Overall purpose of role
The Administrative Support Officer will play a vital role in ensuring the smooth and effective day-to-day running of WeProtect Global Alliance. Reporting to the Deputy Head of Operations, this new role provides wide-ranging support across administration, finance, HR, and team coordination, ensuring that internal processes run efficiently in a dynamic, remote working environment.
Key Responsibilities
Administrative and Operational Support

Provide general administrative support to the Secretariat, including correspondence, maintaining organisational records and policies, and managing virtual offices.

Schedule and coordinate Board and FRAC meetings, including preparing materials and accurate minute-taking.

Support the organisation of retreats, away days, and staff travel, as well as managing the Monday meeting rota and staff engagement activities.

Order equipment, business cards, and other items for staff as needed, and maintain the fixed asset register.

Provide ad-hoc support to the Communications Lead, assisting with administrative tasks, coordination, and document preparation as required.
Finance and Contracts Administration

Support financial processes by coding and processing invoices, expenses, and receipts, assisting with monthly financial consolidation, and coding income allocations.

Provide support with audits (UK and Stichting), intercompany transfers, payroll variance checks, and day-to-day banking.

Assist with contract administration and supplier relationships, including account management (e.g. CloudTech24, Signeasy).

Support payment approvals and processing in Telleroo, and contribute to accurate record-keeping for budget and compliance purposes.
Staff and HR Support

Support recruitment processes, including the administrative aspects of staff onboarding and offboarding.

Assist with payroll payment processing, insurance management, and HR compliance for UK and Irish staff.

Team Coordination and Events Support

Role Overview
Reporting to the Senior Technology Advisor, the Salesforce Administrator will play a crucial role in the successful implementation, development and ongoing support of the new Salesforce system and structure across our network.
Key Responsibilities
- Administer and configure Salesforce, including workflows, Flows, fields, page layouts, record types, dashboards, and reports.

Role Purpose:
Working as part of the Gaddum CYP Bereavement Therapy and Complex Care Team, your role will be to provide effective and efficient administrative support to ensure the smooth running of Gaddum’s therapy services. · Processing referrals: adding them to our database as well as our waitlist spreadsheet, sending out therapy agreement emails to gain consent from families, communicating with referrers/other professionals where needed
· Screening referrals: for any unsuitable or high-risk cases, identifying those 16+ to help us build list for trainees
· Completing follow ups where needed - such as awaiting carer response to agreement/consent email, or we are waiting to hear back about something

About the role
The Administration and Facilities Assistant role at Crisis Skylight Croydon is varied and fulfilling. As the Administration and Facilities Assistant, you will assist with the day-to-day administrative tasks, health and safety and facilities management of a busy Skylight centre ensuring the smooth and efficient running of the office and member areas. You will assist with purchasing, stock control and deliveries as well as liaising with contractors. You will use internal systems to record client information. You will also help promote the Skylight internally and externally by collaborating with others and producing impactful designs.
About you
- In this role you will need excellent written and verbal communication skills and be competent using Microsoft applications including Excel.
- You will have experience of supporting a team in an administrative role with proven organisational skills.
- You will have excellent interpersonal skills, possessing the ability to develop and maintain excellent working relationships within the team.
- You will be confident in financial matters such as administering petty cash and raising purchase orders.
- You will have an interest in facilities management and health and safety.
- You will have the ability to undertake manual handling tasks and to support with processing and storing deliveries.

Carers Manchester is a partnership of Statutory and Voluntary Sector organisations who work together the plan, enhance and deliver advice and support services for unwaged carers in the city. Through working together, the Carers Manchester Pathway is in place, which supports carers being able to access the right advice and support at the right time in their caring journey.
Gaddum plays a key role in managing the development of the Carers Manchester Pathway, in supporting a network of voluntary sector organisations, ensuring that the carers voice is heard in everything that we do and delivering a Carers Helpline.
Following the recent award of an extension to our current contract we are looking for an administrator to support us in managing a number of workstreams which will enhance the provision of services for unpaid carers in the city.
Main Duties and Responsibilities
Amongst the core tasks in this role will be to:
- Arrange and take minutes of a number of Carers Manchester meetings.
- Support the delivery of a number of projects and workstreams co-ordinated by Gaddum.
- Take responsibility for receiving and inputting data into databases and spreadsheets.
- Provide an initial point of contact for carers and professionals contacting our services.
You could be the person we are looking for if you have:
- Excellent IT skills.
- Ability to collate and input data onto data management systems.
- Experience of working within an administration function.
- Have excellent verbal and written communication skills.
