The FIGO Fistula Surgery Training Initiative (FSTI) project has been in existence for 10 years and in that time has become recognised as a key global project, instrumental in delivering capacity building and improved healthcare outcomes for women, with an emphasis on the global south. After 10 years the senior project manager has stepped down and FIGO are seeking to use this as an opportunity to review the project delivery model.

The Interim Senior Project Manager role will lead the FIGO Fistula Project on an interim basis and be responsible for the ongoing delivery of the project during that period. In addition, they will be expected to review the project delivery model, ensuring that the project aligns to best practice and delivers in the most effective and efficient manner possible for the future, whilst ensuring agreed project outcomes.

 KEY RESPONSIBILITIES

 Office Management:

• Oversee daily office operations and maintain a professional, welcoming environment.
• Act as the primary point of contact for office-related vendors (cleaning, supplies, security, etc.).
• Manage office supplies inventory and place orders when necessary.
• Support onboarding/offboarding processes from a facilities perspective
• Handle incoming mail and deliveries and ensure efficient distribution.
• First point of contact for calls, visitors, and general office inquiries.

Governance:

• Assistance to CEO with diary coordination, organisation of events, meetings, and in-office gatherings.
• Coordination of finance committee and Trustee meetings
• Minute taking at meetings as required

Facilities Management:

• Oversee building maintenance, safety procedures, and office infrastructure.
• Liaise with tenants, building management, and external contractors to ensure facilities are well-maintained.
• Monitor and manage office budgets related to supplies, utilities, and maintenance.
• Ensure compliance with health and safety regulations; manage risk assessments and fire safety drills.
• Lead sustainability initiatives within the office (e.g. recycling, energy-saving practices).
• Ensuring health and safety compliance for staff including being the fire marshal

 

Cost management

· solicit and compare competitive quotes for office services and building making recommendations based on quality, reliability, and value.

· Negotiate contracts to optimise costs without compromising service standards.

· Proactively identify areas for cost reduction or improvements.

 

Administrative & Support:

• Maintain records of office leases, utilities, and insurance policies.
• Manage access control systems and office security.
• Support leadership with general administrative tasks when required.
• Create and maintain facilities manuals, process documentation, and onboarding guides.

 

Other

· Health and safety duties including fire marshal- training will be provided.

· Undertake any other duties that may from time to time be required.

 

SKILLS, KNOWLEDGE AND PERSONAL ATTRIBUTES

Essential:

• Proven experience as an Office and Facilities Manager, or similar role.
• Strong organisational and multitasking skills.

This role:

So far, the Parallel platform has been developed and maintained by a single volunteer developer. As we look to expand the project to reach many thousands more students each year, we are now looking for additional support to help maintain the platform, attend to daily issues and support with new feature development.

We are working with an International Animal Welfare Charity, in this role you will support the team in driving the development and delivery of the high-value donor and corporate fundraising programme.

You will be responsible for project-managing mailings, conducting high quality research, organising events and providing administrative support to the team.

This is a hybrid role with once or twice a month in London.

The Role
Administer the high-value donor thanking programme according to set procedures and timelines, all whilst providing exemplary stewardship.
Gather and analyse information about current and prospective high-value donors and corporates from GDPR-compIiant sources
Project-manage fundraising events, taking an active role at each event and ensuring all aspects of the event run with efficiency.
Assist with activities across the high-value donor and corporate fundraising programme as required.
General team support and administration

The Candidate

We will offer a salary of between £29,000 and £34,000 depending on experience for a 36-hour week. Ideally you will be a full-time employee but we are happy to consider a part-time contract (min 0.8 FTE). This post will be offered as a permanent contract.

If successful you will be based at “The ARC Youth Club”, an estate based youth led centre with integrated music studio, kitchen, games and "chill-out" space. The ARC engages approximately 250 young people per year and plays a vital role in their welfare and development outside of school. In holidays we offer a full program of activities and free meals for young people who may otherwise miss out.

You will deliver a range of activities e.g. cooking, arts & crafts, sports, trips, music, events etc. You will also offer support and guidance for local young people and enable them to develop life long skills while designing and running their own projects, forums etc. In school holidays you will be required to work an expected 28 hrs a week as we offer a full program of activities and free meals for young people

Promoting and delivering activities for young people aged 9-19 yrs  (up to 25yrs for young people with SEND)

Facilitate and support intergenerational projects 

Working in partnership with other organisations to meet local needs

Acting as an effective part of youth team and wider SHAK team supporting community activities as needed

Skills & Experience

• Minimum Level 3 youth work qualification or equivalent and significant, relevant experience of youth service delivery.
• Experience of engaging girls in youth programmes successfully
• Knowledge of youth policies, safeguarding procedures and legislation
• Good communication, people skills and ability to work effectively as part of a team.
• Ability to relate, support and engage with wide range of young people
• Proficient with computers, social media and other modern technologies
