The role
We are looking for an Executive Assistant to support our CEO and COO. The ideal candidate will be a proactive problem solver with exceptional communication skills and meticulous attention for details. This person should have experience working with colleagues at a senior level, in an office environment, performing a range of administrative duties. Given the dynamic nature of the executive landscape, we will rely on the executive assistant to be flexible and consistent while maintaining the confidentiality of high-level systems and operations.
Objectives of this role
- Support the CEO/COO primarily to ensure the smooth and efficient running of FareShare operations.
- Manage communication and contacts with external stakeholders including network and industry partners and board of trustees.
Main areas of responsibility
- Scheduling and calendar management, as well as content and flow of information to the leadership team, board of trustees and other external stakeholders
- Inbox management including responding to and redirecting emails and other correspondence as directed.
- Liaise with leadership team and other key colleagues across the organisation.
- Manage information flow in a timely and accurate manner.
- Support the CEO/COO with travel and accommodation arrangements.
- Maintain professionalism and strict discretion and confidentiality.
- Organise and plan events, both internal and off-site on behalf of the CEO/COO
- To undertake any other tasks that would be deemed suitable within this role as directed by line management.

Experience and qualifications.

- Experience of working as an Executive Assistant, Personal Assistant or similar role; or experience in an administrative role reporting directly to upper management

GFS is a feminist organisation with a mission to empower girls and young women in England and Wales to live their best lives. Girls as young as 6 tell us that they cannot be themselves. This causes problems for them and society. So, we offer an early intervention service for girls living in areas of deprivation to have the greatest impact.
This is an exciting role with an opportunity to lead the charity into the 150th Year of delivery and with a new strategy to address need. - lead on development of MVM's post-election strategic plan;

Role Overview:
The purpose of the Executive Director roles within Depaul is to ensure that the organisation’s vision, mission and values are delivered through a strategic, shared approach by the Trustee Board, Executive Team and wider workforce.
As the appointed candidate, you will manage the Finance and IT departments and provide strategic and operational management of financial and budgetary processes, ensuring sound, prudent, financial management in compliance with all regulatory and statutory requirements, underpinned by relevant policies and procedures.
You will provide support for income generation, and other service activity, to secure financial sustainability.
You will also report to the CEO and manager a team of 10 people - currently 8 FTE in Finance and 2 FTE in IT, including 2 direct reports – Financial Controller and Head of IT & Systems.
As part of responsibilities, you be attend meetings of the Council of Trustees, the Trustees’ Finance, Audit and Risk Committee (FARC) and the Depaul Housing Services Board.
Key Responsibilities:
- Provide a financial service to Depaul UK that meets regulatory and statutory requirements.
- Ensure robust systems and processes for financial planning, analysis and reporting.
- Preparation of the annual statutory accounts and corporate reports to Depaul International, owning an effective relationship with external auditors.
- Support and guide budget holders and senior managers in their financial management responsibilities and produce the annual budget and periodic reforecasting.
- Provide strategic oversight, and monitoring, of the corporate risk register reporting to the CEO and Finance, Audit and Risk Committee.
- Support ICT systems development ensuring that all ICT is strategically planned and fit for purpose, delivering cost savings and efficiency wherever possible.

What We Are Looking For – Person Specification:
- Fully qualified accountant (CCAB or CIMA), with post-qualification experience in senior financial management positions and a track record of producing financial strategy, planning, reporting, monitoring and budgeting.
- Excellent knowledge and understanding of UK financial regulations, including Charity SORP and its application
- An excellent people manager, with demonstrable experience of leading and driving change programs
- Experience of working in a senior leadership/executive team
