Job purpose
This is a pivotal senior administration role in a charity that is passionate about making a difference to the veterinary care that animals receive. You’ll be working closely with the Chief Executive Officer, with the trustee board and with all members of the staff team of about 20 people. The role is responsible for co-ordinating essential governance activities, including preparing, collating and distributing meeting information packs, writing minutes and managing actions following trustee and committee meetings. You’ll also provide diary management support to the Chief Executive and carry out a varied range of administrative tasks – from arranging team meetings to organising the charity’s award and grant-giving programmes.
Responsibilities
Governance and executive support
- Provide administrative support to the Chief Executive Officer, including proof reading and formatting documents, diary management, coordinating meetings and production of agendas and minutes
- Take minutes for trustee board and committee meetings, and any other meetings as requested by the Chief Executive Officer
- Organise in-person and virtual trustees meeting as well as other governance meetings as required
- Work with the trustees, Chief Executive Officer, RCVS finance team and legal advisors, ensuring legal returns and RCVS Knowledge governing documents are in order and submitted in good time to Companies House and the Charity Commission
- Maintain declaration of interest documentation and ensure that governance and compliance-related records are up-to-date
- Own the charity’s policy register, ensuring all policies are reviewed regularly and are up to date
- Carry out finance administration for the Senior Team as required, including purchasing items, collating receipts, assigning budget codes, and processing expense claims for trustees
- Provide administrative support around donations and gifts-in-will
- Manage the diary of the Chief Executive Officer, including arranging travel and accommodation when necessary
Project support
- Organise RCVS Knowledge awards (Plowright Prize, Quality Improvement Awards, Antimicrobial Stewardship Awards, etc.), including liaising with award panels, processing applications, and administration around the review and identification of award winners
- Arrange associated meetings and events for the awards
General administration
- Act as the first point of contact for RCVS Knowledge, monitoring generic inboxes and taking phone calls as required
- Manage the administrative functions of the office, for example arranging guest access for visitors when required and administering and dealing with room bookings
- Maintain and develop administrative systems, such as record management and document control
- Update records on our customer relationship management (CRM) system
- Organise and schedule meetings and awaydays, including setting the agenda and taking minutes

Duties and key responsibilities:
Office Maintenance
- Oversee the general maintenance of the office.
- Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.

We are looking for a Legacy Marketing Manager to join our Fundraising team.
Title: Legacy Marketing Manager
Salary: £40,000 to £43,000 per annum

Key responsibilities
These include but are not limited to:
- Develop and manage our legacy fundraising, setting and achieving agreed targets to help us to grow our long-term legacy income.
- Plan, develop and implement high impact, audience-centric legacy marketing campaigns to attract new legacy pledgers, considerers and enquirers. This includes activity across a range of channels from social media, digital, telemarketing, direct mail and events.
- Develop and implement compelling supporter journeys to effectively steward potential legators.
- Ensure that all legacy marketing campaigns are managed efficiently and effectively.
- Track, report and benchmark results to inform decision making for future activity.
- Overall management of our annual legacy income; management of our legacy administration, including overseeing the external legacy admin support.
- Build and maintain sustainable, constructive relationships with colleagues and key external suppliers. Provide internal resources for learning about legacies, to aid awareness.
- Collaborate to ensure integrated planning for legacy marketing with the wider teams: Individual Giving, other fundraising teams, the register team, marketing and content along with other colleagues to identify sustainable ways to deliver our Fundraising strategy.
Essential attributes:
- Experience of creating and managing large scale, multi-channel, audience-centric and insight-led response-driving fundraising or marketing campaigns
- Demonstrable track record of achieving legacy fundraising success through integrated communications to individual supporters, with experience of effective supporter stewardship to drive loyalty
- A track record of developing and meeting targets within budget
- A working understanding of legacies and the legacy administration process and experience of working with solicitors and online will writing partners.
- Experience of producing financial analysis to improve lifetime value, including detailed income and expenditure budgets and reforecasts

Our role is to champion the specialty, set standards of training and practice, and influence change to make a difference to the lives of patients with eye conditions.
Job Purpose
The National Ophthalmology Database (NOD) is a core Department workstream using clinical audit data to identify improvements and provide advice, to inform patient care, safety, and service delivery. This is a new role working with internal and external stakeholders to coordinate and support the programe manager to deliver activities of the NOD. The post requires strong attention to detail and excellent organisational skills. The role will be responsible for all aspects of project support and day-to-day management of the NOD website, including implementation of new developments with the supplier and analysis of usage to suggest areas for improvement.
Main Areas of Work and Responsibility
- Assist the NOD Manager in project planning to identify and track deviations from the project plan and budget, identifying and logging any risks and issues, and improving project procedures
- Support the NOD Manager with administration, project outputs, applying and explaining the information governance, outlier, and other project policies to stakeholders
- Management of the NOD website including liaising with the website supplier, working with the NOD Manager to develop a content schedule, editing content, assisting users with queries, authorising user access
- Review and analyse website performance and make recommendations for improvement
- Lead and manage the delivery of specific workstreams as agree with the NOD Manager
- Administer virtual and in person meetings, preparing agendas, taking minutes, following up actions
