ABOUT THIS OPPORTUNITY

We are seeking an organised, proactive and professional Personal Assistant to provide high-level support to the Director of Secondary Education at the Harris Federation. This 1-year fixed-term maternity cover role is central to ensuring the smooth running of the Director’s day-to-day operations, including diary management, stakeholder communication, meeting coordination and the preparation of key documents.

As part of our Head Office team, you will work closely with senior leaders and colleagues across our secondary academies, playing an important role in supporting the Federation’s mission to deliver an outstanding education for thousands of young people. MAIN AREAS OF RESPONSIBILITY

Your responsibilities will include:

• To present the professional and welcoming face of the Harris Federation and all secondary academies, to all visitors, staff and students, in person and on the telephone.
• To ensure that the Director’s diary is managed efficiently and effectively. This will involve liaising with a variety of external and internal stakeholders.
• To provide a daily/weekly diary and documentation and maintain an overview of approaching deadlines.
• To maintain the Director’s contacts.
• To maintain an exemplary professional environment for the Director at all times.
• To ensure that all visitors are welcomed and catered for in a professional manner, organising refreshments as appropriate.
• To exercise complete discretion when dealing with issues of confidentiality and sensitivity.
• To take all telephone calls, in the first instance, dealing with queries, passing on calls if necessary.
• To keep the Director’s meetings file and retrieve necessary paperwork as and when meetings arise.
• To be responsible for organising meetings and passing on messages between all stakeholders, parents/carers, external agencies and students and the Director.
• To liaise with clerks to Governors to ensure that all relevant paperwork and correspondence is efficiently managed for all the secondary academies.
• To support the Director with the preparation of paperwork and presentations for a range of meetings including interviews, disciplinary hearings, grievances, performance management, presentations, training sessions etc.
• To liaise with Federation admin teams, Data, HR, IT and Finance Business Managers, as well as PAs and Principals across the Federation as appropriate.

• Appropriate degree or equivalent experience in previous roles
• Trained in the use of a variety of ICT packages
• Knowledge of personal assistant roles and responsibilities
• Training in typing and formatting of a variety of documents including spreadsheets
• Experience of managing staff in relation to the PA role
• Some experience of human resources e.g. recruitment and/or monitoring attendance

Job Title - Research Assistant

Contract - 1 year Fixed Term

Hours - Full Time, 35 hours per week

Salary - £30,000 to £32,000 per annum (depending on experience)

Location - This position is based at our Bloomsbury office on the Coram Campus, with some flexibility to work from home up to 2 days per week, depending on business need.

Early Literacy Interventionist (South London)

• In-school, 10 hours per week across 5 days working between 1pm and 3pm

Are you looking for a new challenge? Are you keen to work with children to support and develop their phonics and reading skills? 

37% of children from disadvantaged backgrounds left primary school in England in 2025 unable to read to the expected standard (KS2 attainment data 24-25) . Chapter One is a fast-growing charity, with a vision of a world in which all children have the literacy skills they need to thrive. We work to ensure that all children have 1:1 reading support at the time they need it most.

Our Early Literacy Intervention (ELI) programme (based on a model that serves 20,000 children successfully in the USA) provides daily, 1:1, 7 minute phonics sessions for children who are behind in phonics. Using a bespoke technology tool, a trained Early Literacy Interventionist works individually with target children. 

This ELI role, reporting to the Senior ELI Programme Manager, is a great opportunity for someone who wants to develop and grow their knowledge of phonics and/or their teaching skill set. It is ideal for someone with previous school experience who is looking for a new and exciting challenge.

You will conduct initial baseline assessments and then deliver differentiated, 1:1, targeted, 7 minute phonics sessions to pupils using a systematic, synthetic approach. Although you are employed by Chapter One, you will work closely with the school team to understand the progression of the school’s phonics teaching; establish tailored plans for each child and feedback on pupil progress. Using your knowledge and insight, you will also collaborate with colleagues at Chapter One to further improve the ELI model, the online tool and programme delivery.

KEY RESPONSIBILITIES:

Supporting the CEO

• Assist and support the CEO in the fulfilment of his/her responsibilities, including (but not limited to):
• Diary and other contact management, meetings booking and confirmation, including judgement on the level and appropriateness of engagement.
• Assist the CEO to prepare slide decks and other materials for presentations.
• Liaise with the Travel Officer and other departments to ensure all travel arrangements are made for the CEO as required. Liaise with internal and external stakeholders to schedule meetings with the CEO and to ensure venues and arrangements are well prepared.
• Meeting, greeting and booking rooms for any external visitors, acting in a friendly and professional manner.
• Circulating the agenda, booking rooms and capturing notes for Executive Team meetings.
• Ensure stakeholder contact details are kept current on ParalympicsGB’s  contact database.

Supporting the Board and ParalympicsGB’s governance

• In collaboration with the Chair and the Head of Governance and Compliance:
• Agree timings, locations and logistics for Board meetings, including booking rooms and providing refreshments.
• Ensure agenda and Board papers are uploaded to the Teams channel for Board members to access and assist with issues Board members may have accessing Teams.
• Prepare email responses, letters, briefing papers and other documents as required by the Chair in connection with BPA business.
• Support Board members in arranging meetings in connection with ParalympicsGB business
• Plan for Board members attendance for the Games, being the key point of contact sharing information with both the Board and internal planning teams.
• Support the Head of Governance and Compliance in preparing and managing member meetings, including NPC meetings, Election meetings and Annual General Meetings. Leading on:
• Ensure timings, venues and agendas are communicated to members and papers are made available to members.
• Book rooms for member meetings and arranging refreshments.
• Send out invitations and papers, collate the guest list, confirm numbers, accessibility & dietary requirements
• Ensuring changes in member contact details are kept current on the BPA’s contact management database.
• Support the Head of Governance and Compliance in processes around electing and appointing Board members, including appointment letters and induction information.

Events

Working closely with the Events and Projects Manager and internal event leads, help to coordinate the planning and delivery of the entire portfolio of ParalympicsGB external events. Ensure all events are planned and delivered to a consistent high quality.

• Ensure planning deadlines are met in a timely manner and that internal and external stakeholders have been consulted with as required.
• Provide expertise to event leads to ensure ParalympicsGB events address accessibility in the planning and delivery, and that all events have a consistent look and feel.
• Ensure all Health & Safety risk assessments are done and risks are being managed.
• Coordinate all room/venue bookings and catering arrangements
• Support with venue research and recces and attend venue planning meetings
• Send invites, manage responses and FAQs.
• Coordinate any additional logistics required e.g. gifting, branding, movement of equipment
• If required, provide event support on the day and/or arrange colleague support on the day.
• Work with colleagues to ensure lessons learnt from previous events are embedded into future planning.

Other

• Project Lead for Games Time Ticketing ensuring the successful delivery of this complex Games workstream.

Brief role description:

The Finance Assistant will provide accountancy and bookkeeping support. This involves inputting purchase and sales ledger transactions, together with cash book and journal entries for three UK entities, using Access financials software. 

The role also includes producing weekly payment reports and monthly bank reconciliations for the UK entities, while also processing volunteer and staff expenses.

Other responsibilities include managing accounts queries via our Zendesk ticketing system.

• Responsible for Purchase ledger and Sales ledger transactions.

• Producing payment runs for Suppliers, Volunteers & Staff Expenses.

• Assisting Volunteers, Ambassadors & staff with Financial queries.

LRMN's Finance Assistant works closely with Finance Manager (FM) to maintain LRMN’s financial records, ensuring that all transactions are accurately and timely recorded to support the FM producing the reporting data for the management accounts and the monthly bank reconciliation.

As Finance Assistant you will:

• Post purchase invoices daily in QuickBooks, aligned with Salesforce records, ensuring PDFs are uploaded and costs correctly allocated

• Process petty cash claims in QuickBooks with supporting receipts, accurate budget allocation, and petty cash reconciliation in liaison with the FM

• Record and post all bank and card expenses monthly in QuickBooks, with receipt/invoice uploads

• Review trade creditors reports with the FM to ensure invoices are captured for weekly payment runs

• Raise sales invoices in QuickBooks as required

The Executive Assistant to the CEO will be joining a central services team in a crucial role.  The post holder will provide comprehensive support and ensure the smooth running of the executive office.
