Role Overview

As a Talent Administrator, you will be the backbone of the Talent Advisory team, ensuring smooth HR processes, meticulous record-keeping, and compliance with legal and organisational standards. Your work will focus on exit procedures, HR documentation, administrative support, and data protection, enabling the team to operate efficiently while advancing QuilomboUK’s mission. Key Responsibilities:

Exit Procedures & Offboarding

• Manage end-to-end exit processes for resignations, retirements, and contract conclusions, ensuring a respectful and consistent experience.
• Conduct exit interviews (virtually), document feedback, and share insights with the Talent Advisory team to identify trends and improve retention.
• Collaborate with Legal, IT, and managers to ensure the timely return of equipment and access revocation.

HR Records & Compliance

• Maintain accurate and up-to-date HR records (digital and physical), including contracts, right-to-work documents, and visa expiry dates.
• Prepare audit-ready documentation for internal and external compliance reviews (e.g., GDPR, ISO standards).
• Track and renew right-to-work checks, visas, and other legal requirements, flagging expiries proactively.

Administrative Support

• Assist the Talent Advisory team with administrative tasks, including drafting ER case correspondence, updating HRIS data, and generating reports.
• Manage HR system updates (e.g., employee status changes, promotions) and ensure data integrity across platforms.
• Coordinate team calendars, meetings, and training sessions to optimise workflows in a remote setting.

Data Protection & Security

• Serve as the first point of contact for data protection queries, ensuring compliance with GDPR and company policies.
• Train employees and managers on the secure handling of sensitive HR information in a remote work environment.
• Monitor access permissions to HR systems and escalate potential breaches to the Manager: Talent Advisory.

Qualifications

• Experience: 1+ years in HR administration, data management, or a similar role. Exposure to remote work environments is a plus.
• Skills:
• Exceptional attention to detail and organisational skills.
• Proficiency in HRIS platforms (e.g., BambooHR, Workday), Google Products, and virtual collaboration tools.
• Strong written communication skills for drafting policies, reports, and employee correspondence.
• Knowledge:
• Understanding of GDPR, UK right-to-work requirements, and fundamental employment law.
• Familiarity with D&I principles and their application to HR processes.

We’re looking for admin volunteers to help with our daily operations.  We have a variety of ways you can get involved:

• Responding to client requests and enquiries
• Fundrasing and partnership management
• Managing and updating company databases
• Keeping track of partnership enquiries
• Maintaining internal, volunteer, and client records
• Drafting and mailing client correspondence and newsletters
• Organising events, scheduling meetings, and making travel arrangements
• Providing administrative support to other departments or projects as needed
• Performing other duties as agreed in advance

We’ve designed our volunteering programme to be flexible and adaptive to you.  All volunteering is 100% remote and you’re supported fully by our team.  You control what you do and how many hours per week you want to volunteer.  Some roles may require an Enhanced DBS check. If your application is successful, we will ask for a donation towards the cost of your enhanced DBS check if it's required for your role. This cost is £22.60.

How much time can you give?

A minimum of 2 hours per week is required. We are flexible and like to work around you.

Training

We provide accredited training with 3 short courses needing to be completed prior starting your volunteer role.  After, you’ll have access to over 90 accredited courses should you want to study further.

What will you be doing?

To support delivery of the E‑Save app, you’ll provide essential administrative support to our volunteer‑led, largely remote organisation. 

You’ll help keep the charity running smoothly by supporting the board and key personnel with communications, record‑keeping, document updates, online meeting organisation, task tracking and maintaining clear, well‑ordered systems.

What are we looking for?

We’re seeking a UK‑based volunteer with at least three years’ administrative experience, including confident use of Microsoft tools. 

You’ll be organised, detail‑focused and able to manage your own workload. 

You’ll support meetings, maintain online files, update documents, manage data and contact lists, and provide general admin support to the Board, Operations Director and volunteer HR team as needed.

Would you like to support our Volunteer Training Team in a varied admin role? We're looking for someone to help us with booking and managing training and meetings, updating training records and post training evaluation. There will also be the opportunity for you to get involved with developing and delivering some of our volunteer training.

This position is a Trustee role, sitting on Hidayah's board. The IT/Tech This role will oversee Hidayah’s IT infrastructure to ensure suitability and sustainability of charitable activities.

What are the responsibilities of this role?

This role will have the following duties, but are not limited to:

● To ensure Hidayah’s IT operating systems and equipment are fit for purpose

● To drive the delivery and improvement of data protection procedures, using technology to improve the operations of the charity

● To keep the website updated, refreshed and ensure plug-ins and links are valid. This will include creating new pages, updating SEO and ensuring hosting agents are compliant with GDPR

● To take the lead in evaluating IT related proposals for the Board of Trustees

● To provide strategic oversight of implementation and project manage any IT related projects

● To assist with documentation of processes and delivery of specific tech training for volunteers

● Manage and moderate the Hidayah Discord server

● Operate as Hidayah’s Google Workspace administrator

● Work with the wider Digital Team to facilitate the technical development of Hidayah as an organization

How much commitment is required? 

We are flexible around your own schedule. However, the following commitments are in place for all members of the Hidayah Board:

● To be able to attend all Trustee meetings and to deliver a comprehensive report to the Trustee each meeting with updates and to completed actions as and when they appear

● To aim to attend all other planning meetings as necessary when close to Hidayah events as well as the events themselves (where possible due to geography)

● To help to fundraise for, and advertise, any Hidayah events and fundraising drives

● To be part of a communications group to keep up to date with Hidayah developments

● To contribute toward and to maintain the administration of our file sharing system ‘Google Drive’ so it is always up to date with clear records, templates and forms

● To check emails and to respond when needed

● Enthusiasm, dedication, responsiveness, flexibility and eagerness in supporting the aims, vision and mission of Hidayah

● To contribute toward the Annual Report once a year

● To be in post until the next AGM

● The role is subject to a 6 months probationary period.

What do we expect from a Trustee: IT Tech Officer

Please note that you must agree with and fit the criteria below to be eligible to volunteer in this role:

Knowledge: 

● Educated to degree level or experience which demonstrates equivalent technical role

● Knowledge of Wordpress / Frontend development skills (Currently using Breakdance for our website)

● Adept knowledge of Discord as a communications platform and server management

● Knowledge of Google Workspace

Personal Skills:

● Ability to understand confidentiality, equality and diversity and safeguarding procedures;

● Ability to respond to resolving conflict situations if needed;

● Someone who can behave with professionalism.

Administration Skills:

● To regularly check, maintain and keep up to date Hidayah administration and data handling systems such as using Google Drive to store information

● A high degree of literacy of Microsoft Office and IT Applications

● To be part of a communications text group to keep up to date with Hidayah developments and to inform the Board Members of any developments;

● To read, understand and agree with the constitution of Hidayah (available on website).

Additional:

● To help to fundraise for, and advertise, any Hidayah events and fundraising drives.

The Widening Participation Officer tries to recruit, engage and support as many 16-18 year old volunteers as possible across all of our chapters, with particular focus on those that’d benefit the most from additional WP volunteers, often those
chapters doing the most events.

Due to the sizable scope of the role, the WP Subcommittee is there to help as needed. This is primarily through admin work. You should ensure that you have a suitable number of keen volunteers within the subcommittee that you can delegate tasks to, ensuring that they were well informed, supported and any tasks followed up. This is likely to involve plenty of messaging and occasional meetings.

A primary part of the role that you can delegate is to conceptualise and write the policy for managing 16-18 year old volunteers. This should have a focus on appropriate safeguarding and you can get input from the subcommittee and other Trustees/Officers but should include things like recruitment methods, required paperwork, risk assessments, management at events etc. These policies need to then be communicated effectively to committee and volunteers. 

There are several ways that WP volunteers should be recruited. Schools/6th Forms should be proactively reached out to and a long-term connection formed, ideally through a named person such as a head of year, head of medicine applications or career progression advisor. They can then pass the information on to their students using a range of methods ranging from email to sending a video to, if the local chapter is keen or a member of the subcommittee is nearby, an  in-person visit to an assembly or lunchtime/after-school training session.  

Efforts should be made to build relationships with National bodies that provide volunteering or work experience to 16-18 year olds such as In2MedSchool and Medic Mentor, working closely with them to advertise our volunteering to their
students. 

Once students are interested, they should be able to register as volunteers and attend an Introduction Training session. This can be a WP-specific session with particular focus on benefits and support for WP volunteers such as Duke of Edinburgh hours.

Once volunteers are involved, they should be supported through their time with us including email updates, check-ins, social media posts and training sessions around key times such as university applications.

Finally, of particular note, you should work with the Conference Officer to ensure that WP volunteers are supported in attending the Annual National Conference, in a safe way and have talks of interest to them.
