The Administrative Support Officer role offers an exciting opportunity to directly influence the efficiency and impact of our work. Working with the Executive Coordinator you will provide administrative support to the wider Leadership Team, enabling them to deliver ambitious plans at a time of organisational growth. 

It involves collaborating closely with Global Canopy team members, particularly Communications Leads, to develop and deliver comprehensive project plans for key external-facing events such as London and New York Climate Weeks (annually), climate COPs (annually), and biodiversity COPs (biennially). 

The successful applicant will serve as the primary point of contact for summit-related events, coordinating meetings, tracking follow-up actions, and providing updates through internal communications. You will oversee all logistical arrangements, including conference registration, travel, accommodation, visa procurement, and insurance, while preparing travel packs for attendees. 

A confident self-starter, you will be able to juggle multiple priorities, across different teams, with excellent IT and organisational skills with a need to log, manage and analyse information, using Excel, Google Workspace applications, and Asana.

Purpose of the role

To develop and deliver Brook’s Education and Wellbeing work with young people, to support and facilitate online training sessions for professionals and Parents, ensuring effective delivery against commissioned contracts as well as programmes that generate additional income for Brook. Brain tumours kill more children and adults under the age of 40 than any other cancer, yet historically just 1% of the national spend on cancer research has been allocated to this devastating disease. Brain Tumour Research is determined to change this. 

Their vision is to find a cure for all types of brain tumours. To achieve their mission, they are looking for a Head of Philanthropy and Partnerships to lead the high value function, including income from major donors, corporate partners, and trusts and grants. The P&P team also encompasses volunteering and relationships held with the family of member charities.  

There is currently an interim Head of P&P in place until August to ensure progress continues towards the income ambition, and to support the team.  

The P&P function is on a journey, much work has been done to embed effective processes and a consistent approach to pipelining. There has been much improvement so far, but there remains a lot of scope for the incoming Head to shape the team, define areas of focus and ways of working.  

The team have had significant success this year, especially in the corporate partnerships space, so there is energy and enthusiasm to harness. There are exciting opportunities for high value fundraising connected to the launch of new Centres of Excellence across the UK, and some key events in the calendar such as a major donor dinner in September.

The responsibilities of the Financial Accountant will include:

• Support the production of the GPA Annual Report and Accounts including provision of consolidation returns for Cabinet Office departmental accounts and Whole of Government Accounts
• Maintain and analyse accurate accounting records including preparation and monitoring of Statement of Financial Position reconciliations and accrual and other journals
• Monitor the effectiveness of key controls including those operated by outsourced service providers
• Prepare tax returns to deadlines including monthly VAT return and Construction Industry Scheme (CIS) returns
• Support the delivery of internal and external audits including provision of fully supporting and signposted evidence, monitoring of requests and responding to auditors in a timely way
• Support continuous process efficiencies and improvements across the function
• Build relationships with key staff across Finance and the business in order to maintain effectiveness and relevance during change

Key Skills & Experience 

• Good experience of financial accounting, ideally within a public sector context
• Good knowledge and experience of VAT
• Strong attention to detail and ability to analyse and interpret significant amounts of financial data
• Ability to seek out new information and self-develop
• Experience of using Enterprise Resource Planning (ERP) systems
• Proficient using Microsoft Excel

The Finance Assistant will play a key role in supporting KCLSU's finance operations, maintaining strong financial controls, and ensuring accurate financial reporting across the organisation.

Main Tasks

• Process and reconcile purchase invoices, sales invoices, and supplier payments, maintaining accurate ledgers.
• Reconcile daily income from multiple systems to banking records and update the finance system accordingly.
•  Support month-end processes, including bank reconciliations, journal postings, and assisting with management accounts.
• Assist with reconciling Balance Sheet accounts, investigating and resolving discrepancies.
• Generate financial reports and data extracts from the finance system to support financial reporting.
•  Support the maintenance of internal financial controls and ensure compliance with relevant financial procedures and regulations.
• Respond professionally to financial queries from staff, students, and suppliers, providing accurate and timely information.

• The role requires 35 hours per week. On occasion, working hours may exceed this, including evening or weekend work to meet deadlines. These additional hours are included in the role's grading and contract.

Candidate Specification

Qualifications
• A finance-related qualification (such as part-qualified Chartered Accountant or equivalent) is highly desirable, with at least two years of relevant finance experience, ideally within a student union or higher education environment, though other sectors will be considered.
• Alternatively, candidates with strong hands-on financial experience in a similar setting, or who are working towards a finance qualification, are also encouraged to apply.

Experience
• Proven, hands-on experience working with integrated accounting systems.
• Demonstrable experience managing all aspects of financial operations, including accounts payable, receivable, reconciliation, and financial reporting.
• Experience in finance business partnering or providing financial advice and support to non-finance staff is highly desirable.
• Experience in presenting financial information clearly and effectively to senior management is desirable.
• Any experience in treasurer or fund investment management is an additional advantage but not essential.

Knowledge
• Solid understanding of accounting concepts, financial reporting, and VAT regulations, ensuring compliance and accurate financial operations.
• A working knowledge of data protection requirements, particularly in the context of a membership organisation, is beneficial.

Skills
• Excellent multitasking ability and a keen eye for detail, with the capacity to manage multiple priorities in a fast-paced environment.
• Advanced IT skills, including proficiency with Excel (intermediate to advanced), and strong Office 365 competency to produce reports and manage data efficiently.
• Strong communication skills, both verbal and written, with the ability to interact diplomatically with staff, students, and external stakeholders.

About the role:

This Best Companies Top 100 mid-sized company and Top 20 charity is looking to appoint an Executive Assistant to provide proactive and efficient administrative and operational support to the Senior Leadership Team and the Board of Trustees, whilst observing the strictest confidence. This is a part time job share role, working 3 days per week.
