The Development and Alumni Office (DARO) exists to support the University of Birmingham's academic and student community by engaging, inspiring, and celebrating alumni, individuals, and charitable funders who give their money, time, and networks to support the University’s strategic priorities. The Office, which is comprised of five teams, is focused on fundraising and volunteering from alumni, organisations and individuals who are passionate about changing lives, through funding various research projects, supporting student bursaries, mentoring students, and providing internships, as well as providing a versatile programme of engagement opportunities for our global alumni community.

This is an exciting opportunity to join DARO as Donor Experience Manager, helping to shape and deliver outstanding donor journeys for multiple audiences. In this role, you’ll play a key part in deepening relationships with our donors and volunteers, ensuring that their experience of supporting beneficiaries is meaningful, personal and impactful.

You will lead on the planning and delivery of our donor experience programme, from tailored communications and impact reports to stewardship and cultivation events, campus visits and administration of our Recognition Circles. With a strong understanding of donor motivations, you’ll create experiences that reflect the transformative impact of philanthropy and build long-term engagement.

You will manage a team of two Donor Experience Officers, setting individual and team objectives while providing day-to-day support, clear direction, and opportunities for professional development. As a team leader, you’ll create a collaborative and high-performing culture, ensuring that workload is prioritised and balanced, deadlines are met, and work is consistently delivered to a high standard. This role sits in the Fundraising team within the Development and Alumni Relations Office.

Working closely with colleagues across Fundraising, Charitable and Corporate Partnerships (Trusts and Foundations), Communications, Events, Data and Supporter Insight and Campaign Management, as well as academics and Professional Services colleagues across the University, you’ll ensure a joined-up approach that puts donors at the heart of our work. You’ll also support the engagement and recognition of volunteers, including bespoke activity for our Alumni Leadership Mentoring Programme members.

The Role:

• Responsible to the Housing Manager for delivering a high-quality, customer-focused housing service to ex-service personnel and their dependents.
• To provide an effective and responsive housing management service for a patch of Stoll properties, meeting agreed performance outcomes and objectives for key
  areas, including rent arrears, lettings and anti-social behaviour

Key Responsibilities:

• Act as the first point of contact in relation to housing applicants, ensuring that all data is recorded accurately on the housing database, and the waiting list is
  managed efficiently.
• Take part in the Allocations process, working with the other members of the Housing team to ensure that all voids on the patch are efficiently allocated and that let targets are met.
• Undertake viewings, sign-ups and new tenant visits, working in partnership with the Support team to ensure new tenants are aware of their rights and responsibilities and are fully supported through the process in order to successfully sustain their tenancies.
• Investigate and make recommendations on the suitability of applications for transfers and mutual exchanges in accordance with established procedures.
• Carry out void inspections in the absence of the Property Services Manager and, where appropriate, arrange the appropriate void remedial work

Specific Responsibilities:

• Knowledge of lettings and allocations, rent collection and arrears management, repairs and maintenance, tenancy disputes and anti-social behaviour policie and procedures and their application
• Understanding of the legal framework and regulatory context in which Stoll operates and the role of local authorities and Registered Providers in providing housing services
• Experience/knowledge of the issues facing the ex-Service community, especially those Veterans with support needs.
• Educated to GCSE standard or equivalent – minimum of five GCSEs at grade C or above, including Maths and English
• Working knowledge of housing legislation, including tenancy enforcement, debtrecovery, and anti-social behaviour.
• Working knowledge of welfare benefits, especially Housing Benefit.
• Demonstrable commitment to and evidence of continuous professional development and learning

Governance Administrator & Clerk to the Board Vacancy

The Governance Administrator & Clerk to the Board will provide an exceptionally high level of governance and administrative support to the School’s Boards and Committees and the Board of Directors for Rambert Grades (a joint venture between the School and Rambert). The post-holder will utilise current and relevant technology and AI (such as Microsoft 365 Bookings and CoPilot) to schedule meetings, prepare agendas and supporting papers and take accurate and detailed minutes, to help ensure good governance and compliance.

This job requires a meticulous individual, with a flair for writing accurate and detail-oriented minutes. The postholder will have excellent organisational skills, an appetite for hard work, an eye for detail and a desire to work in the Higher Education or Charity sector. They will actively promote and uphold the School’s mission and values and will always exercise a high level of good judgment, diplomacy and discretion, in respect of the confidential and often sensitive information that they are party to. They will work effectively and build strong relationships with senior leadership and the Board of Trustees.

The Governance Assurance Administrator role supports St Giles Hospice Group and non-clinical governance with vital administrative tasks. The role is pivotal in ensuring and maintaining high standards of operational governance.

You will provide administrative and coordination support for the governance processes to ensure the effectiveness of the operational governance framework.

About The Role

You will play a key role in ensuring the service complies with contract requirements and meets KPIs.  Your focus will be to providing administrative and office support to ensure the most effective delivery of Helpline Plus telephone casework services and undertaking administrative projects to improve systems and practice for the benefit of staff and clients. You will also input data on our CRM system and have extensive telephone contact with clients, so good verbal communication skills and a commitment to excellent customer service are essential.

You will have considerable experience in a client/customer service role and experience in handling incoming calls and making outbound calls to clients and partner organisations.  You also have fast accurate keyboard skills and experience of using a range of IT tools including case management systems and databases and Microsoft Office applications, along with experience of administrative systems and office management.

About The Team

Helpline Plus telephone Casework team is a team of experienced specialist housing and debt advisers. We have four teams of advisers based in Shelter’s Sheffield office. We work with multiple external referral partner organisations to achieve the best possible outcomes for our clients.

Helpline Plus provides legal advice and casework to enforce the rights of homeless people and assists those facing possession action or orders for sale to remain in their homes. We negotiate with councils, lenders and landlords to try to prevent court action.

Due to the nature of the service we can provide prompt access and may take on emergency cases, in particular to people who are beyond the reach of face to face services.

The Degrees Initiative is a UK-based NGO that builds the capacity of developing countries to evaluate solar radiation modification (SRM), a controversial proposal for reducing some impacts of climate change by reflecting sunlight away from the Earth. Degrees is neutral on whether SRM should ever be used, but we believe that developing countries should be empowered to conduct their own research and to play a central role in SRM discussions.

Degrees’ programmatic work is centred on capacity-building through research grants and North–South and South–South collaboration schemes, outreach activities, and cross-cutting community building. As part of this, Degrees runs workshops in the Global South that bring new voices into the SRM conversation, and our research funds support scientists and other experts in developing countries as they research what SRM could mean for their regions and become part of a global research community.

The Administrative Officer role offers a fantastic opportunity for the right candidate to help scale up the organisation’s work, building on the successes of the last decade, and to help the most climate-vulnerable countries make up their own minds about SRM. 

Joining a growing team, the Administrative Officer will support the Policy Engagement and Programmes teams through the provision of administrative services to ensure the efficient organisation of, execution of, and participation in events. Secondarily, the Officer will provide general administrative support to the Policy Engagement team. 

The Administrative Officer will work under the supervision of the Policy Engagement Director, while supporting the Policy Engagement Managers and the Programmes team. Responsibilities will include: 

• Arranging travel, lodging and other travel logistics for Degrees staff, funded scientists, policymakers, and other external participants; 
• Managing the policy engagement events budgets;
• Arranging meeting facilities; 
• Facilitating requests for visas and other travel authorisations; 
• Serving as a point of contact for external event participants’ queries about travel and events; 
• Ensuring proper distribution of information documents and meeting minutes in a timely manner;
• Drafting general and formal correspondence; reviewing and formatting documents and slides according to style;
• Organising and maintaining the policy engagement team’s shared mailbox and filing system;
• Scheduling staff and other meetings; 
• Supporting processes for this new team, including aspects of monitoring, evaluation, and learning (MEL); 
• Maintaining the list of external policy engagement contacts; 
• Any other related activity in support of the Policy Engagement team.

Founded in 1991, the Institute for War and Peace Reporting (IWPR) is a non-profit organisation that works with independent media and civil society to promote positive change in areas of crisis and conflict. THE ROLE 

The Development Manager will proactively develop programme ideas into winnable proposals and progress income from institutional donors as well as trusts and foundations. Reporting to the Global Development Director, the successful candidate will be a self-starter with the relevant experience, skills and relationships to develop a portfolio of prospects and grantmakers. You will work as part of a collaborative and friendly development team and work closely with programmes to develop new ideas and applications.

ESSENTIAL DUTIES AND RESPONSIBILITIES

• Develop new ideas for business development and submit to institutional and/or trusts & foundations as appropriate
• To work with programme teams to submit timely proposals in response to calls including proposal development and coordinating the proposal administration process
• Work closely with the programme teams to identify and respond to new opportunities for their portfolios and develop existing relationships in collaboration with IWPR programmes
• Contribute to the development team and overall organisational income targets
• Develop strategies for engaging new prospective donors – including foundations - through research
• Gather and share information on new potential funding and/or themes and contribute to the intelligence and MEL functions of IWPR with donor information and competitor mapping
• To contribute to the overall strategic development of the team including the MEL and networking functions

KNOWLEDGE, SKILLS AND ABILITIES

• At least 4 years of experience working in a similar role
• Significant and demonstrable experience of securing income from institutional donors, trusts and foundations
• Ability to work independently and as part of a remote team
• High quality verbal and written communication, problem-solving, critical thinking, attention to detail, and a desire to collaborate effectively with peers
• Proven successful experience in identifying and securing unpublished funding opportunities
• Ability to deliver high-level presentations to donors, clients and internal audiences

We’re looking for a proactive and professional Events and Administration Officer to play a central role in the delivery of our events programme and in keeping our busy office running smoothly. This varied role would suit someone who thrives on juggling multiple tasks, enjoys problem-solving, and is keen to contribute to an organisation with a strong sense of history, purpose, and ambition.

What you’ll be doing

As our Events and Admin Officer, you’ll be at the heart of our operations. Your responsibilities will include:

• Events: Helping to plan and deliver a wide range of events – from breakfast briefings and online panel discussions to gala dinners – ensuring every detail runs smoothly. This will include liaising with suppliers, venues, speakers, and sponsors; coordinating catering and logistics; supporting event promotion; and overseeing attendee communications and requirements.
• CRM & Data: Acting as a Hubspot ‘super-user’, ensuring our CRM is effectively maintained to manage stakeholders, track engagement, and support compliance.
• Meetings: Coordinating internal and external meetings, including diary management for the senior team and producing accurate records.
• Enquiries: Serving as the first point of contact for shared inboxes, responding and redirecting queries efficiently.
• Office & Admin: Supporting office operations, liaising with landlords and suppliers, assisting with finance queries, and ensuring our day-to-day administration runs seamlessly.
• Projects: Assisting with proposition development and project delivery, keeping accurate records and chasing actions.
• General: Providing all-round support to ensure the smooth running of the organisation.

What we’re looking for

We’re seeking someone who is:

• Educated to at least A-Level (or equivalent) with an administrative or operational focus.
• Professional, approachable, and confident in communicating with people at all levels.
• Experienced in event management and administration.
• Skilled in budget tracking, on-the-day event management, and post-event reporting.
• Organised, with excellent attention to detail and strong time-management skills.
• Competent in Microsoft Office (Word, Excel, PowerPoint) and experienced with CRM and e-marketing platforms (ideally Hubspot).
• Proactive, adaptable, and able to work independently with minimal supervision.
• Aligned with our collaborative culture and values.

It would be great if you also bring:

• Familiarity with platforms like Zoom, Eventbrite, and Ticket Tailor.
• Experience using professional social media (particularly LinkedIn) for events and communications.

ROLE DESCRIPTION  

As Finance and Operations officer, you will report to the Operations and Systems Manager and will be a key member of the Operations team. This role is vital to the support of the wider organisation, being the go-to person for financial, HR and IT enquiries. 

In this role at Get Further, you’ll have the opportunity to build on your operational experience within a dynamic and mission-driven charity. No two days are the same, you'll play a key role in supporting day-to-day operations while contributing to a range of projects that help drive our work forward. This is also a chance to shape your own development, gaining valuable insight and skills as you grow within the role. 

Finance Administration 

• Manage day-to-day bookkeeping using Xero, including importing and coding invoices for approval, raising sales invoices, and supporting bank reconciliation. 
• Prepare and issue contracts and invoices for colleges, freelancers, and central team members. 
• Manage credit control by coordinating weekly payment runs and liaising with debtors to ensure timely payment. 
• Prepare monthly payroll submissions, including reconciling tutor hours, holiday pay and training. 
• Support the preparation of monthly management accounts and financial reports for internal budget holders. 
• Assist with compiling financial information for the Fundraising Team as required. 

HR and Policy Administration 

• Help maintain our policy library, ensuring all charity policies remain compliant and up to date. 
• Keep the Employee Handbook current, reflecting the latest internal policies and procedures. 
• Assist the Operations & Systems Manager in planning and delivering our termly Team Days. 
• Coordinate staff benefits, including the Employee Assistance Programme (EAP), staff training, pensions, Access to Work applications, and workstation assessments. 
• Working with Hiring managers for the central recruitment process to advertise roles, coordinating interviews and communications with applicants. 
• Onboard new starters, conducting all pre-employment checks, organising computers and equipment, arranging access to systems etc. 
• Managing reference requests for past tutors. 

IT and Equipment management 

• Support the Operations & Systems Manager in maintaining oversight of IT hardware, phones, and other equipment – including managing logistics and phasing out older kit. 
• Act as the first point of contact for the team on IT matters, liaising with our external IT provider and tracking outstanding tasks and support hours used. 

Office tasks  

• Liaise with the Charity we share offices with regarding office facilities and help maintain office supplies and equipment levels. 
• Manage keyholder records, ensuring an accurate log of staff with key and fob access to the office. 

General Administration 

• Monitor and respond to shared mailboxes, ensuring timely and appropriate handling of enquiries or redirecting them as needed. 
• Provide additional programme support where required – including booking conferences and ordering printed materials or resources. 
• Respond to internal queries and offer cross-team support on financial, HR, and IT matters.

Salary: £35,375.80 per annum

Job Purpose:

To work alongside the Legacy Marketing Manager to help deliver MFS UK’s Legacy Fundraising strategy and support the efficient administration of one of the charity’s largest income streams.

Working closely with internal stakeholders and external partners, this role is focused on ensuring an effective and organised Legacy Administration for the organisation.

To support the strategy to increase income, this role will be liaising with donors who are interested in leaving gifts in their wills and assist with the recruitment of new supporters. This role plays a fundamental part of our Legacy Stewardship and Retention programme for those who have already committed to leaving a gift in their will.

Knowledge, Skills & Experience:

• Significant experience working in office environment with strong administration skills and time management skills with an ability to manage a varied and busy workload effectively. 
• Ability to maintain accuracy, combined with meticulous attention to detail.
• Excellent communication skills to build and manage key relationships and choose appropriate communication channels.
• Self-starter who has the confidence to provide support across multiple areas, within a fast-paced team, exercising good judgement and using own initiative.
• A systematic and organised approach with a proven ability to follow things through and meet targets in line with processes/ schedules and deadlines.
• Experience in relationship management and liaising with external suppliers. 
• Responsible attitude to dealing with sensitive and confidential information.
  • Some experience of dealing with confidential and sensitive conversations with customers, donors, stakeholders would be desirable.
• Flexibility to take on other related tasks combined with a willingness to learn. 
• Excellent fluency in written and spoken English. 
• Ability to work with various stakeholders and multiple teams with different levels of experience in order to deliver objectives.
• Experience of Microsoft Dynamics or other CRM programmes.
• Commitment to the aims and values of Médecins Sans Frontières
• Experience of working for an International Development / Humanitarian Charity or Organisation would be desirable.
• Some experience of Legacies and/or First Class CRM would be desirable.
• Experience in the practical use of personal IT equipment and Microsoft Office 365 suite. The ability to effectively collaborate and communicate within a hybrid working environment utilising Teams, SharePoint, One Drive and Yammer.
