What You’ll Be Doing

As our Individual Giving Assistant – Supporter Acquisition, you’ll play a vital role in supporting our fundraising campaigns and projects, helping to recruit new supporters to the Charity. You’ll be one of the first points of contact for our donors, providing exceptional supporter care and ensuring every supporter feels valued. Your day-to-day will include:

• Responding to supporter enquiries by phone, email and in-person, ensuring all queries are handled efficiently and with care. 
• Thanking donors and personalising communications to build strong relationships and ensuring a positive and lasting first impression.
• Accurately recording and processing donations, and updating supporter records on our database.
• Supporting the delivery of fundraising campaigns, including creating timing plans, proofreading copy and assiting with briefs. 
• Managing invoices and helping with campaign reporting.
• Supporting the team with administrative tasks.
• Working with colleagues and volunteers to deliver the best possible supporter experience.

Abbey Community Centre is a vibrant, long-established community charity at the heart of Kilburn, North West London. Every day, we bring people together, reduce isolation and improve health and wellbeing through inclusive activities, services and community support.

We are now looking for an experienced Centre Operations Manager to play a key senior role in ensuring our busy community hub runs safely, smoothly and effectively for the thousands of people who use it each year.

About Abbey Community Centre

Abbey Community Centre works with people of all ages and backgrounds, with a particular focus on older residents and low-income families with young children. We deliver a wide range of activities, services and support including children’s stay-and-play sessions and drop-ins, fitness and wellbeing activities, befriending schemes, digital inclusion support, community meals, warm space provision, food support, volunteering opportunities and specialist outreach.

Alongside this community delivery, we manage a busy public building and a programme of room hire that helps generate income to sustain our work. With a small staff team, over 100 volunteers and many partner organisations, our operations need to be reliable, well-coordinated and people-centred.

The role and its impact

As Centre Operations Manager, you will be the organisation’s senior operational lead on the ground. Working closely with the CEO, you will hold delegated authority for the day-to-day running of the Centre — ensuring the building, people and systems all work together to support high-quality community activity.

This is a hands-on leadership role combining practical problem-solving with people management. You will line manage and help develop operational staff, oversee facilities and contractors, lead on health and safety and operational compliance, support volunteering, and ensure organisational systems and processes function reliably.

Your work will directly enable staff, volunteers and partners to deliver activities and services safely and confidently, and will help ensure Abbey remains a welcoming, accessible and well-run space for the local community.

What you’ll be working on

In this role, you will:

• Oversee daily building operations, maintenance and contractor management

• Lead on health & safety and related compliance, including risk assessments and training

• Line manage & develop operational staff and support a positive, consistent working culture

• Ensure operational policies and procedures are applied effectively in practice

• Support and coordinate volunteering within the centre

• Manage operational budgets and contracts within agreed limits

• Act as a senior member of the management team, deputising for the CEO on agreed matters

We’re looking for someone to fulfil a wide range of duties working alongside the other Administrative Assistant and volunteers in support of the Office Manager to provide coordinated administration across the Cathedral team. In addition, the post holder will support the Chief Operating Officer in tasks related to the management of the residential let properties located in Old Portsmouth. This includes coordinating property checks, arranging basic repairs and maintenance, supporting lettings activity, and carrying out viewings when properties are vacant. The property portfolio includes flats accessed by stairs only and will require the post holder to visit the flats in accordance with our lone working policy..

Corporate Parnterships Manager

OVERVIEW OF THE ROLE 

This is an exciting opportunity to join the Client Services Team which operates within Helen Bamber Foundation’s vibrant, multi-disciplinary team. The duties of a Client Services Administrator are two-fold 1) is to host our busy reception area and friendly waiting room; welcome clients and visiting professionals to the Helen Bamber Foundation and attend to any needs they might have and 2) to assist with overseeing the booking of appointments between clients and staff/volunteers across the organisation; liaising with third parties and clinicians in relation to Initial Assessments; booking and managing doctor’s diaries for our Medical Advisory Services and the booking of interpreters across the organisation.

The role will work closely with the Office Manager and Appointments Lead as part of the Client Services Team. It includes support and cover to the Appointments Lead and any other operations tasks set by the Office Manager and Director of People. You will be at the heart of an exciting team of experts, working as the face of Helen Bamber Foundation and the first point of contact for both external and internal queries.

MAIN DUTIES AND RESPONSIBILITIES 

RECEPTION FUNCTION

· Greet clients and visitors and fielding a wide range of queries (in-person, on the telephone, via e-mail and WhatsApp) in a timely manner;

· Ensure all site visitors and staff sign in/out using our Visitor Management System

· Handle the charity’s post ensuring that the appropriate persons receive it daily

· Deal with Walk ins in line with the charity’s policy

· Triage queries that come to reception internally to the multidisciplinary team;

· Provide accurate and detailed signposting advice as well as occasional casework for clients that might arise from fielding queries;

· Create and maintain signposting resources as needed

· Open and close reception at the specified times (typically 8.30am and 5pm);

· Order office supplies, refreshments and any other purchases authorise as necessary.

· Handle and accounting for petty cash, including client travel and staff/volunteer expenses;

· Record petty cash transactions on the appropriate spreadsheet and inline with internal policies

· Report discrepancies with Finance and investigating this in line with internal guidelines

· Lead, training, and supervising reception volunteers as well as providing ad hoc training to other members of the team as needed

· Provide administrative support and ongoing tasks as required, including database management, calendar and diary management and file-keeping

· Assist with monitoring and evaluation (client surveys, Key Performance Indicators (KPIs) etc.)

· Undertake any task that may be requested from time to time that may be consistent with the nature and scope of this post

SELECTION PROCESS

We will invite candidates to an initial 15-minute online screening meeting week on Friday 27th February  followed by shortlisted candidates attending in-person interview on Tuesday 10th March or Wednesday 11th March. We will also ask you to complete a short exercise on the day.

About the role

The Reception Worker is an essential and key role within the Resource Centre, acting as the first point of contact and providing a consistent, familiar and friendly welcome when service users enter the space. The role requires excellent communication skills, attention to detail, and the ability to provide a high level of customer service in a busy and fast paced environment, to individuals impacted by trauma. 

Main duties 

• To be the lead worker on client reception in the Resource Centre, working with the Resettlement Team and a rota of staff and managers from across the organisation, as well as locum staff, agency staff and volunteers.
• To be the first point of contact for service users and guests accessing the Resource Centre, ensuring they are provided with a high level of customer service.
• To maintain accurate records of who is accessing the service, what services they are utilising, and ensuring that database access notes are kept up to date by liaising proactively with lead workers.
• To manage and de-escalate potential incidents at the client reception area, and challenge inappropriate behavior as needed, with support from colleagues and duty managers.
• To assist with any admin tasks required.
• To ensure that the reception area is operated safely in accordance with health and safety, and GDPR policies.

• In conjunction with your Line Manager to continuously develop the role to ensure that all tasks are being undertaken in an effective and appropriate manner which meets the strategic aims and objectives of The Passage.

St. Hilda’s East (SHE) is a local charity which aims to combat the challenges arising from deprivation and social exclusion through the delivery of a wide range of engaging activities which promote wellbeing and social connections. Located in Tower Hamlets, our services include pre-school sensory play, youth programmes, social activities and support for older people, advice, a food co-operative, wellbeing activities for people experiencing mental health issues, and volunteering placements.

Founded in 1889 by alumnae of Cheltenham Ladies’ College, we now work from two sites – our large, friendly community centre located in Shoreditch and an Elders Day Centre for the Bangladeshi and other communities in Shadwell. At our Shoreditch community centre, we deliver a wide range of services, activities and events and provide office and meeting space for other organisations. We also manage 2 neighbouring buildings which are tenanted.

Job Purpose:

Working from St. Hilda’s East Community Centre in Shoreditch, the Facilities Assistant will support the Head of Operations, in the day-to-day running and improvement of SHE’s buildings and spaces – ensuring they are tidy, safe, clean, fit for purpose and welcoming. This will involve improving and implementing best practice procedures primarily regarding facilities and all elements of health and safety across both our sites - ensuring that we comply with regulatory standards.

About the Role:

This is an ideal role for someone who enjoys being at the heart of an organisation and likes supporting a busy, friendly team, working across teams – grants development, fundraising and marketing alongside the finance and operations team. We are looking for someone with good experience of working in a growing organisation who is able to build good working relationships with colleagues and manage multiple priorities.

What will you be doing?

1.  Grants and Finance Support:

· To support the Finance and Grants teams by liaising with suppliers of items for grants, checking invoices and records, issuing purchase orders and placing orders

·  Providing first level support with the grants database system.

· Support with invoice entry and payment reconciliation on the grants system.

· Manage the organisation’s petty cash and reconciliation

· Support with processing invoices for payment

· Scanning, filing and logging account documents

·  Checking and updating ledger balances using the computerised accounting systems

2. HR Support:

· Support the HR Manager with recruitment and onboarding processes, and other key HR activities, including:

·  Assist the teams with recruitment administrative tasks including posting job adverts on relevant job boards; arranging interviews; responding to job applicants; issuing reference requests; filing of recruitment records.

· Provide support with induction process and induction schedules for new joiners.

·  Perform data entry and update records and databases for personnel in the HR Information system.

· Update organisation charts and other key documents and handle confidential information professionally.

3. Reception and Enquiries:

· Welcome visitors at Buttle UK and be the first point of contact for phone calls and visitors, signposting callers and enquiries when Buttle UK cannot assist

·  Take responsibility for the out-of-hours voicemail facility and respond to all messages on a timely basis.

· Manage company correspondence including phone calls, emails, letters and packages in accordance with Buttle UK procedures, and distribute to relevant staff.

4. General Administration for the Buttle Office

· Organise set up of meeting rooms ahead of key meetings

· Make travel arrangements and hotel bookings for staff where necessary

· Ad-hoc admin tasks as directed by the Senior Management Team

· Track office stationery levels, including printer requirements and equipment for home-based staff, re-ordering, when required, and maintain relationships with stationery suppliers.

·  Oversee day-to-day office functions to ensure the office runs smoothly and efficiently.

· Maintain and organise office files, both physical and digital.

·  Support the organisation during office events including staff meetings, team building activities and corporate functions.

Role Purpose

The Finance Officer will be responsible for the day-to-day financial management of the charity, ensuring accurate bookkeeping, robust financial controls, and timely financial reporting. Key Responsibilities

Bookkeeping and Financial Operations

• Maintain accurate and up-to-date financial records using appropriate accounting software.
• Manage day-to-day bookkeeping, including income, expenditure, bank reconciliations, and petty cash.
• Process purchase orders, invoices, and payments in line with financial procedures.
• Monitor cash flow and flag any concerns to the CEO.

• Qualified and experienced bookkeeper (e.g. AAT or equivalent experience).

The role of a Children and family Worker will support children and young people under the age of 18 on a one-to-one basis in a confidential space. The role will deliver a wide range of interventions/ education though activities, such as games, arts and crafts and emotional wellbeing resources. The role will utilise a young person-centred approach, empowering them to explore situations which they feel they have little control over to support them to lead a safe, happy, and healthy life.

The role will work in partnership and liaise with other young people services throughout Buckinghamshire, to provide holistic support to young people accessing the service. We need to record information about what we do, so enjoying a bit of admin work and attention to detail is important, but most of the time you’ll be enjoying working with young people from all backgrounds, making a difference to their lives. You will be required to work flexibly across operational sites as required so must hold a full UK driving license and have access to a car. • To holistically support CYP affected by parental substance misuse, using a range of interventions including group work, 1:1 work, whole family interventions, safety planning and safeguarding working closely and proactively with the family unit to support positive and sustainable outcomes.
• Identify families in conjunction with other agencies, who will benefit from a Think Family / Whole family approach, negotiating participation and engagement with the programme of care.
• Identifying and responding effectively to potential safeguarding issues. 
• Reducing drug and alcohol related harm to young people and the wider community.

Purpose of the Role
The Administrator provides essential support across the organisation by maintaining accurate records, supporting compliance, coordinating communication, and ensuring efficient daily operations across the organisation.

Key Responsibilities

1. Records & Compliance (H&S, Training, Equipment)

• Maintain and update relevant staff records, including training logs, H&S documentation, equipment registers.
