Trusts and Grants Fundraising - Tasks and Responsibilities
- Research and identify new trust and foundation prospects.
- Draft and submit high-quality funding applications and reports.

Events Support
- Help coordinate logistics and communications for fundraising events.
- Track income and pledges from events like the Annual Lunch.
- Support with ticketing, invoicing, and donor follow-up.
Collaboration and Compliance
- Work closely with colleagues across fundraising, finance, comms, and operations.

The Role
The key purpose of this role is to together with the EA to the Vicar provide day-to-day support for the running of the Vicar’s Office and in particular for the Vicar (Archie Coates) and the Senior Leader (Sam Coates). The role also provides light touch support and diary management for the HTB Group COO and the HTB Group Chief of Staff.
The Key Responsibilities
Listed below are the key elements that the role holder will be accountable for delivering:
To support, help and advise the senior team in professional and personal matters by:
- Prioritising and actioning daily tasks, operating as a two-way channel of information and communication; action or delegate requests and tasks to the team/ organisation where appropriate, and then report back to the senior team. This may also involve acting as a liaison between the senior team and the wider organisation ensuring strong communication both ways.
- Organising and maintaining diaries.
- Acting and speaking on behalf of the senior team. This includes oversight of inboxes, letter correspondence and phone calls.
- Ensuring that the team have all they need, in advance, for talks, presentations, meetings, trips, etc and freeing them of all unnecessary administration, phone calls, interruptions, etc.
- Providing support to the vicarage for hospitality of meetings and events and other personal matters (including catering for occasional evening meetings e.g. PCC).
- Carrying out specific projects, research and administrative tasks.
- Receiving requests from internal and/ or external contacts, filtering and then delegate or address these as appropriate.
Major event support: An active role in certain aspects of events; and keeping the Vicar’s Office function and team, and the Coates’s operating while being offsite for Focus and other key events.
Special Services Coordinator:
- Coordination and oversight of baptisms across the services at HTB.
- Assistance in coordinating weddings and covering for funerals when the Weddings & Funerals Coordinator is away.

The Operations team forms the bedrock of the charity and this new role offers considerable room for growth and development.
Working with the wider Operations & Impact team, you will lead on managing the tech [SS1] and office environments, taking ownership of the relationships with key external suppliers, ensuring that the team has the support and equipment they need to do their best work.

We are Chance to Shine: a children’s charity dedicated to harnessing the power of cricket to transform the life prospects of young people in the UK.

2. Purpose of the Role
We are looking for a full time (37.5hrs per week) Executive and Office Assistant to support the Finance and Resources team at Chance to Shine. The Finance and Resources team provide day to day support to all departments in the charity and trading subsidiary, Chance to Shine Enterprises Ltd, around finance, office, governance, HR and general administration. The role is expected to be largely in person in our central London office.
3. Key Responsibilities
The Executive and Office Assistant’s responsibilities are in three areas:
Office Administration:
· Act as ‘front of house’ for visitors and guests and be first point of contact for telephone enquiries and ensure the office space is fully operational.
· Monitor the charity inbox and respond to general enquiries.
· Oversee and monitor the Office and Administration budget.
· Liaise with the office landlord, regarding the general office space, car-parking, meeting rooms and staff access.
· Help manage offsite storage space.
· Administer IT support processes, first point of contact for IT support issues and managing IT supplier contracts; and administering staff IT requirements.
· Maintain up to date shared document area on sharepoint.
· Act as Health and Safety Officer responsible for all Health and Safety matters, and attend training as necessary.
Executive Support
· Support the CEO and Senior Management Team (SMT) on organising and following up internal meetings, Board meetings and company wide initiatives.
· Provide governance support to the CEO, Director of Finance and Resources and Trustees.
· Take the minutes/key actions of Board and Committee meetings.
· Support on the onboarding and induction of new Trustees.
· Maintain Trustees’ register of interest.
· Deliver ad hoc administrative support for the CEO and Finance & Resources Department.
· Ad hoc support at Chance to Shine events, such as fundraisers, media events and competitions.
HR Support
· Administrative support to the HR Manager for HR processes, including drafting letters, maintaining employee records and recruitment processes.
· Support the induction of new employees to CTS.
· Support the HR Manager with administering staff benefits, organisational training and annual appraisal process.

About the Role

About The Role
We have an exciting opportunity to join the South East Rivers Trust's Finance and Operations Team. We are a small dynamic team, sitting at the heart of the organisation. The role reports directly to the Finance Manager and will provide support in administering all financial controls and processing for the organisation. The successful applicant will come from a financial background with a strong understanding of financial principles, an accounting qualification and proficiency in Excel. They will have experience in bookkeeping, reconciling accounts as well as dealing with banking, grant applications and expenses.
The role would suit an individual, who is approachable and organised, with excellent attention to detail, able to work on their own or as part of a team. The role involves liaising and following up with all teams to ensure the data provided is accurate and timely, to support grant applications, payments and audit requirements.
To be successful, they will need to be able to multitask, be proactive and have excellent communication skills, following up and advising staff across all teams. They will need to have a positive attitude, and willingness to assist the whole team with other administrative tasks as and when required. This role is predominantly working from home, with at least one day per week, (on a Thursday), working in the office in Leatherhead.

We are seeking a part time Project Assistant to work with the Project Coordinator, who leads the project on a permanent basis. Min 6hrs over 3 evenings per week and occasional management meetings outside of the shelter. This would be initially shadowing the Project Coordinator at the different shelter venues and then independently and unsupervised attending venues supporting venue convenors and their volunteers. The hours will include weekends and bank holidays.
Purpose of Job:
· Supporting the Project Coordinator in managing and coordinating the Night Shelter to ensure that all venues give a consistent service to all homeless persons accepted into the shelter, i.e., its guests.
· Standing in for the Project Coordinator in supporting shelter convenors and their volunteers on two evenings per week after initial induction.
· Assisting the Project Coordinator in providing advice and support to help each guest work through the challenges they are facing, recognising that homelessness is often a result of complex and multiple problems.
Responsibilities:
In close consultation with the Project Coordinator to:
· Liaise with the Host Venue Co-ordinators to ensure timely communication and information, particularly in maintaining the Shelter Log Book, to enable the smooth running of the shelter.
· Support guests who are using services for welfare, legal, debt, housing and other specialist issues, where necessary.
· Engage with vulnerable people in a sensitive, empathetic and professional manner.
· To assist in maintaining detailed case records ensuring all sensitive data is adequately protected and handled.

As part of the team that works across UCB, the HR & Finance Assistant provides support to the HR team and Finance team, making this a stimulating and fascinating job! In this role you will be providing administrative assistance plus supporting staff wellbeing by conducting regular DSEs, updating PEEP plans, replenishing First Aid Boxes, etc., giving you the opportunity to interact with all the teams that comprise the UCB community.
We know that you will have strong administration and organisational skills and demonstrate how important attention to detail is. Your collaborative approach to working and the ability to prioritise a busy and diverse workload will be a must as part of these teams. Your great verbal and written communication skills will ensure that we serve our internal and external customers well, and you will need to demonstrate tact and diplomacy alongside accurate reporting.
Working 4 days per week, you will work across our Broadcast Centre in Hanchurch and Operations Centre in Burslem, both of which are in Stoke on Trent.
