Starlight has a long and successful track record of delivering high-profile, high-value special events, including the prestigious Blenheim Ball, Newbury Race Day, and until recently, the Highclere Clay Pigeon Shoot. These events are supported by influential committees and play a critical role in raising income, stewarding donors and connecting supporters with our purpose.
With a gap in our Philanthropy team and maternity leave expected to begin in March, this 18-month fixed-term role exists to lead and deliver Starlight’s flagship events at a senior level, with immediate responsibility for the Blenheim Ball (April) – the event Tatler refers to as “ society’s smartest ball “chaired by Lady Alexandra Spencer Churchill; and Newbury Race Day (May) – one of Starlight’s longest-standing and most successful supporter events, hosted by Nicky Henderson and his Committee.
This is a senior, delivery-focused role designed for an experienced events professional who can hit the ground running and immediately take ownership of two flagship events. Working closely with the Committees, you will bring leadership, strategic judgement and outstanding project management to ensure these events continue to excel in reputation, income and supporter experience.

The Finance & Office Executive will play a key role in ensuring the financial health and effective administration of the charity. Working closely with the CEO and Head of Finance & Operations, the postholder will provide financial assistance, manage the office, and undertake the administrative functions required to support the smooth running of the charity.

The Sporting Events Team at Alzheimer’s Research UK (ARUK) is responsible for securing income from individuals taking on sporting challenges and effectively managing relationships to maximise income.
As Sporting Events Administrator, you will play a significant part in contributing to a high-performing fundraising team. You will work closely with the Sporting Event Managers (SEM) and Sporting Event Officers (SEO) to drive the continued growth of the charity’s sporting event fundraising income. You will also be required to show excellent organisation and relationship-building skills to support supporters.

This is a 12-month fixed term contract to cover a secondment period.
Key Responsibilities:
· Provide excellent customer service to Sporting Event fundraisers, to acknowledge support and increase long-term loyalty.
· Ensure fundraisers and volunteers have all necessary materials for fundraising initiatives.
· Keep up to date with fundraising legislation and codes of practice to be able to provide relevant advice to fundraisers.
· Effective management of administrative support for team, including accurate recording of sporting fundraising data in the Salesforce database.
Event and Supporter Management
· Support the team in managing the sporting events as agreed with the Sporting Events Manager (SEM). Including recruitment of sporting places, recruitment of volunteers, communications plans, event marketing and event attendance.
· Working alongside the SEM and the SEO to manage the stewardship of all supporters.
· Build and manage relationships with prospective and current sporting fundraising supporters through prompt, helpful, professional and friendly contact.
· Taking the opportunity to maximise income and long-term support with every fundraising supporter, suggesting ARUK fundraising products where appropriate.
· Schedule and deliver stewardship good luck calls for all portfolio sporting eventers.
· Drafting prompt, professional thank you letters and certificates to fundraising supporters.
· Fundraising data management includes adding new constituents to the fundraising database (Salesforce), ensuring details are accurately recorded and maintained and that supporters are appropriately thanked.
· Managing emails sent to sporting events inbox.
Events Support
· Support in the effective delivery of sporting fundraising events for ARUK.
· May include relationship management with suppliers and logistics companies.
· Attendance of weekend events where necessary.

Additional Information:

What you’ll be doing …
Our Head of Events (HoE) will bring leadership and strategic vision to the Society’s Events team encompassing scientific conferences, venue hire, and training courses, working to deliver the business plan and achieve targets for this active, income-generating department.
This role will be responsible for supporting the six-strong team in delivery of our busy events programme, working effectively with conference convenors, and providing exemplary support to our delegates, venue users, sponsors, and clients throughout the year. Working closely with the Director of Science & Engagement, our new HoE will work to develop robust and diverse income streams for the Society from our events as well as sponsorship and will oversee the expansion of our venue hire provision into new markets (e.g. weddings) in addition to seizing other opportunities for growth.
Overall responsibilities / requirements …
Management & Leadership:
- Shape and lead the Events team to deliver top-quality leadership and coordination of our events programmes and customer service for both internal users and external clients
- Continue to support a commercial approach to income generation across the Events department, to support revenue growth and diversification across sectors
- Grow event sponsorship, proactively identifying sponsorship opportunities and supporting the team, convenors, and others to become more confident in developing sponsor relationships and securing sponsorship income.
- Grow and nurture relationships with Fellows and external partners
- Grow and nurture relationships with internal staff across other departments, particularly those jointly responsible for delivering upon the Society’s strategic aims
- Provide leadership and mentorship to the Events team, supporting ongoing professional development

- Oversee the development and implementation of a strategy for the branding and marketing of events from web, print and social media alongside our Events Marketing Executive
- Embed a commercial approach to conference development and delivery
- Lead the development of partnerships across the Events team, including the management and delivery of joint, flagship events such as the Energy Geoscience Conference (EGC) series in partnership with GESGB

Venue Hire Oversight:
- Provide strategic leadership, working with the Venue Hire Lead to develop and implement a comprehensive strategy to grow and diversify venue hire revenue, aligned with the organisation’s wider commercial objectives.
- Lead on the design, launch, and ongoing development of our new Weddings venue hire initiative in partnership with our Venue Hire Lead following the granting of our wedding license from Westminster City Council, ensuring strong market positioning and a high-quality client experience
- Work with the wider events team to improve booking and on-the-day service for internal and external venue-hire clients
- Oversee and continuously improve the end-to-end booking journey and on-the-day service for internal and external venue-hire clients, working closely with the wider events team to deliver a consistently high standard of service.
- Lead on the procurement and management of key suppliers (including catering and other event services), running competitive tenders and negotiating contracts that best support the quality, profitability and sustainability of our events programme.
