Job Purpose
The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

Role Responsibilities:
Finance Support: 60%
Support the Assistant Finance Manager in updating the Purchase Ledger:
- Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
- Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
- Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
- Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
- Receive and check all statements from suppliers,
- Investigate and action any issues that arise with regards to creditors,
- Regular review and maintenance of the outstanding purchase order and goods received notes report,
Support the Assistant Finance Manager in updating the Sales ledger:
- Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
- Ensure that all requests for sales invoices are processed and sent to debtors promptly,
- Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received
Petty Cash:
- Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
- Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.
Other finance duties:
- Support Assistant Finance Manager in preparation of the pay runs;
- Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
- Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
- Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
- Support the Finance Team with any other queries that may arise.
HR Support:
Recruitment
- To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
- To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
- To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
- To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.
Inbox Management & Staff queries
- To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
- To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.
Systems & Compliance
- To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
- To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
- To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
- To create and maintain electronic copies of personnel files
- To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
- Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
- To support the People team with all HR policies, processes and projects as required.
General Administration
- To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
- Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
- Acquire data from primary and secondary sources and update database system REMS,
- Keeping up to date with the latest ESFA funding rules and regulations.
Additional duties:
- Undertake confidential shredding and filling,
- Coordination Support for the Finance or People/HR elements of staff on-site events

Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. About you:

About the job
We are seeking a confident and experienced Modern Slavery Case Worker Assistant with a wide range of skills and importantly, a ‘can do’ approach. As a Modern Slavery Case Worker Assistant, you will provide high quality practical and emotional support to potential victims of modern slavery within a safehouse setting.
You will work as a member of the team providing a safe temporary environment for vulnerable adults who have experienced trauma and exploitation. The role will involve assisting service users with increasing practical skills and self-confidence to empower and enable independent and safe living.
This service is open 24 hours a day, seven days a week. Applicants must be willing to work flexibly, which will include on call duties, evenings, weekends and bank. Both roles will work between two properties approx. 4 miles apart on a Rota basis. A full induction and continuous training will be given.
The 30 hour per week post will be shifts from 4pm-10pm, 5 days per week, however, the initial induction will consist of day shifts until knowledge of safe house is comprehensive.
You must have experience of working with vulnerable adults, the ability to work within a ‘risk associated’ environment and ideally experience of working within a residential or community setting with non-UK citizens. Relevant social care qualifications or suitable experience of supporting vulnerable people is essential.

UK Programmes Officer
Location: Oldham EIC with flexibility (with some home working)

Main Responsibilities:
To work within the UK Programmes by providing support to Masjid Benchmarking, organising online Seminars, Support to Icare, Masjid Benchmarking, Education (Madaris) oversee and monitor Masjid Connect and Islamophobia monitoring, Publicity, supporting other areas of work of UKIM central team that may be delegated e.g. Imam CPD, Dawah, Tarbiyah.
Essentially the role is to support the Head of UK programmes to implement a varied and diverse programme of engagement to support improvement of the different programmes, masjids, branches, and departments in UKIM that require the support from UK Programmes Team.
The post is varied and ever changing depending on the needs of the members and programmes within UKIM.
Key Duties:
• To support Masjid and Branch Improvement through enabling them to undertake the self-assessment audit and then to deliver a development day based on the self-audit.
• To organise training both face to face and online that will enable masjids and branches to develop and move forward in their work programme.
• To bring on board speakers that will enable mosques to develop.
• To engage with the Dawah programme and to develop a robust programme of support to meet the needs of the department and different stakeholders. The parameters of this are still to be agreed and may involve some of the following areas it serves including new Muslims, design new curriculum, develop resources, re-develop & update websites, Unity Iftars, teach new Muslims & train daees. Based on your capacity and availability of resources to outsource where appropriate.
• To support the wider effort of masjid benchmarking by undertaking audits and maintaining contact with masjids through WhatsApp, support in delivery of development training etc.
• To support Head of UK Programmes to provide information and advice on training, workforce and funding capability development to UKIM masjids/centres and branches.
• To support in the development of and deliver high quality core training courses and materials as an integral part of our work in order to support the development of masjids, madaris and branches.
• To support development of Secretariat Function of the UK Programmes Team and to market training and funding support provision and oversee the recruitment and selection of learners.
• To support training for masjid/centre and branch learners and to recruit, induct and manage external trainers and/or consultants, where appropriate.
• To support appraisal and evaluation of UK programmes
• To provide expert support and guidance to the education department.
• To work with appropriate staff colleagues to identify and develop income generating activities that relate to provision of services from masjid/centres and branches.

Hours:
This is a full time position of 37.5 hours per week over Monday to Friday.
From 1st July 2024 we are piloting a four day working week across the whole of the UK organisation. This pilot is planned to run for 12 months, at which point a decision will be made by our Board of Trustees as to whether this will become permanent. Success of the trial relies on the organisation being able to achieve the same or improved level of impact in four working days as five, with staff experiencing either the same or improved levels of wellbeing.
During the four day week pilot, working hours for this position will be reduced to 30 hours per week, spanning Monday to Thursday, with no reduction in salary. This will be a temporary change to the contractual terms with the successful candidate. The appointed person must be prepared to increase their working hours to 37.5 hours per week if a return to a five-day working week is decided.

We are looking for someone who can, through compelling and inspiring writing and communication, engage donors and potential funders in a variety of different formats, whether that’s email updates, thanking them for their support, or drafting a funding proposal. Ultimately, you will need to be able to bring them closer to our work, so that they can understand their individual contribution and the impact their donations can have, and are more likely to take action as a result.
You will also need to be able to build strong relationships, with the ability to understand the motivations of our donors, demonstrate the impact of our work, spot opportunities to engage them, and ask for their financial support at the right time.
Many of our donors come from the Effective Altruism (EA) community, so having an understanding of this community and how to engage it will be helpful. Creating and submitting funding asks to secure funding and achieve your own fundraising targets and those of the wider organisation, with a focus on securing multi-year funding. Mapping out and developing our major donor programme for the next twelve months and beyond - planning a calendar of content and touch points to further cultivate and steward our key donors, such as exclusive webinars, networking meet-ups or larger fundraising events.

Coordinating the major donor version of our annual supporter survey - collaborating with colleagues to align this to our general supporter survey, targeting questions with a major donor audience in mind, collating and analysing responses, and using them to inform and develop our major donor programme.

Hosting donors at events - inviting them to protests and other events, such as our legal challenge against the use of Frankenchickens, and making sure they are well looked after.

Prospect research - identifying, researching and assessing potential new major gifts prospects, and then developing cultivation plans for further engagement.

Supporting the Head of Development with our trust and grant fundraising. This could include collaborating with consultants to complete prospect research and applications, creating and submitting low-level funding bids, and working with colleagues from across the organisation, to coordinate the submission of monitoring reports for our funders.

Helping drive understanding of and engagement with fundraising across the organisation, with staff, volunteers and trustees - giving presentations, leading workshops with other departments, engaging staff, volunteers and trustees in the thanking process (i.e. getting them to send thank you cards to donors), and regularly updating the wider team on fundraising progress.

Supporting other fundraising campaigns and initiatives, such as our end of year appeal, working with your colleagues in the Development Team to help find match funders from our pool of our major givers.

Gaddum is looking for a qualified PWP to join our well-established Talking Therapies team operating in Manchester and expand our offer for clients. You will work alongside a team of dedicated counsellors within a stepped care model to provide initial assessments and a range of NICE approved low intensity interventions for common mental health problems, including one-to-one work and the potential for groupwork.
You will be skilled in delivering low intensity therapy, with the ability to organise and prioritise your own workload, and will have successfully completed an approved IAPT PWP Post Graduate Certificate (or be near to qualification with all elements of the course successfully passed/on track to qualify on time).
