You will:
Manage all finance systems and processes including payroll, pensions, and insurance.
Work with and provide support to the Board of Trustees, CEO and the Senior Management Team as well as support the needs of the office across the organisation.
Duties:
- Financial Records Maintenance:
- Responsible for the update of the chart of accounts and reporting tools to maximise reporting functionality.
- Ensure accurate maintenance of financial records on SAGE for the charity.
- Support the Senior Management Team and wider managers in the production of budgets.
- Provide timely financial information to managers for effective budget management.
- Ensure monthly management accounts accurately track restricted and unrestricted income, expenditure, and reserves.
- Monthly Reporting and Budgeting:
- Produce monthly management accounts and reconciliations - (including the Balance Sheet and Cash Statement).
- Prepare quarterly forecasts and annual budgets (including cash flow).
- Assist in the formulation and implementation of financial policies, procedures and controls.
- Financial administration, banking and payments:
- Manage payroll administration, pension postings, and HMRC payments.
- Process monthly payment runs.
- Monitor and review aged debtors and creditors with the relevant colleagues.
- Work with the fundraising team to oversee Gift Aid claims.
- Manage VAT input and reporting if required.
- Maintain and manage schedules for depreciation, prepayments, accruals & deferred income – posting monthly and quarterly journals as required.
- Administer the Fixed Assets register.
- Year-End Reporting:
- Responsible for year-end reporting and processes.
- Manage the internal examination/audit process.
- Ensure timely preparation and submission of statutory accounts to the Independent Auditor, Companies House, and Charity Commission.
- Governance and strategic finance:
- Produce quarterly reports for the Board and other financial statements in liaison with the Chair, Treasurer and CEO.
- Support the team to create accurate budgets for new funding applications.
- Support the team to accurately cost our services and products for sale ensuring we build in appropriate margins to support growth.
- Work with the Board and Senior Management Team to build financial resilience, diverse income streams and savvy approaches to grow our income and impact.

Key responsibilities – Note the following list is not exhaustive and percentages are indicative only.
Oversight of accounting and cash management
Most of the detailed work in this section is undertaken by the direct reports with the oversight and management being provided by this Finance Manager role
· Appropriate recording, processing, coding, posting of all financial transactions – including but not limited to bank receipts and payments, accounts payable, accounts receivable, conference fee income, invoicing, journal entries.
· Regular timely bank reconciliations.
· Invoicing and credit control
· Chart of accounts structure and department codes
· Gift Aid claims
· VAT returns
· Foreign Speaker returns to HMRC
· Regular reconciliation of balance sheet accounts
· Manage the cash needed by the business, investing excess cash to maximise returns
· Manage fixed assets and related accounting
· Oversight, monitoring and management of key financials within our online event booking system including reconciliation of income recorded on the database to that actually received, with a target of reconciliation within 2 weeks of each month end.
HR Administration and Payroll
· Payroll - administration of and preparation of the payroll (Brightpay), including submissions in respect of HMRC and pensions.
· Management of staff holiday and sickness records
· Support of HR queries
Preparation of budgets and forecasts
· Management and preparation of the annual budget – including for example income (conference fees, product sales, advertising, onsite cafes), running costs (event production costs, team activity costs, honoraria) centralised costs (staff, overheads), departmental budgets (networking, marketing), capital and restricted funds etc.
· Update of forecasts as required with a target of quarterly reporting to Section Head budget managers and Director of Operations.
Reporting
· Management accounts/management information/data for regular quarterly report data as required including reporting on conference and product performance.
· Prepare year end accounts ready for review by Head of Finance.
· Reporting as required to review spending with department heads.
Management of the finance team
· Quarterly Reviews

Oversight of financial management at conferences
· Systems with appropriate controls for the money arrangements at the gates, cafes sales and customer services (for eg Day tickets, programmes, coffee etc)

· Liaison with team leaders about their budgets
· Manage day to day requirements in the office on site

Other
- Work well with all members of the wider staff team
- Attend and sometimes lead at staff prayers and other staff meetings.
- Responding to queries from Trustees, Operational Director and budget managers as required.

The role

The Hardman Trust supports people on long prison sentences to take their next steps in life. The role of Supporter Care Manager is a vital role in our delivery of fundraising services to our client and is a new role created by splitting our current Database & Supporter Care Manager role into two separate roles. The Supporter Care Manager will ensure that all processes for recording and thanking donations is accurate, timely and meets regulatory and reporting requirements, whilst providing a friendly and supportive donor experience. POSITION SUMMARY
Business Launchpad wishes to hire a highly organised, process-driven individual to oversee operations for its Tooting Works business centre.
As a key member of the Tooting Works team, the Operations Manager oversees the renting of our office units, tenant relations, and building maintenance and management, among other things. The post holder ensures the centre is run to a high standard, including excellent customer service, compliance with all current building and health and safety legislation, a high occupancy level and operation within budget.
The Operations Manager line manages four team members, making up the lettings team and the maintenance team, and works closely with other teams, including marketing, finance and the delivery team for the Business Launchpad charity.

ROLE & RESPONSIBILITIES
Centre Operations Management
- Oversee the day-to-day operations of the business centre, ensuring all facilities are well-maintained and running smoothly, and that the lettings process is compliant and well-managed.
- Implement and monitor operational policies and procedures to improve efficiency and service quality, including opportunities to digitise procedures and services.
- Manage building improvement and repair projects in collaboration with the maintenance team and the operations director.
- Ensure compliance with health and safety regulations and manage risk assessments.
- Identify, anticipate and address problems and opportunities for the business centre in collaboration with senior management.
Customer Service
- Act as a point of contact for tenants, addressing any issues or concerns promptly and professionally.
- Foster strong relationships with tenants, ensuring high levels of customer satisfaction and retention.
- Collaborate with the marketing team to develop and implement strategies to attract new tenants and retain existing tenants with the goal of maintaining high occupancy levels.
Financial Management
- Manage the operational budget, ensuring cost-effective management of resources and that projects are delivered within budget.
- Negotiate contracts with suppliers and service providers to secure cost-effective deals.
- Ensure tenant arrears are regularly monitored and managed.
Line Management
- Lead, mentor, and manage the lettings and maintenance teams, ensuring high performance and productivity.
- Conduct regular team meetings, performance reviews, and provide ongoing training and development opportunities.
- Handle recruitment, onboarding, and offboarding of staff members as needed.
Essential Skills / Experience

About the role
The Operations Manager will oversee the day-to-day operations of the church and its buildings, with responsibility for: Safeguarding, Health and Safety, Food Hygiene, Fire Assessment, Risk Management, Infrastructure and Accessibility issues.
Alongside this the Operations Manager will line manage the office team (two part-time roles) and support the work of the Property Committee. Cooperation with the Treasurer to co-ordinate financial operations and budgets will also be required. Attending the PCC (church council/ trustees) meetings (non-voting) when appropriate will give the Operations Manager a greater understanding of the mission and ministry of the church, and some administration tasks may be delegated to the Operations Manager at these meetings (eg Minutes or Reports).
This role demands the ability to take initiative, lead clearly and consider detail as well as the wider picture. Because of the nature of the organisation, leadership and practice must be informed and shaped by both Christian faith and ethics as well as legislation and policies.
Please note that this is a part time role for 12 hours a week spread over 2 to 3 days (including Monday's).

Role Overview:

Main Responsibilities:
• Assist the Head of Events in daily operations and event planning.
