Spring Community Hub exists to ensure that no one in our Southwark community goes hungry. But we don’t just provide food:

We work alongside people to help them escape poverty, build confidence, and find community.

Our principal activity is the prevention of food poverty and food insecurity by offering culturally appropriate food, fresh fruits, and vegetables as well as dietary and religiously appropriate food which we have continued to run at our five-week sessions to local people for as long as they address the underlying cause.

We also provide a range of wraparound support, including advice services, particularly around employment and immigration through our Back2Work Team, Holiday Clubs for Children, Youth Groups, a Clothing Bank and our Spring Up Women’s group.

The Service Officer will play a crucial role in supporting the mission of our charity by providing comprehensive assistance and advocacy services to individuals and families in need. This position will involve engaging with diverse communities and ensuring that all services are delivered with cultural sensitivity. 

The Service Officer will work collaboratively with staff and volunteers to deliver Food Bank services, Activity Camps, and Afterschool club, advice and advocacy support, clothing assistance, cooking programs, and Social Supermarket Operations, as well as support initiatives for the elderly, individuals experiencing poverty and isolation, and families with children.

The post holder must be an enthusiastic and motivated person to coordinate and manage our Food Banks, Community Café, and Social Supermarket, including the supervision of its volunteers/staff, as well as planning, organising, and implementing supermarket collection. 

The post holder will be required to be flexible to the changing needs of the organisation and as such, undertake tasks and responsibilities not specifically listed here but relevant to the smooth running of SCH, including general office and administrative tasks and aspects of service delivery, as directed by the Leadership Team/ CEO and trustees.

About the Role / Key Responsibilities 

Programme Planning, Delivery and Implementation

•  To design and deliver the  Activity Camps and After School Club  Programme calendar, curriculum, and events that are outcomes-focused, educational, and engaging, and enable young people to develop a range of skills appropriate to their needs.

• Working with Children, young people, and their families to build services that meet their needs, wants, and aspirations of the individual.

• Work in Collaboration with the Leadership Team  to oversee the work of the Spring Activity Camps Coordinators to design and develop a range of activities, workshops, and programmes to meet the needs of our children, young people, and their families 

• Collaborate with other staff members, volunteers, and external partners to deliver engaging, fun, and impactful activities

• Ensure all activities align with the organisation's mission and values and promote personal growth, inclusivity, and well-being.

• Oversee and coordinate the operations of Food Services 

•  Assist clients in accessing food bank services, ensuring they receive the necessary support with dignity and respect.

• Maintain inventory management for food items and coordinate food drives and partnerships with local suppliers.

• Developing and coordinating effective stock control systems, arranging timely transportation of collections and deliveries, and meeting legislative standards - i.e., Health & Safety/Environmental Health.

• Provide and oversee assessments of guests, customers, and service users on a one-on-one/group basis to ensure they receive adequate advice/signposting and support on benefits, housing, financial support, and other relevant issues impacting clients' well-being. Work in collaboration with the Advice and Advocacy team.

• Advocate on behalf of clients to secure access to necessary resources and services.Stay updated on the relevant policies and available community resources.

• Oversee the operation of the clothing bank, ensuring that items are organised, available, and of good quality for clients..

• Develop and oversee cooking workshops that celebrate cultural diversity and promote healthy eating practices.

• Collaborate with local chefs or volunteers to create a welcoming environment for participants.

• Oversee in the day-to-day operations of the social supermarket, ensuring a welcoming atmosphere for customers.

• Engage with elderly clients and those experiencing isolation to provide companionship, support, and resources related to their specific circumstances.

• Work on outreach programs targeting vulnerable populations to provide suitable assistance.

• Educate the team on nutritional options and food

• Lead or assist in after-school clubs and programs that promote educational engagement, social skills, and personal development for children.

• Support families to identify their needs and connect them with appropriate services and resources.

• Represent Spring Community Hubs Service and project at relevant forums and meetings across the Borough and at a London/National level

• Ensure that all processes and procedures in the SCH manual are being followed

• Ensure that the foodbank meets health and safety/environmental health standards in all its locations

• Bring to the attention of the Service Manager any concerns about the running of the project or its future sustainability

• Oversee the food Services in conjunction with the Service Manager

• Organise and run food collections in conjunction with Hub support

• Liaise with clients and referral agencies and resolve any issues that may arise in conjunction.

• Keeping up to date with legislation and policy related to the Service and making any necessary modifications to accommodate changes.

• Overseeing stock orders and working in collaboration with the Hub support and  Finance department.

• Comply with SCH policies and procedures regarding the operation of services and policies 

Strategy, Stakeholder Management, Leadership, and Management 

• Representing the organisation on a  strategic level at external meetings and events with Community partners, Local Authorities, Funders, and other key stakeholders 

• Liaise with clients and referral agencies and resolve any issues that may arise in conjunction.

• Foster relationships with local organisations, community leaders, and stakeholders, and participate in community outreach initiatives to raise awareness about available services and encourage community involvement.

• Maintaining relationships with suppliers, community groups,  Schools, Libraries, supermarkets, and other stakeholders.

• Supervise the work of the Activity Camp Coordinators, Bank Staff, Volunteers, and Facilitators during Camp and Activity Sessions 

• As one of the Deputy Safeguarding Leads, manage any concerns about a child, young person or family's welfare effectively and share concerns with the Leadership Team and other DSLs. 

• Actively contribute to and participate in AGMs, Away Days,  Team Meetings, Development Sessions, and other  Internal Meetings

• Support in the rolling recruitment of Coordinators, Bank Staff, and Volunteers to meet the needs of the service.

• Work with the Leadership Team to ensure up-to-date Employment, Training, and other HR  records for all Staff and Volunteers within the Team, and work in collaboration with the Business Support Team

• Work with the Leadership Team to ensure the service and Resources are used effectively within designated budgets, including the reimbursement of expenses.

Camps and Event Management:

• Coordinate and oversee the planning, logistics, and execution of SCH Holiday Camps, Afterschool Camps and Events.

•  Ensure adherence to Health and Safety Guidelines, Risk Assessments, and appropriate Safeguarding measures.

• Manage Camp staff, volunteers, and external contractors during activities and events, creating a positive and inclusive atmosphere. 

• Liaise with schools, organisations,  local authorities, and volunteers to explore ways of sustaining and improving the provision.

• Promote and market the project through outreach to schools and other community groups in Southwark/Havering and surrounding areas, and organise bookings.

Volunteer Management:

• Work in collaboration with the Leadership Team and  Business Support Team to recruit and train Volunteers.

• Oversee and manage the volunteers in the team who support activities and events, providing necessary guidance and supervision.

• Work with the Leadership team to foster a positive and inclusive volunteer culture, recognising and appreciating their contributions.

•  Work with the leadership Team to monitor and evaluate volunteer performance and provide constructive feedback, reports, and support as needed.

• Coordinate and oversee  all Food Service / Project volunteers, and oversee the volunteer timetable to ensure the best use of volunteers

• Coordinate the volunteer team at the warehouse and oversee groups of corporate volunteers, school groups, and other youth groups visiting to help.

• Ensure that volunteers are trained to undertake responsibilities within the warehouse and to meet the relevant legal requirements. This could include basic food hygiene,  first aid, evacuation procedures, manual handling and lifting, health and safety, and fire procedures 

Administration and Reporting:

• Maintain accurate records of activities, participant attendance, incidents, Impact Reporting,  Monitoring and Evaluations,  including referral processes, and ensure the requirements of Data Protection, Quality Assurance, Funding, and Compliance are met. 

• Prepare regular reports for all the Projects highlighting progress, challenges, and recommendations for improvement.

• Work within agreed budgets for activities, Camps, and Pastoral Care Services, ensuring efficient resource allocation.

• Ensure that local data is entered into the database

• Maintain accurate records of client interactions, services provided, and outcomes achieved for reporting and evaluation purposes.

• Provide regular updates to the Leadership Team on service delivery and community needs.

• Produce monthly project reports and keep the CRM/ Database updated 

Person Specification

• Experience in working with children and young people, in particular individuals who are experiencing significant Poverty and Inequality and may also have multiple and complex needs. 

• The ability to communicate effectively with a wide variety of people and establish and maintain good working relationships with Partners and external stakeholders

• Proven Line Management and Supervisory experience 

• Willingness to undertake further training as required by Spring Community Hub

• Commitment to the concept of continuous improvement of procedures and practices

• Ability to remain calm in challenging situations and reinforce boundaries

• Ability to support people in managing difficult feelings, and communicate their needs effectively

• Knowledge of best practice for lone working, data protection, and safeguarding adults

• Ability to recognise and work within the boundaries of the role, including confidentiality, and the working protocols between agencies

• Strong sense of self, and ability to set and maintain boundaries and lead by example 

• Ability to communicate effectively in person on a one-to-one basis and with groups, as well as over the telephone and in writing

Qualifications and Skills:

• Qualifications/Experience in a relevant field (e.g., social work, Counselling, psychology, Information Advice and Guidance, Education, or related disciplines). A master's degree is desirable.

• Proven experience in Programme Planning and Event Management, preferably within a Charity, Community, Education, or similar setting.

• Strong organisational, Project Management and Prioritising abilities, with impeccable attention to detail.

• Excellent communication and interpersonal skills, with the ability to interact effectively with participants, volunteers, and external partners.

• A compassionate and empathetic approach, with a genuine interest in the well-being of others.

• Knowledge of safeguarding policies and procedures, including child protection and vulnerable adult support.

•  Proficiency in using relevant software for record-keeping and report generation.

•  Empathy and compassion for individuals facing hardship

•  Strong organisational and problem-solving skills.

•  Proficiency in Google Workspace and databases, and experience with client management and other IT  / Project Management systems.

About the role

We are seeking an individual giving officer to support the development and delivery of our individual giving programme. This is an exciting opportunity to play a key role in our fundraising team, helping to grow income and deepen engagement from our supporter base.

Key duties

• Assist in the planning and implementation of individual giving campaigns that deliver sustainable income growth and long-term donor engagement
• Manage supporter engagement and acquisition across multiple channels including social media, email, SMS, direct mail, and online campaigns

Skills and experience required

• Proven experience managing projects across direct marketing channels, including both digital and print

• Experience developing fundraising and marketing content based on audience insights
• Confident working with external agencies across creative, print, digital, and media

• Familiarity with legacy marketing is desirable but not essential

The Programme Officer will work closely with both the project teams and the wider organisation to support the effective management and delivery of projects across from our London office.

Purpose

The Programme Officer will be responsible for supporting the effective implementation of project delivery activities across our portfolio, predominantly in Africa, Europe, Central Asia, and the Middle East. The post holder will support project delivery, ensuring quality expectations (internal and client), delivering within the scope and budgeted resources of projects, and in line with project timelines. They will work closely with other members of the programme delivery team, our technical team, delivery partners, and consultants to ensure projects maximise their positive impact and will also support the Senior Programme Manager to disseminate good management practice across the organisation, and advise on delivery approaches. 

Main Responsibilities

The responsibilities of the Programme Officer include the following:

1. Project Support

• Provide support to Programme Managers in the delivery of projects, ensuring projects are delivered on time, within budget and scope and comply with client contracts
• Take on the project management of assigned select projects within a determined budget/complexity threshold, ensuring that they are delivered to time and quality
• Set-up and monitor project workplans, including change requests ensuring that approvals are formally recorded and filed
• Manage day-to-day relationships with delivery partners and internal team(s) and build a solid understanding of delivery needs and timelines across projects
• Monitor and support timely client and consultant billing and invoices attached to delivery
• Support onboarding of consultants for new projects, including due diligence checks and contract preparation based on set templates
• Ensure project management software and tools are accurate and kept up to date for allocated projects
• Provide timely responses to client queries and alert the Senior Project Manager of any potential risks
• Lead duty of care and travel planning for staff and consultants, working alongside administrative officers
• Liaise closely with technical colleagues and Project Managers on project support needs.

2. Project Financial Management

• Monitor project budget performance, capturing variances and liaising with the Finance Team and Senior Programme Manager
• Monitor and support the processing of consultants’ expenses/fees against contracts and client invoices against contracts.
• Make recommendations to ensure financial outcomes are met with respect to time, quality and cost, and provide early warning of project overspend
• Prepare internal project update reporting including finances and resourcing using required management tools.

3. Organisational Support and Business Development

• Provide support in strengthening policies, procedures, and management tools for Development Pathways
• Coordinate with wider project teams to ensure technical capacity is well planned across Development Pathways’ portfolio of projects
• Signpost colleagues to relevant project management tools and processes, when required
• Support project closure processes as required, capturing and sharing lessons internally
• Provide ad hoc input to evolving organisational requirements as directed by senior members
• Assist with the identification and monitoring of business opportunities in donor markets, as requested
• Update SharePoint and ensure project data sheets are developed and up to date to facilitate bids for tenders
• Collate and share project information to support the Business Development and Communications department.

Required:

• An undergraduate degree in an appropriate subject 
• Around 3 years’ experience working on project support or delivery within international development,  research and/or the consultancy sector
• Ability and confidence to work independently and manage their own workflows
• Good communication skills and an ability to build and maintain strong working relationships with a broad range of stakeholders at the individual level and in representation of the organisation 
• Excellent drafting skills
• Ability to understand and effectively analyse and utilise financial information
• Proven ability to resolve problems, anticipate barriers and create practical solutions
• High IT proficiency (Microsoft Office (Word, Excel, SharePoint, etc.)
• Demonstrated attention to detail ensuring quality standards are maintained
• Ability to travel internationally when required.

The Grants Officer will support the Senior Manager to develop and implement monitoring and reporting
processes across the Foundation’s grant-giving activities. To be successful in the role, you must have
excellent knowledge of results-based monitoring and reporting, demonstrate strong organisational and
administrative skills, and ideally have experience working with colleagues from different cultural
backgrounds.

The initial focus of the role will be monitoring and reporting in relation to the implementation of a Big 6
EU funded programme, the Youth Empowerment Fund (YEF). This programme focuses on supporting
youth-led initiatives, giving young people the means to be effective agents of change. The YEF is global
in its reach but will focus on supporting local solutions and grassroots initiatives that young people
develop on the ground. The Officer will play a key role in supporting the Senior Manager to maintain and
grow Big 6 advocacy and partnerships for the short and long-term. This role will also work closely with
colleagues from the Operations and Finance team to ensure accurate information is delivered to key
stakeholders.

Key Responsibilities 

Youth Empowerment Fund (60%):

• Support the monitoring and reporting of the EU funded YEF programme. Including coordinationwithin the IAF and with the Big 6 designated leads.
• Communicating with and activating networks of national organizations to participate in the YEF,including sharing opportunities to take part in Big 6 advocacy activities and applying for youthled solutions open-call Local Solutions grants.

About the role

Funded by the Department for Education, the National Peer Support Service for England is a game-changing service that creates a sustainable and life-changing legacy. It builds on Kinship’s 10 years of experience in developing peer support groups and over two years of delivering a national service that has set up 145 new groups.

Main Purpose of the Role:

To be responsible for the implementation and day to day project management of the individual giving programme across both existing and new fundraising products, maintaining strong relationships with suppliers, members, volunteers and internal teams across Mothers’ Union to ensure the success of the appeals. As part of a small team you will be working closely with and under the direction of the Head of Individual Giving.

Key Responsibilities:

• To project manage multiple appeals delivering accurate campaigns on time, on budget to a high standard, meeting agreed targets.
• Analyse and interpret direct marketing campaign results, and produce regular reports, drawing conclusions, completing campaign reviews and making recommendations to improve future activity such as targeting and testing suggestions to improve performance of the programme and feed into longer term strategic plans.

• Write or amend existing copy and proof-read accurately. Critique, manage and evaluate work by external or internal agencies to a high standard and high level of accuracy
• Lead contact for our face to face fundraising activity, from briefing, monitoring and reconciliation to delivering training and fulfilling requests, including coordination of visits to Mother's Union projects
• Lead on any challenge events or wider individual DIY fundraising or organisational  income generating events as assigned, meeting agreed targets set by the Head of Individual Giving.
• Monitoring, managing and reporting of key KPIs including campaign income, spend and other performance metrics on a regular basis. Reporting to the Head of Individual Giving, highlighting variances and updating fundraising team reports making sure information is accurate and reconciled where necessary.
• Designing and delivering targeted training programmes for groups of fundraisers or members on behalf of Mothers’ Union as well as providing effective one-to-one campaign support as required.

Work Location/Hybrid Working Pattern

This role will be based at our Head Office in central London. Mothers’ Union operates a hybrid working model. Tuesdays are our anchor days where every staff member is expected to be at the office. The 90 days includes anchor Tuesdays. • Delivering a seamless onboarding experience, handling queries and providing a warm welcome to new volunteers.
• Supporting and training colleagues on volunteering systems and processes.
• Managing our safeguarding and DBS processes for volunteers to keep young people safe.
• Using our Volunteer Management System (Assemble), ensuring communications are logged and accurate reports are available for monitoring and KPIs.
• Creating and maintaining clear documentation, process and guidance documents so colleagues and volunteers have everything they need at their fingertips.
• Recognising volunteer contributions by coordinating our volunteer rewards and recognition activities.
• Writing inspiring news articles and email communications updates on our Volunteering platform.
• Championing the volunteer journey and actively contributing to team goals that ensure volunteers have a positive and consistent experience.

A few practical things:

• This role is hybrid, involving a mixture of working from home and from our Central London office.
• There will be some limited additional requirements to travel for meetings and occasional expectations to work outside of office hours, such as our annual in person Staff Conference and quarterly evening ‘get togethers’ online with volunteers.
• This role is the equivalent of 3 days per week, however we are flexible to accommodate the regular working hours that work for you, between 9am-5.30pm Monday to Friday.
• Giving our volunteers the best possible experience involves really understanding what they do- so you will be actively encouraged to get stuck in and ‘volunteer’ yourself within our programmes and alongside our volunteers.

Every day, the TSA’s small support and information team make a real difference to people affected by the rare genetic condition Tuberous Sclerosis Complex (TSC) and their loved ones. In this vital role, you will help to maintain our high support standards at the TSA, including through operating on the TSA Support Line, developing content for a wide range of platforms and needs, and occasionally attending virtual and in-person TSA events.

You'll be part of a flexible, passionate, welcoming and wholly home-based team, who know they improve the world every single day. The role includes (pro-rata) 25 days annual leave plus 8 bank holidays and the working days that fall between Christmas Day and New Year.

On the TSA Support Line, you will provide support and information regarding TSC via telephone, email and webchat. You will offer an informed, non-judgemental and empathetic listening ear to individuals and families at every step of their journey. The type of enquiries we receive are wide ranging, covering matters such as health, social care and education. You will also engage with professionals supporting people with the condition.

You will have a key role in researching, developing, and updating information across our various platforms including (but not limited to) content for our website, social media, support line materials, leaflets, e-newsletter and our community magazine. The primary audience of the materials will be the TSC community. Materials used by NHS clinics and clinicians are also developed by us, which you will have a central part in developing.

You will help to ensure that our internal processes are effective, and the information that we provide to the TSC community is timely, up-to-date, and relevant.

You will attend TSA events (virtually and in-person) to market the TSA Support Line services, participate in sessions and assist in support-related issues.

We are a small but very impactful charity, where roles are wide-reaching. Although this role is focused on support and information services, the successful candidate should also expect to get involved with projects from other TSA teams including communications, research and fundraising.

Responsibilities

1. TSA Support Line

1.1 Through the TSA Support Line, you will provide information and support to individuals living with TSC, their families and professionals by telephone, email and webchat, ensuring that:

• All enquiries received through the TSA Support Line receive a response based on high quality, up-to-date and evidence-based information.
• You log, triage and respond to enquiries received by telephone, email, post and webchat in line with agreed timelines, policies and procedures.
• You direct non-support related enquiries to appropriate TSA staff, taking messages where necessary.
• You are sensitive and responsive to the needs of the individuals living with TSC, family members and health, social care and education professionals using the TSA Support Line.
• You provide time-limited, structured support through formal case management processes for a small number of individuals and families who are most vulnerable and who need regular help and support. This includes individuals with learning disabilities, autism and complex needs, and families who face a wide range of challenges accessing health, social care and education services for their loved ones.
• You collect and accurately record data enabling the TSA to monitor and evaluate the performance of the TSA Support Line, including usage data (such as number and length of calls), qualitative information (feedback from service users) and data collected in conversation (such as logging broad categories of issues that service users are facing).
• You support individuals and families who wish to apply for financial support from the TSA Support Fund, helping them to complete the relevant application forms, ensuring that they supply documentary evidence, and logging their application appropriately for audit and compliance.
• Your support demonstrates best practice and complies with the law on safeguarding (making sure we are working appropriately with vulnerable adults and children) and data protection (making sure that we are handling all sensitive data appropriately).
• You proactively engage with regular reflective practice and supervision to safeguard your own health and wellbeing and support individual and team learning. This will include individual supervision through regular 1-2-1s with your line manager and team supervision through weekly calls for all those working on the support line.
• You will contribute your expert insight into the challenges and issues that the TSC community are facing to help colleagues across the organisation develop information materials, online resources and event agendas for communications channels including the TSA’s community magazine ('Scan'), our website, social media and events.
• You will ensure that internal processes for recording TSA Support Line enquiries, and signposting information on the support line, are maintained to a high standard and kept up to date.

1.2 You will play a key role in the TSA’s safeguarding as part of your work on the TSA Support Line and in supporting other members of staff with any questions that they have.

1.3 You will ensure confidentiality in the provision of the TSA Support Line, managing conversations and relationships tactfully and diplomatically with members of our small community who may also interact regularly with the charity at face-to-face and virtual events and through our social media channels. 

1.4 You will work closely with colleagues from across the TSA to ensure that our support and information services are joined-up with and informed by other services offered by the TSA more broadly across our website, social media channels, Scan and face-to-face and virtual events.

1.5 You will help to ensure that the TSA Support Line demonstrates best practice in the provision of support and information. You will work with the Joint Chief Executive and Support and Information Manager to develop proposals to develop and market the service that are joined-up with the support provided across our website, social media channels, Scan and face-to-face and virtual events.

2 Support, information and signposting

2.1 Ensure that high quality, up-to-date and evidence-based information is available to individuals and families living with TSC, and the professionals that support them. Regularly review, draft and develop new materials to support people affected by the condition.

2.2 Work with the Joint Chief Executive and Support and Information Manager to develop appropriate and consistent information to signpost TSA Support Line service users to external partner organisations that can provide specialist support for specific aspects of TSC (such as autism or mental health issues) and living with TSC (such as finding a job or facing bereavement).

2.3 Initiate and maintain regular contact with NHS TSC clinics across the UK to encourage greater communication and support between the TSA and TSC clinics. This could include encouraging clinics to join the NHS TSC Rare Disease Collaborative Network (RDCN), liaising with TSA Medical Advisers about medical support line enquiries, or working with clinics to better understand how the TSA can best help them.

2.4 Work closely with the rest of the TSA including communications, research and fundraising, to demonstrate current knowledge of the work of the organisation and developments in TSC.

2.5 Keep up to date with external events and news and draft relevant content for social media, physical media, e-news and the community magazine, Scan, to support and inform the TSC community.

2 TSA events

2.1 Attend TSA face-to-face and virtual events each year to market the TSA Support Line to people living with TSC, their families and professionals (up to approximately seven face-to-face events per year). General events assistance for the event on the day of face-to-face events will also be expected (for example, this could include time on the reception desk or directing attendees between sessions). Face-to-face events could include Outlook (for adults living with TSC), Big Day (our annual meeting for everyone in the TSC community), Family Fun Days (for younger families), TSA Togethers (regional events) and events for NHS TSC clinicians. Time off in lieu will be given for evening and weekend events, or events outside of your usual working days.

2.2 Help to generate ideas for sessions at TSA events by identifying any trends in information and support needs through the TSA Support Line.

4 Supporting health, social care and education professionals

4.1 Develop and maintain training and education materials to help health, social care and education professionals to better understand the impact of TSC.

4.2 Act as a point of contact for professionals who contact the TSA, working with colleagues to build credibility and strong working relationships with them.

Other requirements of the post

The post holder must be prepared to work flexibly to meet the needs of the organisation. This will entail occasional evening and weekend work. Regular travel within the UK will be needed for team meetings, TSA events and training provision. This would normally require access to a car (mileage will be paid) or travel by public transport (tickets will be paid).

The post holder will be expected to have adequate homeworking facilities to allow them to fulfil the role to the best of their abilities.

A DBS disclosure will be required prior to taking up post.

Training on helplines from the Helplines Partnership and on the Virtual Call Centre and database, Beacon, by the in-house team can be provided.
