correct up-to-date H&S information made available to staff via noticeboard or similar.
- Owns and maintains positive and productive relationships with property management and third-party vendors and is point of contact for the building management team in case of any issues and for building information sharing.
- Perform other administrative or office-related duties as required to support the effective running of the organisation.
Health & Safety:
- To assume the role of the Health & Safety Officer.
- Responsible for all Health and Safety matters, ensuring that up-to-date legal requirements are met and put in place to ensure the Charity meets the criteria for the yearly Health & Safety assessment.
- Liaise with building management, contractors, and suppliers and escalate any risks or issues as appropriate.
- Provide up to date information and documentation to the team confirming First Aiders and Fire Wardens, ensuring this information is kept up-to-date on SharePoint, in the office and relevant documentation
- Attend training regularly as necessary in keeping with any new legislation.
Human Resources:
- Assist with the recruitment process, including posting job openings, scheduling interviews, and coordinating candidate communication.
- Create and maintain employee HR accounts.
- Onboard and offboard employees adhering to correct processes & procedures, ensuring payroll and benefits information is shared with respective external companies.
- Responsible for sharing all updates relating to new employee training and employment law updates.
- Responsible for ensuring correct relevant policies are in place and filed away correctly.
- Working alongside the legal team to instigate and resolve any employment disputes.
- Responsible for the Charities' insurance renewals & cost reviews, ensuring adequate cover is always in place.
- Keeping up-to-date with employee benefits, reviewing the team’s needs and providing a plan of any recommendations.
- Managing the in-house learning portal and ensuring all employees training is up to date and relevant.
Company Secretarial:
- Administrator to the Board of Trustees.
- Field and action all incoming emails relating to the Charity Commission and Companies House.
- Provide support to ensure all submissions are made ahead of deadlines and recording of tasks in the allocated SharePoint areas.
- Coordinate and schedule all Trustee meetings ensuring all documents are returned ahead of deadlines.
Skill set requirements:
- Proven experience as an Office Manager or similar senior administrative role.
- Excellent organisational and multitasking abilities, with a keen attention to detail.
- Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) SharePoint and other relevant software applications.
- Knowledge of HR processes, resourcing, and Health & Safety regulations is desirable or the willingness to train in these areas.
- A proactive and adaptable approach to problem-solving and decision-making.
- This role requires a proactive individual with excellent organisational, communication, and leadership skills.

KEY ACCOUNTABILITIES

At Ambitious about Autism, we're currently looking for an Interim Deputy Director of External Affairs to join our team on a 9 month FTC.
While this role covers all our External Affairs functions, you'll be particularly expected to have knowledge and expertise in providing leadership in policy-influencing and campaigns. You'll provide leadership of AaA's External Affairs strategy to ensure the needs of autistic children and their families are high on the political and media agenda.
You'll have an externally-facing role in policy influencing, representing AaA in coalitions with relevant government departments among parliamentarians, as well as increasing AaA's profile through an effective communications strategy.

- Substantial experience, knowledge and understanding of the policy landscape, including political and legislative processes, and local government structures and processes
- Extensive experience of developing and delivering strategic, integrated communications programmes

We have an exciting opportunity for a Clinical Team Manager to work with an innovative and friendly multidisciplinary team at our purpose built London Centre and gardens. You will manage and coordinate a team of highly skilled and dedicated clinicians, in the service delivery of a range of NICE guideline recommended therapy interventions, offered to our clients, who are survivors of torture and organised violence.
You will report to the Head of Clinical Services, London and operate as an integral part of the London Clinical Services Team. This is an exciting chance to join us as we place survivor empowerment and movement building at the heart of our four year strategy, and work together to increase the number of clients who can access our services. It is based in a centre specifically designed to be a safe and welcoming environment for survivors and includes gardens and growing facilities.
About the role
This is a wide-ranging position, and your key areas of responsibility will include:
- To manage a multi-disciplinary team, including paid staff and volunteers from different professions and disciplines and provide professional and clinical supervision to qualified clinicians and trainees in the service including, clinical/counselling psychologists. This role may also include providing remote clinical supervision to clinicians in our other regional centres (North West England and Scotland).
- To ensure that Freedom from Torture's clinical model continues to be fully rolled out, with particular emphasis on survivor empowerment and evidence-based practice for addressing PTSD and other mental health impacts of torture.
- Championing people development as well as influence delivery of evidenced -based practice, clinical standards, quality initiatives and audit based services.
- To formulate and negotiate psychological treatment and management plans for referred clients and to provide psychological treatment for a small caseload, using a range of specialist psychological interventions appropriate to the service in line with the new clinical model "Pathways" (drawing on a range of evidence-based models for the presenting problems of the clients).
- Being an effective role model and leader to encourage, develop and enhance skills of others.
About you
This is an important role within Freedom from Torture. To be successful in this role you must have a high level of commitment to maintaining excellent standards of client care and service delivery. It is a key requirement that you must have knowledge of appropriate clinical standards and external regulatory bodies. You must also have sound financial awareness and experience of balancing the provision of quality care against budgetary parameters.
To be considered for this role you must be a Psychologist registered with HCPC and have qualified with a doctorate or equivalent in either clinical or counselling psychology. You must have professional experience of working with clients with complex PTSD and have post-qualification experience of using evidence-based trauma focused therapy models. It is essential that you have a clear understanding of the experience of refugees and people seeking asylum, both in terms of pre-flight experience and the experience of living in exile. You must have previous management and supervision experience and be able to provide demonstrable examples of how you have successfully led and influenced clinical teams within community or health care settings.

Purpose of the role
The Production Manager plays a key role in delivering all aspects of the production process, coordinating all production activities and operations on time and within budget.
