About this role:
As Vet Admin Assistant, you’ll
- be the first point of contact those contacting our busy Vet team,
- assist with the daily monitoring of a number of inboxes, providing clients with excellent customer service,
- support with the administration of our emergency fund, which supports dog owners in financial need and provide cover in our busy pharmacy, based at our London office
- support with the processing of prescriptions, maintain accurate records and organise relationship building meetings with vet practices for a number of stakeholders to attend.

For this role, you’ll need to be an organised, people person; with excellent communication skills, with confidence across different systems, drawing from either experience or your ability to pick up new processes quickly. You’ll also need to work confidently under pressure, while maintaining the ability to prioritise tasks appropriately and use initiative. About this team:
The Veterinary department is a friendly team of nurses, surgeons and administrative staff working in the London office. The primary responsibility for this team is to provide case guidance and management options for dogs within our care across our network of Rehoming Centres and other veterinary related schemes such as Outreach, Shared Adoption Scheme (SAS), Veterinary Support Fund (VSF) and the Emergency Trust Fund (ETF).

Due to the rapid expansion of Day One Trauma Support over the last three years, the charity’s infrastructure has needed to respond quickly to meet its changing demands. The HR Officer and Executive Assistant role is a newly created position to reflect both the growing HR needs of the charity as the workforce expands, and the executive support required by the CEO and Senior Leadership Team (SLT) to ensure the efficient and effective running of the charity. About you:
You will have at least 3 years’ experience of delivering HR support directly and facilitating line managers to deliver HR support. You will have a demonstrable understanding of employment law and the practical application of this, with experience of implementing HR administration and operational best practice for example, in the areas of recruitment, capability and performance management. You will help lead in creating an atmosphere of trust and an enabling environment where staff can contribute their best and develop their potential, which is critical for Day One as a young organisation.
You will have significant experience of providing proactive and responsive administrative assistance to senior staff and demonstrable experience of developing and managing effective administrative systems. Additionally, the ability to build and maintain trusted relationships through professional engagement and communication skills, both written and spoken, that are effective, empathetic and adaptable to different situations are key to this role.
You will be highly organised and responsive to others in a way that is both timely and professional with well-developed time management skills to manage competing priorities, ensure follow up of actions and meet deadlines whilst working under pressure. A high level of accuracy and attention to detail is critical to this role, whilst maintaining strict confidentiality.

The role
We are looking for someone who wants to start their career in marketing and is interested in learning more about CRMs, email marketing and measuring the effectiveness of marketing campaigns. As part of the King’s Fund’s centralised Marketing function, you’ll be at the heart of giving colleagues and customers a consistent, joined-up experience and play a key role in our marketing strategy. You’ll deal with a spectrum of work, spanning everything from writing and creating compelling copy (for both online and offline marketing activity); diving into our CRM system, ensuring data accuracy and managing lists; to pulling together evaluation reports, analysing campaign performance, identifying trends, and providing actionable insights. With support from your manager and rest of the team, it’s a great role to build your expertise and gain valuable marketing experience.
To join us, you’ll need a keen interest in marketing and a blend of creativity and precision to write clear and compelling copy for marketing materials including email campaigns. You will enjoy communicating with people, both in person and on paper. Attention to detail is important and you will be proficient in Microsoft products including Excel. The Fund is committed to a hybrid working model that meets the organisation’s needs, while giving staff flexibility to choose between office and home working. Most staff are expected to work a minimum of 40% from our central London office and are free to work more days from the office if they prefer. The role
We are looking for an Executive Assistant to support our CEO and COO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working with colleagues at a senior level, in an office environment, performing a range of administrative duties. - Inbox management including responding to and redirecting emails and other correspondence as directed.
- Liaise with leadership team and other key colleagues across the organisation.
- Manage information flow in a timely and accurate manner.
