Sheila Coates Foundation is a registered charity that provides funds for secondary schools or colleges in England in order to support autistic students.

Our current Business Manager is retiring. We are therefore seeking a new Business Manager to join our small team of professionals. With strong knowledge and skills, the Business Manager will ensure that the charity is well administered and meets its governance, financial and employment responsibilities. The successful candidate will work collaboratively with Trustees and staff to ensure that our funds make the biggest difference to autistic students.

The role of the Business Manager is to work closely with the Chief Executive, Chair, and the Board of Trustees to ensure the charity is effectively managed and meets its governance, financial, and employment obligations. The Business Manager will also support the charity's development, helping to implement its aims and objectives, ensuring that its projects align with its brand and values, and contributing to areas like grant giving when necessary.

The Business Manager will be accountable to the Board of Trustees and directly report to the Chief Executive and Chair of Trustees. Key responsibilities include overseeing the charity's finances, providing financial updates to the Board, ensuring the charity operates in line with legal and regulatory requirements, and managing policies and systems that ensure the charity functions smoothly.

The Business Manager will oversee financial tasks such as budget management, payroll, year-end statements, liaising with auditors and accountants, and ensuring compliance with relevant financial laws. In terms of management, the Business Manager will support the Board and Chief Executive in their operational and strategic work, manage external service providers like IT and HR services, and maintain strong relationships with partners and stakeholders.

The role also involves planning and organizing resources to support the charity's development, enhancing its reputation, and staying updated on relevant laws, particularly in finance, charity governance, and employment law.

Purpose of the role

Reporting to the Head of Operations and working collaboratively with the Partnerships Project Manager, the Programme Delivery Officer will play a crucial role in the day-to-day programme management of the organisation’s programmes and partnership delivery.

This role will also involve strong elements towards cultivating relationships with key external partners, including businesses, non-profits and other stakeholders, to enhance organisational initiatives, drive growth, and ensure long-term collaboration. Providing rigorous operational support and programme administration as needed.

Main Duties and Responsibilities

· Provide comprehensive support to the Partnerships Project Manager

· Build and maintain strong relationships with current and potential new partners to maximise engagement and collaboration.

· Act as a point of contact for partners and project/programme stakeholders.

· Assisting with programme and project initiation, such as design and planning.

· Assisting with programme and project delivery, such as: updating progress, resolving problems, ordering content and collateral, and supporting with other delivery tasks.

· Data analysis and programme reporting, preparing partner reports and tracking performance.

· Organise and deliver outreach and engagement activity (such as running stalls at events) to partners, community groups and local charities.

· Travel to engagement events across the UK

· Represent and advocate for Drinkaware at partnership or public meetings and events.

· Coordinate with various departments (marketing, communications, partnerships, etc.) to ensure smooth implementation of partnership initiatives.

This came on the tail of the Covid pandemic, which transformed how and when people use workspaces and events spaces. The funding means we are now at a pivotal time to rebuild both our events program and our offer as a beautiful, ethical and central venue to hire, as well as exploring how to diversify our services. You will be an instrumental part in the development and growth of our activities and in overcoming these recent challenges.

You will be part of an exciting new chapter for our organisation, as we prepare for our events “relaunch”,  diversify our services and begin working on exciting new development projects. As our Finance Manager, you will be an integral part of this transition, working alongside the Building Manager and Community Engagement Manager, to increase event occupancy, improve our current services and financially futureproof Bridge 5 Mill.

MAIN DUTIES

Bookkeeping;

The Engagement Manager employed by Turn2us will deliver activity with smaller charities and grassroots organisations supporting those facing financial insecurity that:

• Increases awareness of the impact of environmental change and related policy on different communities 
• Listens to people in these communities to find out what actions they want charities and local government to take
• Develops shared local environmental policy priorities and empowers these organisations to advocate directly to local and national policy makers
• Identifies actions that these organisations can take to support communities to respond to climate change, and helps organisations to implement them
• Identifies people with lived experience to receive hands on training in order to act as diverse champions to media and policy makers

They will play a pivotal role in leading fundraising and shaping the charity’s future . Our Product and Systems Management team are responsible for: defining our product vision; setting the product strategy; and executing on it by delivering new functionality that meets customer needs and supports business goals.

Across all of our products our Product and Systems Management team cover the following areas:

• Being fully responsible for the provision and management of the system
• Owning the list of user requirements. These are known as product backlog items (PBIs) and are drawn from user group meetings/discussions. These PBIs are then scheduled for build and release. 
• Manage the relationship with any external support companies for the relevant products and interconnected products and systems including accounting online, bank checking and deduping systems.
• Manage the data cleanliness, accessibility, availability and retention in accordance with our data governance and security policies particularly the information and data management framework. And develop and maintain automated processing of bulk data.
• Enshrine continuous improvement into the use and development of our Products.

Our use of Product Management comprises of all of our critical business systems (Finance, HR, Intranet, Microsoft end user applications).

Our Head of Product and Systems Management plays a crucial role in the development and delivery of our Product and Systems Management. This role is also responsible for defining and delivering the Product and Systems Management team’s strategy/roadmap and ensure they are delivered. 

For this role we’re looking for:

• Expert level experience of managing a Systems Support Team
• Expert experience of Product Management

About the role

The Finance Manager plays a pivotal role as a key advisor to the CEO, SMT and Board of Trustees, providing professional insights into financial matters to support effective planning and decision making. You will lead on all aspects of financial management including budgeting, accounting and compliance, financial management of grants and liaison with our auditors.

Main Duties and Responsibilities

• Monthly/Quarterly reconciliation of balance sheet and Profit & Loss accounts.

• Manage accruals and prepayments.

• Reconcile intercompany accounts.

• Manage Withholding Tax certificates

• Maintain Fixed Asset Register.

• Produce timely, detailed, and accurate quarterly financial reports and cashflow forecasts with variance management, to enable management decision making and for submission to funders.

• Work collaboratively with colleagues to produce an Annual Budget.

• Manage the organisation’s investment platform to maximise investment income and oversee cashflow management.

• Assist with the financial aspects of funding applications and monitoring reports.

• Manage audit compliance and the year-end audit process, providing the necessary information to external auditors.

• Complete statutory returns to Charities Commission and Companies House

• Manage Trustee governance at Charities Commission and Companies House

• Manage Gift Aid processing and HMRC returns.

• Manage all annual insurances and stakeholder pension scheme.

• Line-manage a part-time bookkeeper who oversees the purchase and sales ledger functions, bank payments and reconciliations, processing credit card and expense transactions, donation platform reconciliations and pension auto enrolment compliance.

• Provide ad hoc financial information to the CEO, SMT and Board as required.

• Be an active lead in the financial management of the company providing reports to the SMT, Board and funders

• Lead on providing insight into the financial aspects of the organisation’s activities.

The Snowdrop Project is the first organisation in the UK to provide long-term, community based support to survivors of modern slavery and exploitation. We aim to empower survivors of modern slavery and exploitation to recover from their experiences and thrive. We aim to reduce the risk of re-exploitation, to create and implement models of best practice and to share this knowledge with other agencies and individuals nationally and beyond.

Each year, our casework team engages with over 150 individuals and their dependents to provide trauma-informed advocacy, advice and support towards independence. The Casework Manager leads our team of specialist caseworkers to deliver this programme, carry a small caseload, collaborate with our wider operational team to develop opportunities, influence national policy and improve access to support for survivors in South Yorkshire and beyond. 

Position: Casework Manager

Salary: £32,000 per annum, pro rata, pension paid at 4% contribution

• Developing the casework service delivery, empowering your team, creatively approaching problems and finding creative solutions to barriers
• Working in collaboration with the wider Operational Team to deliver whole-person centred and best practice approach with Counselling and Community managers. 
• Assessing referrals and delivering support to survivors with complex needs
• Contributing to our policy, training and research programme to improve lives beyond South Yorkshire

As Senior Development Manager, you will aim to maximise funding from trusts and foundations, strategically build relationships and proactively seek further opportunities to continue expanding the charity’s portfolio of existing relationships and promising prospects to ensure continued, high-value philanthropic support. This is a full-time, 9 month fixed term contract (maternity cover), aiming to start in July. Hybrid in Central London.

Who are we looking for?

Ideal candidates will possess significant and demonstrative experience working with trusts and foundations. You will have a proven track record of producing compelling and successful grant proposals to secure high-value, multi-year grants (success with securing six/seven figure grants highly desirable.) You will have excellent relationship management skills and will be adept at engaging and inspiring donors and understand diverse donor motivations. Candidates will have demonstrable skill in adapting and delivering complex and technical written and verbal communications for a philanthropy audience. Knowledge of the institutional investor landscape and/or finance industry would be a bonus however it is not essential for the role.

Waterloo Uncovered is the ground-breaking charity that combines world-class archaeology with veteran recovery and wellbeing.  Since 2015 we have been supporting veterans and serving military personnel, through programmes centred around the archaeology of the Waterloo battlefield.  For example, learning archaeological skills through excavation on the battlefield supported by a wellbeing team, bringing the artefacts discovered at Waterloo to beneficiaries in their community, or supporting beneficiaries to explore archaeology and history of conflict through our online programme.  All our programmes link conflicts past to conflict present, as beneficiaries uncover, recover and discover.  

As Administrative Assistant you will be part of our small, dynamic, and passionate team, which is supported by an extensive network of volunteers.  You will work closely with the Chief Executive on all aspects of our administration in support of our operational delivery, communications, fundraising and outreach.

Key responsibilities:

• Programme administration, engaging directly in support of beneficiaries for onboarding, logistics and follow up, answering enquiries and general tasks.

• Customer service, responding to email and telephone enquiries and correspondence.

• Database and spreadsheet management, including managing contacts and suppliers, as well as donor and volunteer data on our CRM system and digital filing.

• Processing financial and accounting requirements, including invoices, payroll, expenses and supplier payments.

• Virtual office support, arranging meetings and team events, providing secretariat to Trustee Board, office contracts, suppliers and administration.

• Researches as requested, complies and summarises information for drafting applications for grants and trusts, managing fundraising pipeline and tracking, reporting schedules and reports.

• Administration of social media accounts, support to drafts of newsletter and impact reports, and other communication initiatives.

• Event administration, including bookings, logistics and support to outreach and event delivery.

What you will need

• Strong written and verbal communication and interpersonal skills, able to present a professional and positive image for the organisation.

• Ability to work under pressure, with accuracy and minimal supervision, with a proactive approach to problem solving and process improvement.

• Data management and entry skills, including the ability to maintain and improve data and information digital filing systems, with accurate record keeping.

• Digital literacy,  proficiency on google suite, microsoft, and social media (e.g. linkedin, facebook), able to present information accurately and clearly.

• Excellent organisational, time management and collaborative skills, able to work with a range of stakeholders.

• Experience of working within the charity or similar sector in an administrative role.

• Communications and / or social media experience.

What You’ll Do

• Trusts & grants: Work with the Development & Communications Manager to write and submit compelling funding applications to trusts, foundations and grant-making bodies to secure new and repeat funding.

• Scout for, build and maintain relationships with existing and new funders, donors, and partners, ensuring ongoing engagement and support.

• Events: Plan, organise and manage fundraising events, including overseeing event logistics, participant engagement and post-event follow up.

• Work with the Development & Communications team to generate new, innovative fundraising concepts and bring them to fruition.

• Manage the database of funders and donors and ensure contact is up to date.

• Support with monitoring and evaluation, including reports to funders

• Work closely with the communications team to ensure coordinate donor and external communications, and to contribute to our social media presence

• Identify roles and responsibilities that could be delegated to volunteers to maximise their support, supervising those assigned to you.

• Represent the Sophie Hayes Foundation with colleagues at meetings and events with external stakeholders. This may include deputising for more senior colleagues on occasion.

• Ensure the highest standards of safeguarding across all activities.

• Other duties which may arise under the implementation of the new strategy, as directed by the Development & Communications Manager.
