We're looking for a finance assistant volunteer who can support the financial administration of the charity using our finance software,  Xero. We The volunteer will support the Chair to undertake regular financial tasks such as budgeting, reporting, and audits while ensuring financial transparency. 
 

Key Tasks and Objectives

• Support the financial management of the Charity using Xero
• Data Entry: Recording financial transactions such as donations, invoices and expenses into our finance software, Xero.
• Weekly Reconciling income into Xero from GoCardless, Stripe, PayPal and other third-party agencies that facilitate donations being made to the charity.
• Maintain financial and accounting records, ensuring accuracy and consistency
• Assist with preparing payroll and/or pension information for submission to an external payroll provider (when required)
• Assist with the preparation of the accounts, quarterly and annual accounts for accountant annually as well as supporting funder financial reports
• Track the financial situation of projects
• Ensure that all necessary financial information is recorded accurately
• Assist with financial forecasting and budgeting
• Document Management: Organising and filing receipts, invoices, and other financial documents (digitally).
• Assist the Chair, volunteers or members of staff in understanding and using the accounting software
• Any other tasks that may be required from time to time or during the final accounts period, as appropriate.

Key Skills or Qualifications

Essential:

• Knowledge and experience of using Xero accounting software, including tracking project spending, managing volunteers’ expenses and department spending, uploading invoices, reconciliation, etc.

Would you like to raise funds, have fun and join a super team of volunteers who together make our Jumble Sales in Thatcham a great success?  As Jumble Sales Organiser you would be helping to make everything run smoothly for the team.

Time Expectations:  1 Saturday every other month (plus preparations)

This could be a shared role and tasks may include:

· Booking the hall for future Jumbles

· Contacting the Jumble team before events to check availability

· Set up stalls, running a stall and packing away at the end

· Collecting any items/resources needed from the centre the day before

We provide a free national helpline, email and webchat service, online resources and information, support for local groups and professional networks, for families with children who stammer, and an Advocacy Service for those who have been discriminated against because of their stammer.

STAMMA’s Helpline Services include our phoneline, webchat and email support services and are a hugely important part of STAMMA’s work. This is frontline stuff, responding to people reaching out for information and support. It’s a great opportunity to spend time chatting with people who stammer, as well as their parents, grandparents, teachers and employers, taking the time to make space to listen and to value what they have to say. Where appropriate we then signpost people to useful information, support and services.

We use a virtual call centre which means you can take calls and webchats from home, using a desktop or laptop computer.

Our helpline is manned by our amazing volunteers from 10am - 2pm (our morning shift), and from 4pm - 8pm (our evening shift), Monday to Thursday. We are looking for dedicated volunteers who can commit to one of the following shifts on a weekly basis:

Mondays 4pm - 6pm

Thursday 4pm - 8pm

We think that you (and our callers!) will get the most out of this opportunity if you're able to volunteer with us for at least 12 months or more. By gradually learning and developing your confidence in the role, you can have the biggest impact. 

About the role

Working within our Helpline Services, we’re hoping you’ll feel comfortable to:

• Take helpline calls (listening and speaking on the phone)
• Respond to webchats (reading on-screen messages and typing responses)
• Sending occasional emails

If you wish to, you can also be linked to an area of project work. That way, if the helpline services are quiet during your shift, you can get involved in other areas of STAMMA’s work. Project work is likely to involve reading and reviewing documents and resources, contributing to discussions and campaign ideas, and helping develop new resources.

We provide structured, online training that you can complete at your own pace, but is likely to take about 8-10 hours in total to complete. Following the training, you’ll have practice helpline calls and webchats. If you feel ready after that, you’ll start working in the helpline services. Ongoing support includes:

• Monthly helpline services meetings where you can meet other helpline volunteers. These monthly meetings include a short training session and discussion where we share and learn from our experiences of different calls and webchats.
• We have a WhatsApp group where you can keep in touch with other volunteers.
• Volunteer supervisors are available for one-to-one support and discussions.
• Access the training modules as many times as you want.

Who are we looking for?

You’re likely to enjoy volunteering in the Helpline Services if you:

• have a genuine curiosity about people and their experiences
• are able to understand written and spoken English
• are comfortable enough to speak on the telephone
• are comfortable with basic email functions
• have good administration skills

It’s not essential to stammer yourself if you’re interested in working in our helpline, but it can be an advantage if you do, or if you are the parent of a child who stammers. Many of our callers find it really helpful to know that they’re speaking to someone who really ‘gets it’ and who has that personal insight into some of the issues and questions they have.

This is a volunteer role is remote, so you will need access to:

We are looking for a finance professional to join our engaged and friendly board as Treasurer, with specific oversight of the charity’s financial management. While day-to-day financial administration is carried out by employees or external providers, the Treasurer works closely with them and the Board to ensure sound financial governance. The Treasurer provides financial leadership, helps trustees understand the organisation’s finances, and ensures that the charity meets its financial and statutory obligations.

You will have a qualification in Financial Management, Accounting, or Audit, and a strong understanding of financial management in the voluntary or business sectors. Previous charity experience is not necessary, but a willingness to undertake training is essential (usually one day).

You will have the ability to communicate financial information clearly to those without financial expertise and be a strategic thinker, with the ability to balance financial scrutiny with broader trustee responsibilities.

Our board meet once a month (either virtually or in person in London) for around 90 minutes. We aim to have strategy days twice a year. You will meet with the CEO and Finance Manager once a month, and be available for ad hoc emails, advice. Trustees are usually appointed for a three-year term, which can usually be extended. 

We will provide access to training (typically one day) if you do not have direct experience in charity finance.

You will also bring a commitment to the values, aims, and objectives of the charity, and a desire to help children and young people who have experienced grief.

Our charity

You and Me Counselling is a charitable organisation established in 2011. We are a counselling and psychotherapy service based in Hornchurch, Essex that works with children, young people, adults, and their families in the boroughs of Havering, Barking & Dagenham, Redbridge, and Waltham Forest. Our counsellors and therapists work both within schools and from our counselling rooms located in Hornchurch and Ilford.

You and Me Counselling are an organisational member of the British Association for Counselling & Psychotherapy (BACP). This means we are fully governed by the BACP’s Ethical Framework for the Counselling Professions.

Job Description

As a trustee you will need to:

• Acknowledge emails at least once a day.

Ealing Book Festival is a young organisation with huge ambitions. We're looking for someone with great organisational skills and experience to join the team and help us develop and achieve our objectives. 

In addition to the general responsibilities of a trustee, duties of the secretary are as follows.

·Preparing agendas in consultation with the chair and trustees and circulating them and any supporting papers in good time

·Making all the arrangements for meetings 

·       Ensuring the taking of, agreement and sign off of minutes

·Checking that trustees have carried out actions agreed at a previous meeting 

·Circulating agendas and minutes of the annual general meeting and any special or extraordinary general meetings (where required)

·Fulfilling the functions equivalent to a company secretary, assisting the chair and other trustees with charity reporting requirements, monitoring the policy register 

·Assisting the chair with board evaluation, succession planning processes and recruitment

Person specification 

In addition to the person specification for a trustee, the secretary should have the following skills, experience and qualities:

• Experience of governance and compliance procedures

• Organisational ability

• Minute-taking and report writing experience, including preparation of annual reports

• Preparation of the policy register

• Experience of board evaluation and succession planning processes 

Please Note. We are ideally looking for a secretary who lives in or near Ealing. We are a small team of local residents delivering a community festival keen to build relationships across the borough. The Trustee Board meets in person.
