Job Purpose

The post holder will work cross-functionally to provide front-line administrative and transactional systems support to the People team and the Finance team. Within the HR/People elements of the role, the focus will be on day-to-day systems and process queries, recruitment, HR system support to Ada’s staff, compliance and general HR administration. This will require the post holder to have strong communication skills, strong attention to detail, and have the ability to manage and prioritise their workload.

To be successful in the role the post holder will:

• Have excellent organisation skills with the ability to structure processes and set up efficient systems to support Ada’s continued growth;
• Be consistent and accurate and have a keen eye for detail;
• Have experience in and be committed to following careful procedures to protect the sensitive personal data involved in this role;
• Have excellent numerical skills and good knowledge of Excel;
• Learn quickly, be adaptable, flexible and able to work in the ever-changing context of a growing organisation;
• Be able to take the initiative and demonstrate a creative problem-solving approach;
• Have well-developed interpersonal skills, working well independently and as part of a small team, and collaborating well with colleagues in person and remotely.

Role Responsibilities:

Finance Support: 60%

Support the Assistant Finance Manager in updating the Purchase Ledger:

• Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
• Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
• Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax
• Prepare mid and end of the month BACS payment run and ensure that suppliers are paid within payment terms,
• Receive and check all statements from suppliers,
• Investigate and action any issues that arise with regards to creditors,
• Regular review and maintenance of the outstanding purchase order and goods received notes report,

Support the Assistant Finance Manager in updating the Sales ledger:

• Ensure that all income is recorded against the relevant nominal code and cost account and that the correct VAT code is used,
• Ensure that all requests for sales invoices are processed and sent to debtors promptly,
• Ensure that all requests for sales invoices are monitored and chased so that the prompt payment is received

Petty Cash:

• Ensure that the disbursement of the funds, keeping records of those disbursements and requesting replenishment of the fund is done accordingly to the Petty Cash Policy;
• Ensure that the reconciliation of the business petty cash transactions is done on the bi-weekly basis in the Xero finance system.

Other finance duties:

• Support Assistant Finance Manager in preparation of the pay runs;
• Monitoring finance account inbox and dealing with staff, students and supplier queries to ensure they are quickly and properly resolved;
• Support staff in following the financial policies and procedures, such as: filling out charge card tracker, purchase orders, setting up new supplier;
• Support the Finance team in setting up a Fixed Asset Register and making sure it is kept up to date on a regular basis;
• Support the Finance Team with any other queries that may arise.

HR Support:

Recruitment

• To work with the HR Manager to draft adverts for posts being advertised, ensuring that they are well-written and engaging.
• To obtain quotes for advertising on various job boards and recruitment media channels in a timely and accurate fashion ensuring the best possible exposure for vacancies
• To coordinate interview/selection logistics including room bookings, diary management, scheduling and preparation of relevant materials and sending invites to candidates
• To support the HR Manager with the administration processes around onboarding and offboarding of staff including consultants, mentors, volunteers and governors.

Inbox Management & Staff queries

• To manage the recruitment inbox, responding to candidate and hiring manager queries in a timely manner
• To work with the HR Manager to manage the HR inbox, responding to staff enquiries in a timely manner recognising that some correspondence will be highly confidential and/or sensitive in nature.

Systems & Compliance

• To be the main point of contact for all HR system queries and to action all first-level system transactions, escalating more complex transactions to the Head of People & Talent or the HR Manager.
• To send out reference requests for all shortlisted candidates, chasing responses and passing on to the relevant line manager
• To maintain spreadsheets and trackers to ensure all relevant HR information is collected and collated (eg vacancies, DBS and other pre-employment checks, probationary periods, performance management, exit interviews.)
• To create and maintain electronic copies of  personnel files
• To support with the updating of the Single Central Record for all staff, volunteers, consultants, agency workers and governors
• Under the direction of the Head of People, issue relevant letters to staff in relation to Employee Relations (ER) matters ensuring that timelines are strictly followed, meetings arranged, notes/minutes taken and all paperwork, including checklists, is fully completed.
• To support the People team with all HR policies, processes and projects as required.

General Administration

• To provide accurate data for Education and Skills Funding Agency (ESFA) in monthly data returns,
• Liaising with CIVICA support team to seek advice on better use of MIS (REMS),
• Acquire data from primary and secondary sources and update database system REMS,
• Keeping up to date with the latest ESFA funding rules and regulations.

Additional duties:

• Undertake confidential shredding and filling,
• Coordination Support for the Finance or People/HR elements of staff on-site events

Person Specification

• Previous Officer/Administrator experience and used to working with limited supervision ideally in a Human Resources field.
• Ability to undertake administrative tasks and development of effective office systems and procedures
• Ability to use information technology for,word processing, spreadsheets and databases and excellent typing skills
• Ability to pick up new applications and software quickly
• Ability to work under pressure in a constantly changing and demanding environment

Job Title: Grants Programme Assistant
Salary: £35,000-£38,000 FTE

SCLF was established in 2016 with a 10-year mission and ten years of funding from John Swire & Sons Ltd with the objective of getting Mandarin Chinese more broadly taught in UK state schools across primary and secondary. The Foundation believes that there is tremendous value for young people to learn a foreign language and that learning Mandarin Chinese in Britain will enable future generations to develop a greater understanding of China.

The Grants Programme Assistant will support both the Executive Director and the Assistant Manager across the remit of the SCLF’s work to help it deliver its objectives. This is a unique and interesting opportunity to join the organisation at a key point in its ten-year trajectory as it works to support schools to continue their language provision post 2026 and help shape what that future might look like. 

The postholder will play a key role when it comes to supporting the Executive Director and Assistant Manager in their day-to-day roles and get very involved in the operations of the Foundation. The work will cover wide remit of areas including: financial administration, supporting with termly funding reports-and-request process for schools, preparing internal expense requests and maintaining the expenses log. You will support with the annual Grant Agreement extension process, general programme administration, the annual data requests and the organisation of annual assessment visits to Centres. The postholder will maintain relationships with the Foundation’s network of schools and other institutions. You will support with board administration, scheduling meeting dates, manage logistics and support with the preparation of papers. You will also support with event administration for two annual conferences and also sit in on many of the meetings which the Foundation holds with various stakeholders and take meeting notes where possible.

You will have strong verbal and written communication skills and experience working with and maintaining good relations with a variety of different stakeholders. You will have a thorough approach to tasks and attention to detail. You will have a curiosity about and interest in the work of the Foundation. You will be flexible and have an adaptable approach to tasks. You will be comfortable working within a small team and also be able to work on your own initiative. You will have sound computer skills (Microsoft Office 365). You will also have strong numeracy skills.

We're looking for someone with experience of verging or similar church support work. Good social skills are essential as is the ability to work as part of a team as well as on your own inititiave.  The ability to work closely with and relate well to all Cathedral staff, ministry team, congregation, volunteers, visitors, and members of the general public will also be required. 

The two Assistant Vergers and Precinct Officers (AVPOs) carry out a wide range of duties under the direction of the Head Verger and Precinct Manager.  Work includes: the careful setting up and delivery of all liturgical matters; ensuring a welcoming, clean, and safe environment for all working in, visiting, or using the Cathedral and Cathedral House and precinct and ensuring the day-to-day smooth running of the Cathedral for all.

Essential experience and skills

• Sympathy with the Christian faith.
• At least one year’s experience as a church or cathedral verger or in a similar role.
• A flexible attitude and willingness to take on a range of duties including practical ‘hands- on’ work.
• Attention to detail and an ability to assess priorities including when under pressure.
• Understanding of liturgy or willingness to learn.

Your role

As Assistant Shop Manager at Scope's Bognor Regis shop, you’ll work alongside the Shop Manager, and use your creativity and flair to flourish in our retail environment. Our retail roles are full of variety, and every day is different! One day you might be be generating and processing stock and designing an eye-catching window display. The next day you might be recruiting and training our wonderful volunteers. Every day there will be a different challenge that you’ll find extremely rewarding. You may also deputise and be responsible for running the shop when the shop manager is absent. A great attitude and willingness to learn are just as important as relevant experience.

About you

You’ll be a dedicated team player with a strong work ethic and committed to providing excellent customer service. You do not need specific retail experience. But we do ask that you are business minded and have worked in a fast paced, service environment where you put the customer’s needs first. You’ll also need to showcase a great attention to detail, solid IT skills and have a creative eye for displays. You will also demonstrate an appreciation of Scope’s values and ambition of achieving Everyday Equality for disabled people.

Our shops are the face of our retail brand, run by a dedicated, creative and passionate bunch of superstars. We focus on sustainable fashion and engaging with local communities. We lead our volunteers to deliver a great colleague and customer experience. And we raise much needed funds to deliver Everyday Equality for disabled people and their families.

It’s important for you to know that Scope Charity Shops are open every day, so some weekend and Bank Holiday cover is needed. We work 35 hours a week, working five days out of seven. Weekly hours for part-time vacancies are on a seven-day rota.

As the Community Shop and Online Manager for our flagship store in Mere Green you will lead a team of paid staff and volunteers. You’ll be empowered to make decisions locally whilst working within a supportive framework. You’ll work within and for your local community ensuring that engagement and support is understood and promoted. 

You’ll have great commercial skills, an understanding of how online selling works and why customer service is key and want to be part of a successful team. Ideally, you’ll have previous retail management experience, be able to demonstrate strong leadership and have the ability to work with and motivate any team.

Reporting into a Regional Manager you will be responsible for ensuring that your store and the online store runs efficiently and delivers a positive financial contribution to the Hospice. You’ll also have the support of a Retail Regional Supervisor, available to provide encouragement, training and development of best practise.

The Role

To work as part of the retail team, in supporting merchandising, processing deliveries, serving customers, and maintaining high levels of presentation and customer service.
