ABOUT TRAIN

TRAIN is a youth work charity based in South Oxfordshire. We support young people aged 10 to 18 in Didcot, Wallingford and the surrounding areas, especially those who are under-served.

Young people in our communities are facing complex challenges. Mental health struggles, pressures at school, family instability and the impact of poverty can leave them feeling isolated or overlooked. Too often, they don’t have access to the right support at the right time. TRAIN exists to change that. We offer trusted relationships with adults outside positions of authority, safe spaces where young people can be themselves, and opportunities to grow in confidence, make positive choices and feel part of their community.

ABOUT THE ROLE

This is a key support role in a small, values-driven charity. While most people know TRAIN for its youth work, the smooth running of our organisation depends on good systems, clear admin and reliable behind-the-scenes support. That’s what this role is about.

As Charity Support Officer, you’ll take care of the day-to-day admin that keeps us organised, while also supporting projects and events that help TRAIN grow. Some responsibilities are regular — such as finance processing, HR and volunteer onboarding, responding to enquiries and keeping records accurate. Others will vary week to week, from preparing a funder report to liaising with contractors on a website update or helping coordinate the Didcot Youth Festival.

We’re looking for someone who is organised, adaptable and comfortable juggling different tasks. You won’t be expected to lead major projects or make big decisions, but you will be the first port of call for the small, steady tasks that make a big difference. If you enjoy variety, value attention to detail, and want to play a part in supporting life-changing youth work, this role could be a good fit.

This is a part-time role of 15 hours per week, which can be worked flexibly. The role is based in Didcot or Wallingford with hybrid working. We expect at least some office time each week, but for exceptional candidates, we will consider a fully remote arrangement.

JOB DESCRIPTION

Core (day-to-day focus)

• Communications and enquiries – be the first point of contact for general enquiries via email and social media, ensuring timely and professional responses.
• Project coordination and events – Coordinate various ad hoc projects (e.g. website refresh, new systems) and provide support for events such as the Didcot Youth Festival.
• HR and volunteer support – coordinate onboarding for staff and volunteers, including references, DBS checks and inductions.
• Office and building liaison – help keep the Didcot youth centre running smoothly by liaising with the landlord/service manager and handling facilities needs.
• Team support – provide admin support across the CEO, staff and trustees, including scheduling, minute-taking and document preparation.

Important (regular, but secondary to the above)

• Finance administration – support the CEO and our bookkeeper with tasks such as processing invoices, expenses, payments and payroll information.
• Data and monitoring – keep records up to date (attendance, impact data, safeguarding logs) for accurate reporting.
• Comms basics – work with the Fundraising and Communications Coordinator to update the website, draft newsletters and prepare supporter updates.
• Database and records – maintain supporter, volunteer and young people’s contact details.
• Policies and procedures – keep master copies organised and flag review dates.
• Health & safety admin – support with risk assessments, building checks and first aid supplies.

Occasional (as needed)

• Fundraising support – assist with funder reports, donor thank-yous and admin for community events.
• Safeguarding admin – support the Designated Safeguarding Lead with record-keeping and DBS renewals (admin only).
• Governance support – assist with trustee papers, annual returns and filings.
• Supplies and logistics – order office supplies, consumables and manage petty cash/card reconciliation.
• IT and systems – liaise with IT suppliers on logins, backups or new staff accounts.
• Insurance/licensing renewals – track renewal dates and ensure processes are followed.

ABOUT YOU

We don’t expect you to have experience in every area of this role — we know people pick up skills in different ways. What matters most is that you’re organised, reliable and keen to support the team.

Essential qualities

• Organised and detail-focused, able to keep systems and records tidy.
• Good communicator, confident in responding to emails, calls and enquiries in a professional and friendly way.
• Comfortable juggling different tasks and adapting to what’s needed week by week.
• IT literate, with good working knowledge of Microsoft Office (Word, Excel, Outlook).
• Able to work independently but also collaborate well as part of a small team.
• Motivated by making a difference for young people through the support you provide.
• Satisfactory Enhanced DBS check (we will arrange this before you start).

Desirable qualities

• Experience of charity administration, finance or HR processes.
• Familiarity with database/CRM systems or monitoring tools.
• Experience coordinating volunteers or supporting events.
• Knowledge of safeguarding, data protection or health and safety admin.
• Experience preparing simple reports or supporting fundraising admin.

Considerations:

• The Fundraising Team is small, working closely with other teams including Marketing, Enterprises and Curriculum, so flexibility in approach is a must.
• Some periods will be busier than others, for example events seasons, student performance times, so prioritisation and flexibility will be needed.

We are looking for an Adult Carer Wellbeing Navigator, employed by Sutton Carers Centre and based within the Wellbeing Team at Sutton Talking Therapies as well as our Centre. In this role, you will provide both practical and emotional support to Carers - helping them to set goals, develop effective coping strategies, and strengthen their confidence by accessing appropriate therapeutic interventions. 

You will bring experience of working with people facing difficulties around their mental health, offering person-centred support designed to improve their overall health and wellbeing. You also will have knowledge of the wider issues that may affect mental health, including the particular challenges and rewards of caring for others.

Strong organisational skills and the ability to manage competing demands in a fast-paced, dynamic, multi-partner environment are essential. Flexibility is also key - you’ll need to respond to the varying needs of Carers and the organisation, including occasional work outside standard office hours.

8. Support Able Child's individual giving programme, assisting with donor communications, building relationships with donors and growing our income.

9. Support community fundraising activities, empowering existing and newly sourced supporters to independently generate funds through independent events and activities.

Provide other support to the Fundraising and Communications and wider operational teams as agreed, including supporting routine office operations.

10. Maintain our Salesforce database, keeping detailed records of communications, support and donations from individuals and organisations.

11. Support our advocacy objectives, working with the Advocacy team to produce high quality and consistent messaging for use within the international development sector.

Competencies

Experience

1. At least one years’ experience in a fundraising, communications, marketing or sales support role or similar.

2. Experience of managing or supporting the management of events to, ideally including managing volunteers or supporters to raise funds.

3. Experience or knowledge of writing funding applications, ideally with a demonstrable track record of securing funds from Trusts and Foundations.

Skills and Technical Competencies

Who we are:

Muslim Aid is a UK faith-based international development organisation that provides support to communities around the world affected by disasters, conflict, or endemic poverty without regard to their social, religious, or ethnic background.

As the Monitoring, Evaluation, Accountability and Learning (MEAL)  Officer focuses on strengthening and supporting the various projects, including the collection of programme wide statistics to detail the reach and results of Muslim Aid UK  (MAUK) programmes. The MEAL Officer will provide guidance, coordination, and technical support to Country Offices and Partner’s MEAL systems through MAUK Programmes, ensuring that the programme has the flexibility to respond appropriately to the context while ensuring quality, effectiveness and responsiveness in line with humanitarian standards, as well as compliance with the Institutional donors.

The position supports a robust monitoring system that facilitates both accountability and learning and includes data collection, analysis, learning reflection and timely action-taking in support of quality service delivery.

You will play a critical role in this unit with an exciting mandate to support and improve the dynamic programmatic portfolio Muslim Aid Implements Globally. You will work closely with partners and country offices and contribute to improving systems within IPD.

About the Role:

1. Collaborate with the MEAL Manager, country offices and partners staff to craft MEAL systems that align with the project, and MAUK Global objectives, are relevant to the context, responsive to assessed needs, are measurable and are in compliance with grant requirements.
2. Ensure that all relevant collaborators have timely access to appropriate information and evidence.
3. Support in the review and prepare timely and accurate MEAL reports, including progress reports and impact assessments.
4. Provide assistance in monitoring programme progress including the design of appropriate MEAL Plans, indicators, targets, baseline data, timelines, data collection tools that can track progress of projects’ progress.
5. Support the preparation of terms of reference of external and internal evaluations, case and impact studies in coordination with the focal points.
6. Support the MEAL Manager on building capacity among staff and partners in MEAL concepts and practices.

About You:

To be successful in this role, you will need:

1. Bachelor’s degree required; postgraduate degree in international development, sustainable livelihoods, humanitarianism, or programme management preferred.
2. Understanding of development programmes design, implementation and evaluation.
3. Experience and understanding of monitoring and evaluation of programmes; using of quantitative and qualitative research data collected in support of programme development.
4. Experience developing logical/results frameworks, indicators, and MEAL plans.
5. Strong interpersonal and communication skills; effective in diverse and challenging environments.
6. Strong measurement, analytical, systematic thinking, planning and organisational skills.

Job purpose

To support Debt Advisers in their roles and ensure that the advice provided to overindebted Clients is accurate, effective and tailored to individuals’ circumstances. To support, and regularly audit delivery partner organisations, ensuring that they are prepared for external reviews of their service in line with their Grant Agreement.

Scope of role

The Debt Technical Supervisor is responsible for supporting Debt Advisers to ensure the delivery of accurate, effective, and tailored advice to over-indebted clients. This role involves conducting debt-advice interview observations, reviewing case files, and identifying training needs for advisers. The Debt Technical Supervisor provides real-time support and constructive feedback, helping advisers navigate complex cases and ensuring they have access to the necessary resources and information. Additionally, the role includes auditing delivery partner organisations to prepare them for external reviews and supporting them in meeting compliance and quality standards. The supervisor will collaborate with the Quality Assurance Manager to promote best practices, address risks, and contribute to the continuous professional development of advisers.

Key Responsibilities

1. Support Debt Advisers in their roles and ensure that the advice provided to over- indebted Clients is accurate, effective and tailored to individuals’ circumstances.

• Conducting debt-advice interview observations
• Undertaking debt advice file reviews
• Identifying advisers’ soft skill and technical training needs
• Providing constructive feedback, and pastoral support, to advisers and their line managers
• Providing real-time support to advisers, which will include but is not limited to providing guidance in complex matters and provide advisers with sources of information.

2. Support, and regularly audit delivery partner organisations, ensuring that they are prepared for external reviews of their service in line with the Grant Agreement.

• Ensure partner organisation are kept up to date with the requirements for external assessments.
• Supporting partner organisations with the preparation and review of files and documentation ahead of an external assessment.
• Support partner organisations with the implementation of any remedial actions following an external review and support advisors to identify suitable training to improve areas highlighted.

3. Ensure project compliance and quality requirements are achieved.

• Working closely with the Quality Assurance Mangers to ensure Advisors based at delivery partners have a good awareness and understanding of the quality and service delivery requirements and have active involvement in the delivery of partnership events related to both quality improvement and CPD.
• Working collaboratively to share good practice in performance and quality improvement and to progress key priority areas of work.
• Escalating risks promptly and appropriately and contributing to wider monitoring and reporting requirements.

Person Specification

The successful candidate will demonstrate:

Essential Criteria:

1. Experience and Skills:

• A minimum of two years’ full time (2,220 hours) or equivalent part-time experience of delivering debt advice
• Hold a valid Money and. Pension Service accredited qualification in debt advice
• Have recent knowledge and experience of specialist debt casework
• Ability to supervise, develop and motivate a team of Debt Advisers to achieve performance, quality and Continuous Professional Development
• Understanding of the issues involved in interviewing clients (all channels)
• Ability to analyse and interpret complex information and produce and present clear reports verbally and in writing in cross cultural settings.
• Ability to work with funders and (partner) organisations to earn and maintain the trust of the people with whom Toynbee Hall deals.
• Experience of the monitoring, managing and evaluation of projects and performance
• Have achieved the MaPS competency requirements for a Technical Debt Supervisor (or be working towards these) and have experience of monitoring casework for quality.
• Proven ability to work creatively to support change management using a solution-based approach that resolves issues and accomplishes goals
• Ability to lead and contribute to the team, including the ability to prioritise own work and the work of others, and take decisions in relation to service delivery and rota cover (if required)
