The Willow Major Events Team hosts a range of events to engage Willow’s key supporters. These range in large-scale events such as the Willow Ball and London Football Awards, to smaller more intimate events such as Golf and Shoot Days.

Job purpose

• This role will support the delivery of Willow’s programme of Major Events, as well as supporting third party events, ensuring that these promote and present Willow in a professional and compelling manner, maximising opportunities for donor cultivation, fundraising and maximising income generation.
• To work with the Events Manager on delivering events to an exceptional standard.
• To lead on auction procurement and fulfilment to maximise fundraising revenue.

Key responsibilities

Core Events

• To support the events strategy through delivery of high-quality events, designed to attract current and new supporters.
• To support the Events Fundraising Manager in ensuring that each event plan is actioned in a timely and efficient manner, as well as working with external suppliers, ensuring all suppliers work to agreed terms and conditions
• To assist in the research, development and planning of potential new event opportunities, ensuring that the events programme evolves in response to new fundraising requirements, opportunities and sector trends.
• With support from Event Manager, lead on events within the portfolio, working with key stakeholders and suppliers, ensuring delivery of a high-quality event.

Auction

• Lead on securing auction prizes for relevant events, developing relationships with key supporters and external businesses to secure exclusive and desirable auction items.
• Manage the auction fulfilment process, ensuring all auction winners are thanked post event and that lots are fulfilled in a timely manner.
• Oversee online auction platform, ensuring accurate listings, engaging descriptions and looking for ways to maximise income.

Event Supporter Stewardship

• Provide support on guest management, ensuring a smooth process for guests during the lead up to and on the day of the event.
• Build and maintain strong relationships with major donors, guests and stakeholders ensuring excellent stewardship and recognition
• To identify opportunities to engage or recruit new event supporters to existing or new events in the Willow calendar.

General

• To support the Events Manager with financial management of each event, supporting on areas such as: budgeting, planning, controlling and monitoring expenditure as appropriate and managing income against targets, KPI’s and provide regular revised projections as required.
• To maintain good practice in the use of database system (Raiser’s Edge), including the events module, ensuring that information is recorded accurately to allow for excellent supporter care, stewardship and accurate analysis of event performance.
• To keep up to date with current competitor activity, potential new opportunities for events and improved ways of managing and developing events.
• To keep up to date and comply with fundraising, data protection and other relevant legislation and codes of practice and good standards.
• To undertake any other tasks reasonably required.

The Charity

There are part-time roles available with community litter picking charity CleanupUK, who need help in their mission to engage people in looking after their local environment.

CleanupUK is recruiting three Community Cleanup Champions to work closely with our partner organisations in one of the following areas, encouraging local litter picking via our Cleanup Hub network: 

• One role covering: Salford and Manchester

• Two roles covering: Camden, Enfield, Hackney, Haringey, and Tower Hamlets (Split of boroughs to be decided) 

Cleanup hubs are spaces to store equipment for individuals and groups in the community to use. By hosting this equipment and loaning it out, Cleanup Hubs are championing volunteering in the community and promoting litter picking. 

CleanupUK provides equipment and promotional support to help Cleanup Hubs get started with litter picking and engaging local people.   

Cleanup Champions work closely with Cleanup Hubs and other partner organisations to encourage more people to get involved in litter picking locally. 

We are keen to find cheerful people, with a sense of fun, who care about the environment and enjoy chatting to people of all backgrounds.   

Main Purpose of the Role:   

• To increase the number of people borrowing litter picking equipment from the Cleanup Hubs in your local area. 

• To represent CleanupUK at a local level by attending litter picking events and supporting the development of the Cleanup Hub network.   

• To develop strong relationships with partner organisations in the community: 

• Supporting existing Cleanup Hubs to increase levels of engagement in their area by contacting new groups. 

• Research and develop potential new partner organisations. 

Key Tasks include:   

• Liaising with Cleanup Hubs and local communities.  

• Hosting and attending events and reporting back to CleanpUK’s Operational Team.   

• Helping to keep active records of the litter picking that is taking place. This includes: ensuring litter picking statistics are being logged online by hubs, taking photos for our social media channels, and making notes on our shared database. 

• Promoting the project locally, both on the ground and online.   

• Online research to help us to identify new community partners, and attending online or face to face meetings with new prospective partners. 

• Attending monthly team meetings online, and an annual face to face day-long team meeting. 

• Developing an awareness of local funding opportunities and communicating these to our fundraising team.

• Occasional support to CleanupUK’s corporate partnership team may also be required such as leading a litter picking for a company.

IPSEA is the leading charity in the field of special educational needs and disability (SEND) law in England, and we provide free and independent legal advice and support to families of children and young people with SEND. MAIN DUTIES AND RESPONSIBILITIES

Events Fundraising

• Assist in the planning and execution of a diverse range of fundraising events, including challenge events and community initiatives.

Community Fundraising

• Manage our CRM database.
• Maintain accurate records to track communications, income, and supporter preferences, ensuring compliance with GDPR and data protection laws.

Administrative and Financial Support

• Process cash and cheque donations, Gift Aid and matched funding claims, ensuring this income is processed and recorded accurately on our database.
• Adhering to fundraising budgets, tracking income, and ensuring effective expenditure management.
• Manage the distribution of supporter resources, conduct stock checks for fundraising materials and ensure an organised work environment for all fundraising assets.
• Overseeing our online shop.

Marketing and Communication

• Create engaging materials (posters, leaflets, stories etc) and social media content to inspire participation in fundraising activities.
• Produce regular newsletters and impact reports.
• Ensure fundraising and associated webpages are kept up to date.
• Collate information for the Head of Fundraising to support trust and foundation applications.

Team Collaboration

• Work collaboratively with the wider team (when required) to support in-hospital and community events as well as assisting with tasks as needed to ensure smooth charity operations.
• Support team members with ad hoc projects, activities, and any high-priority tasks to contribute to overall team objectives.
• Any other duties as required by the Head of Fundraising.

ADDITIONAL INFORMATION

Salary is £27000 - £29,000 (depending on experience) FTE per annum. The role covers 30 hours per week. A minimum of one day per week working in our charity office and the remaining hours working remotely which may be spread across 3-4 days depending on preference and will be discussed at the interview stage. Occasional evening and weekend work subject to our events calendar.

One-year fixed term contract however there is potential to increase working hours and / or extend contract length after 12 months subject to performance.

A full driving licence or the ability to travel to events and meetings within London and the South East is essential.

This is a high-impact role, designed to support individuals with multiple and complex needs, including mental and physical health challenges, substance use, and a history of offending.
