About the role

The HR team is responsible for a broad range of functions supporting our 24-strong staff team and trustees. The HR & Executive Support Assistant will play a key role in delivering effective HR administration while also providing wider administrative support to help ensure the smooth running of the organisation.

Working closely with the Director of Finance & Resources, our outsourced HR Consultant and the Finance & Administration Officer, the postholder will support the employee lifecycle, maintain HR systems and records, coordinate training and wellbeing activities, and help ensure HR processes are delivered accurately and efficiently.

Alongside the core HR responsibilities, the role will provide support across a range of central organisational activities, including supporting with office administration, governance, trustee administration, staff meetings and events, maintaining internal systems and records, and assisting with cross-organisational projects led by the Senior Leadership Team.

About the role

CoramBAAF’s membership is central to the organisation’s aims and activities. The Member Services Team provides a comprehensive service to corporate, associate and individual members and customers in all four nations of the UK. The team manages and tracks member renewals, enrols new members, implements recruitment and retention strategies, co-ordinates service delivery to members and handles a wide range of membership enquiries.

The team is also responsible for the licensing of CoramBAAF’s health and social work report forms, essential to practice in adoption, fostering, kinship care and other substitute care UK-wide. Activities to support the licence scheme include managing and tracking licence renewals, coordinating the release of new and updated forms, enrolling new licence holders and handling a wide range of queries.

The Member Services Manager will provide leadership and line management across both membership and the forms licence scheme. As our Corporate and Community Partnerships Fundraiser, you will build meaningful relationships with businesses, community organisations and local people across Bristol, generating sustainable income and long-term support through corporates, community fundraising and events.

· Manage a portfolio of existing corporate partners, providing exceptional supporter care and delivering successful partnerships

Other Responsibilities

· From time to time, support other fundraising income streams and activities across the Fundraising Team, in line with the needs of the charity.

· Proven experience securing fundraising income. Experience in corporate partnerships, community fundraising or events is preferred, although experience in other fundraising disciplines (such as trusts and foundations, major donors or individual giving) will also be considered.

Operational
* Support the delivery of planned, cyclical and sustainability projects from inception to completion, including programme planning, site inspections, stakeholder engagement and project reporting.

The Business Administrator works directly to the Director and supports the Senior Management Team (SMT), and is responsible for the effective running of the office, including dealing with correspondences, diaries and meetings and internal systems, including but not limited to, Microsoft Office, Stakeholder Register, Decision Time, Smartsheet's and Risk Management systems, keeping these up-to-date in support of the SMT.

Key duties and responsibilities

The post holder will:

-Effectively manage the efficient working of the Director's office being the first point of contact and providing administrative support and coordination across all functions, i.e. planning, risk, budget, training and general office activity.

-Organise and plan diaries, to optimise time, making travel and other arrangements as required.

-Be responsible for managing and responding to correspondence to the Director, identifying appropriate action and responses.

-Set up internal and external meetings as required and ensure the smooth running of these by setting dates, ensuring papers go out in good time, booking rooms and refreshments, taking accurate minutes and being proactive in following up actions arising.
