ABOUT THIS OPPORTUNITY
We are seeking a highly organised and detail-oriented Procurement Administrator to support the procurement function within Harris Federation. This role is essential in ensuring that all goods and services are sourced efficiently, cost-effectively, and in compliance with public sector procurement regulations and institutional policies.
You will play a key role in supporting the Procurement Team by ensuring timely delivery of resources and services, providing administrative support to the Team and having responsibility for procurement processes and policies.

MAIN AREAS OF RESPONSIBILITY
Procurement processes and files
- To maintain and have responsibility for the Procurement Team’s eFiling system/SharePoint folders.
- Responsibility for overseeing the registration of new suppliers onto the Procurement Team’s e-tendering portal.
- To issue, collate and consolidate information requests from stakeholders at various levels.
- Requisition and reconciliation of purchase orders with invoices and liaise with the finance team to ensure timely and accurate payments.
- To manage low level categories where appropriate.
- Support the preparation of monthly, quarterly, and annual procurement reports and spend analysis for the Procurement Team and Senior Leadership.
Administration and diary management
- To provide administrative support to the Procurement Team; team calendar management, scanning, shredding, downloading and filing documents.
- To arrange and co-ordinate supplier presentations; organizing meetings rooms, receiving guests, taking meeting notes etc.
- To deal with day-to-day enquiries from internal and external stakeholders in a professional and timely manner.
- Assist academies with their requests relating to the scheme of delegation, approval thresholds, purchase requests, conducting benchmarking exercises and in some instances obtaining competitive quotes via our frameworks or recommended suppliers to ensure best value.
- Maintain a procurement calendar to manage contract renewals, tender deadlines, and key procurement events.
- Coordinate supplier meetings and performance review meetings with suppliers.
- Maintain and have responsibility for procurement mailboxes.
- To maintain Procurement’s intranet pages.

About the Role:
As the Foundation starts supporting its third cohort of Scholars, we need an organised, communications focused and proactive individual to grow our capacity in two significant areas of our work: our regular in-person events, and our recruitment and assessment process.
You will take the lead on, and quality assure, all Martingale events including our Welcome Dinner for new Scholars at the Royal Society, autumn assessment centres, regular training days for Masters and PhD students, our week-long summer residential retreats for Scholars, as well as events for current and potential funders and other stakeholders. You will be line-managed by the Communications Manager and will support in the dissemination of Martingale recruitment materials to relevant universities, student societies, charities and learned societies, to ensure a high number of applications to the Martingale Scholarship programme. Key Responsibilities:
Event management
- Research and secure high-quality external venues for Martingale events, and work effectively with teams at those venues to ensure events are delivered within budget and to a high standard

An exciting opportunity has arisen for a Medical Devices Co-ordinator to join the Clinical Asset Team. Your role is to support the Medical Devices Safety Engineer in pro-actively delivering maintenance responses, updating jobs on the CAFM system, ensuring compliance and asset management systems are up to date at all times.

Role Requirements
- Provide operational assistance to all matters pertaining to clinical assets including compliance, asset management, service management and lifecycle management.
- Ensure clinical assets onsite are compliant or taken out of service.
- Allocate jobs to the appropriate contractor, using CAFM systems to create a document trail and manage frequently broken items, escalating issues to the Medical Devices Safety Engineer as appropriate.

- Updating compliance system with relevant documents for compliance and tracking purposes (including those for Therapy items)

- First response to clinical asset jobs coming through to the Helpdesk, co-ordinating with clinical staff at the scene, ensuring the appropriate response is carried out.

We are looking for the next Head of Operations (Events and Access). Internally, this job is known by its historical title, Yeoman Usher of the Black Rod.
The Head of Operations (Events and Access) acts as the deputy to the Lady or Gentleman Usher of the Black Rod. This post assists with the planning, coordinating and executing of events held in the House of Lords, and in areas shared with the House of Commons. The Department also has responsibility for access to the precincts of the House and is responsible for assessing and advising on the impact of major building works on access.
As The Head of Operations (Events and Access) you will support Black Rod in the day-to-day operational delivery of all Black Rod’s responsibilities and act as Deputy to Black Rod. This includes having oversight of access policies and admission of visitors, Incident Management and leading and managing allocated projects that impact on access to the House and its precincts.
The postholder also has participation in ceremonial functions, including the Lord Speaker’s daily processions, and other events as well as detailed planning and coordination, under the direction of Black Rod, of allocated areas of responsibility within ceremonial events in the Palace of Westminster.

- Experience of managing and improving complex services with multiple stakeholders
- Experience of delivering projects and programmes, ideally with an access and security dimension.
- Expertise in planning and coordination of high profile multi-agency events.
- Strong inter-personal skills and the ability to build and maintain effective working relationships; and to influence and operate with diplomacy and personal credibility among a wide range of internal and external stakeholders ideally within a political environment.
- Experience of representing an organisation both internally and externally to senior stakeholders and at public events.
