Duties and key responsibilities:
Office Maintenance
- Oversee the general maintenance of the office.
- Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
- Ensure the office and meeting rooms are well-maintained.
- Manage Sarcoma UK storage, ensuring it is fit for purpose.

Administration

- Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
- Managing deliveries to the office and organising couriers.
- Organise travel and accommodation bookings across the whole charity including fundraising events.
- Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
- Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
- Provide meeting room management, including bookings and catering.
- Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.
Health & Safety
- Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This

Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. You will have significant experience of providing proactive and responsive administrative assistance to senior staff and demonstrable experience of developing and managing effective administrative systems. Additionally, the ability to build and maintain trusted relationships through professional engagement and communication skills, both written and spoken, that are effective, empathetic and adaptable to different situations are key to this role.
You will be highly organised and responsive to others in a way that is both timely and professional with well-developed time management skills to manage competing priorities, ensure follow up of actions and meet deadlines whilst working under pressure. A high level of accuracy and attention to detail is critical to this role, whilst maintaining strict confidentiality.

As an Operations and Office Assistant at Back Up, your primary objective is to provide comprehensive operational support and fostering an efficient office environment. This pivotal role extends beyond administrative duties, encompassing the responsibility of managing the onboarding process for new joiners. From liaising with IT to prepare laptops to conducting health and safety inductions on the new joiner's first day, you play a crucial role in ensuring a smooth transition for new staff members. Additionally, you will be responsible for keeping health and safety protocols up to date and maintaining the HR software. Your diligent efforts directly contribute to the effective management of services within the charity, furthering its mission to empower individuals impacted by spinal cord injury by delivering services that promote confidence, independence, and positive adjustment.
Are you a sparky individual with a knack for providing excellent supporter services?
We are working closely with a great charity to recruit a Supporter Care and Fundraising Assistant, joining the team on an interim basis, you will be dealing with all initial enquiries via telephone and email. This is a varied and exciting role that will also see you supporting the fundraising team, providing administration and customer care to their existing and new supporters including processing donations and managing finance reconciliations.
You will need:
- Some experience working in a supporter care capacity
- Excellent communications and customer service skills
- Great attention to detail and organisational skills
- The ability to work in a fast-paced environment including building good rapport with internal stakeholders
