About the role:
- Providing administrative and secretarial support to the OD in performing his/her role, acting as a point of contact both internally and externally in the OD’s absence.
- Key point of contact both over the telephone and in written communication for the Regional office.
- Establish and maintain appropriate administrative systems, records and filing systems on behalf of the Region, arrange and minute meetings, producing letters, reports and other documents as required.
- Ensure the provision of all supplies including adequate stationery, furniture and office equipment, reporting any defects.
- Supervise the office I.T. system including the storage of documents, setting up directories, regular backups, reporting any faults, following the Dimensions' procedures.
- Support the Regional Management team in recruitment activity as required, liaising with the Resourcing team to ensure efficient and effective recruitment processes are achieved.

Friends of the Holy Land has a small network of volunteer supporters around the country and an expanding number of financial donors. Financial Controls

What would we like…?
Do you have a track record of delivering accurate, reliable, administrative and project support in a fast moving environment?
We are looking for someone with experience of working in a collaborative way to join the Marketing and Brand team as Project Administrator on a 12-month fixed term contract basis. You'll support the day-to-day running of the team by providing effective administration and project planning.
This role is varied and the successful postholder will be responsible for scheduling external and internal meetings, liaising with key internal and external stakeholders, preparing reports, setting agendas and minute taking for meetings and financial administration. You'll also work with the Project Lead to provide project support to achieve implementation of key improvement projects.
We would like you to:
- Support the Marketing and Brand Director and Project Lead with managing project workflow (for example task tracking, updating and delegating tasks), sourcing and collating feedback and reporting as required.
- Manage the Director Marketing and Brand’s diary including booking meetings, setting and minute-taking for key meetings.
- Organising regular team meetings and events such as away days (booking meeting spaces, agenda, refreshments, liaising with attendees, etc)
- Process our credit card costs and keep our budget tracker updated.

Skills, Knowledge and Experience
To succeed in this role you'll have an helpful attitude, with the ability to take initiative to lead or support on projects as required, and you'll identify opportunities to improve operations. Our ideal candidate will have the ability to manage multiple, competing demands, prioritising as appropriate.
Whilst an interest in Marketing and Communications is desirable, it is not essential for applying to this role. Rather, you'll have proven experience of minute taking, preparing reports and PowerPoint presentations.

The Upper Norwood Library Hub (UNLH) provides lifelong learning & opportunity for local communities & design inclusive spaces for learning, wellbeing & the arts that support local communities & protect & sustain libraries. UNLH sits on the cusp of 5 London Boroughs (Croydon, Lambeth, Bromley, Southwark & Lewisham). Our professional library service is delivered by Lambeth Council, co-funded by Croydon Council; working in close partnership with the library & Council teams. We work in close partnership with library services, statutory & voluntary sector partners, connecting us to multiple communities & deeply rooting us into the heart of South London. Our library hub operates a co-created community programme focusing on sharing & learning, health & wellbeing, venue & performance & outreach activities. UNLH is managed by the Upper Norwood Library Trust (UNLT - an independent charity), formed in 2012 by local residents & a strategic priority is that we are ‘of’ our community not ‘for’ our community to ensure resident voice is central within the organisation.
We are seeking and experienced administrator to join our team. You will be responsible for the range of administrative tasks across the charity - facilities, visitor support, projects, HR & finance.
Our successful candidate will have excellent planning and organisational skills. They will demonstrate meticulous attention to detail, and be highly efficient as well as very flexible.
We’re seeking someone who is highly proactive and capable of working with, and across, a range of people – inside and outside of UNLT. The roles success depends on delivering competing priorities and projects to different deadlines. This means we’re looking for evidence of well-developed skills in communication (oral and written), negotiation and persuasion.
This is an interesting and varied role, with responsibility for many different areas of governance & service delivery. It is an excellent opportunity to gain hands-on experience and understanding as to how a small charity like UNLT operates.
