The Events Officer will support the Events Operation Manager in delivering the smooth running and operation of the Aga Khan Centre facilities and events. In this context, he/she will manage the daily set up, servicing, cleaning and management of meeting rooms and Board Rooms for a range of events. Duties include preparation and setting out of all refreshments for meetings and events.
The role requires the ability to work flexibly in terms of working hours including late hours and Saturdays and Sundays if required to support and accommodate events.
Meetings & Events
• Support the team with setting up meeting rooms for internal and external users, including organising tea/coffee trolleys and serving meeting room lunches
• Liaison with clients/bookers/stakeholders via email, by phone and face to face
• Creation of event agendas/function sheets/transferring all information from the organiser to capture event requirements
• Liaison with event suppliers (Catering, AV, Entertainment, Florist Etc.) on behalf of the organiser
• Using function sheets to manage and set up rooms and areas, ensuring any food and beverage requirements are met in a timely manner and utilising the appropriate suppliers
• Ensuring rooms are set up according to bookings
• Meet and greet organisers for each event allocated
• Offer and conduct site visits with event organisers
• Administration: responsible for all administration duties relating to meetings and events
• Oversee each event allocated and stay onsite throughout, as, and when required as directed by the Events Operations Manager

Customer Care
• Providing excellent customerservice to guests and stakeholders
• Liaise with all events clients (internal organisations and external), being the main point of contact to plan and organise from start to end their events, researching the most adequate spaces, negotiate prices, quotes for large meetings, VIP events or large events, adapting to any budget. On the day of the event, being the main point of contact and responsible for putting all the teams together (building maintenance, IT) for a smooth event delivery on the day
• Liaise and maintain a relationship with the volunteer core of the ismaili community and coordinate requirements for specific meetings/large events
• Maintain and extend upon relationships with the 3 different organisations based in AKC
• Oversee and coordinate derigging for all meetings and VIP events invoicing and ensuring all the payments are made
• Liaising with clients for feedback
• Supervise and manage different contractors such as cleaners, catering, hospitality agency staff, AV, reception, or volunteers
• Day to day manage and train Events Assistants to ensure maximum utilisation of the resource

General
• Support the Building Manager and Events Operations Manager to ensure the day-to-day cleanliness and tidiness is maintained to a high standard
• Ensure the cleaning contractors maintain clean board rooms and meeting rooms as well as kitchens and equipment
• Carry out cleanliness checks and walk rounds, ensuring the areas of responsibility are clean and stocks are replenished as necessary
• Manage the clearing, turn around and set up of meeting and seminar rooms as required
• Send a tracker of events every fortnight reflecting meetings and events updates to key events people in the building institutions
• Work with the Events Operations Manager to monitor health and safety, sanitation, and food hygiene standards
• Assist Events Operations Manager with the monthly Service Data report for the Property Committee
• Work closely with the Events Operations Manager, Reception, Security, buildings management team and users to provide a seamless and positive experience
• Work closely with the volunteer service team who provide hospitality support for events at the Aga Khan Centre
• Oversee the cleaning team to ensure the inventory for the kitchens and pantries is stocked and managed daily

Administration

Cover Support

During cover period, you may be required to open and close the patient

The Events & Enterprises Assistant will be expected to work within the diverse and inclusive ethos of Southwark Cathedral. Role Overview
The Events & Enterprises Assistant is an exciting role offering both administrative and practical support to the Cathedral and its trading company Southwark Cathedral Enterprises Limited (SCEL). The post-holder will provide key administrative support to the COO, who is Company Secretary of SCEL, as well as giving broad practical support to the Head of Events to help deliver the special events and commercial meeting-room business.
The post-holder will provide support to the Head of Events in the delivery of a colourful programme of special events in the Cathedral space. Each year we hold a number of private parties, dinners and fundraising events as well as concerts, memorial events and carol services. The Head of Events holds the responsibility for converting special event enquiries into confirmed visits, relationship management and this post will share event management ‘on the day’, to ensure the smooth and safe delivery of often complex largescale events. Most often working one year ahead of the event, the post-holder will provide administrative and operational support for preparations and the delivery of the events by completion of operational notes, RAMS or similar.
Additionally, the Events & Enterprises Assistant will be responsible for the effective day- to-day management of commercial bookings for the Cathedral’s meeting rooms. Our conference business, comprising three main meeting rooms of varying sizes, has a wide client base drawn from the commercial, government, charity and national health sectors and many of the bookings are repeat business. The meeting rooms have an excellent reputation and are popular with clients and for managing the clients’ experience from initial enquiry to final invoice. The post-holder will provide a welcome to clients on arrival, 3 ensuring that their room, IT and catering specifications have been met and manage their requirements during their stay.
They will also work closely with the Marketing & Communications Manager on communications campaigns which are relevant to the Cathedral’s conference and special events business activity.
The post-holder will support the work of the Board of Enterprises by organising the annual schedule of Board meetings – booking meeting rooms, setting up technology and refreshments on the day, attending and minuting meetings and acting as a point of contact for members of the Board. They will also support the Cathedral’s COO in their role as Company Secretary of SCEL - assisting them with correspondence, meeting arrangements, collation of papers and drafting reports for meetings and liaising where necessary with the finance team.

About the role:
This role is expected to provide remote evidence site administrative support at Caerleon police station as required alongside supporting the local service delivery team. About the role
The Administration and Facilities Assistant role at Crisis Skylight Croydon is varied and fulfilling. Summary of the role:
The International Programmes Department (IPD) is a busy, multi-functional team at the heart of the work of Muslim Aid in the UK and internationally.
The Global Programmes Assistant reports directly to the Global Programmes Manager and will primarily be responsible for providing support functions to the International Programmes team. Gaddum provides therapeutic support within the CYP Bereavement Therapy Service and the Complex Care Therapy Service across Greater Manchester. Our CYP Bereavement Therapy Service is delivered across Manchester and Salford. Our Complex Care Service is delivered across Salford, Rochdale and Stockport. Our Kentown Support Service will be delivered across Greater Manchester.
Role Purpose:
Working as part of the Gaddum CYP Bereavement Therapy and Complex Care Team, your role will be to provide effective and efficient administrative support to ensure the smooth running of Gaddum’s therapy services. You will be responsible for ensuring that all administration tasks are completed with a high level of accuracy and in accordance with relevant policies and procedures.
You will demonstrate appropriate professionalism and empathy towards clients both face to face and over the phone. A keen eye for detail, excellent organisational skills, and the ability to multi-task and effectively prioritise is key to the success of this role.
Main Duties and Responsibilities:
· Processing referrals: adding them to our database as well as our waitlist spreadsheet, sending out therapy agreement emails to gain consent from families, communicating with referrers/other professionals where needed
· Screening referrals: for any unsuitable or high-risk cases, identifying those 16+ to help us build list for trainees
· Completing follow ups where needed - such as awaiting carer response to agreement/consent email, or we are waiting to hear back about something
· Responding to queries from professionals or service users
· Monitoring email boxes and supporting to monitor waitlist
· Completing IA’s with families who are due to start therapy
· Assisting with therapy bookings where needed (may be contacting schools or community venues on behalf of therapists)
