Head of Finance and Operations

Location: The role is based at the Trust’s office in West Berkshire with a minimum of three days per week expected to be worked at our Newbury office. Flexible working arrangements are available with the understanding that this must meet the objectives of the charity and requirements of the role.

Start date: 01/08/2024 or as soon as possible thereafter

Hours of work: Full-time, permanent.

Salary range: £55,000 - £60,000 FTE, depending on experience.

Purpose

This is an exciting and vital role performing a range of finance and governance tasks, working within the Senior Leadership Team of a leading mental health charity focused on supporting children and young people.

The Head of Finance and Operations (HFO) will be responsible for the successful management of the charity finances and operations, as well as making a leading contribution to the  charity’s strategic direction.  The role is responsible to the CEO, and activity oversight spans finance, HR, IT, and office management. The HFO is also responsible to the Trustees for the financial state of the charity and as Company Secretary. As a result, the HFO must working closely with the treasurer, members of the finance and investment committee, as well as the senior leadership team and our existing finance and operation colleagues.

We are looking for an highly motivated, efficient, diligent and confident finance professional with experience of managing a team. The role is varied and would suit a qualified accountant with experience of working collaboratively and compassionately with a range of colleagues to achieve organisational objectives. There will be opportunities to increase knowledge and the successful candidate could be supported to undertake further study.

Key responsibilities and duties

Strategy, modelling and leadership

• Lead the development and implementation of a comprehensive financial strategy supporting the organisation’s wider strategic plan.
• Provide guidance and leadership on short and long-term financial decisions.
• Develop and monitor the implementation of long-range financial plans with the CEO, Board of Trustees and the Finance and Investment committee, to support organisational sustainability and growth.
• Provide leadership (including line management of at least one member of staff) to our small but invaluable finance and operations team comprising our finance and operations manager, finance assistant, and our office and IT coordinator.

Financial and Operational Management

• Develop and implement financial strategies aligned with the organisation’s mission, vision and priorities.
• Streamline and optimise operational processes and systems to enhance efficiency, quality, and scalability while availing technological advancement. This includes systems, IT, CRM, Facilities and supplier management.
• Provide strategic financial guidance to the CEO, the Senior Leadership Team and the Board of Trustees.
• Monitor financial performance, identify risks, and recommend corrective actions.
• Optimise and manage the Trust’s working capital and cash flow position.
• Maintain appropriate financial records and oversee the preparation of quarterly and annual reports and financial statements in accordance with UK accounting standards, Charity Commission and company law requirements.
• Ensure necessary insurances and contracts are in place and provide required liability and other coverages.
• Develop and manage strong and effective relationships with external auditors, the bank, the treasurer, and other key partners.
• Hold responsibility for all tax matters and compliance with HMRC requirements.

Resources, Risk Management and Compliance

• Overall leadership and accountability for IT, Digital and Business Systems infrastructure, including appropriate data protection requirements.
• Oversight of property matters for the team office, including responsibility for lease, insurance and legal matters.
• Overall leadership for the development and implementation of the risk matrix framework.

About Us

The Upper Room (TUR) works with a wide range of financially and socially disadvantaged groups including homeless people, people with long-term mental health conditions, asylum-seekers, refugees and ex-offenders – helping them to improve their lives and become productive members of society. Central to our offering is our UR4Meals service, providing free, home-cooked food to people who cannot afford to provide for themselves. We are also very proud of our UR4Driving programme, which supports people recently out of prison with free driving lessons in exchange for community volunteering. Gaining a driving licence greatly enhances their future employability prospects and helps break the cycle of re-offending. Additionally, our UR4Jobs project focusses on both client wellbeing and breaking down the many barriers to employment faced by disadvantaged people every day.

The role

This newly scoped role reports into the CEO and is critical to our ability to create the income we need to keep up with the ever-increasing demand on our services. Primarily, the role has two fundamental elements to it: firstly, working with both a specialist external consultant and the CEO in planning, submitting and reporting on the grants that make up a large proportion of our income; and secondly, the planning and managing of TUR’s traditional (and always fun) annual events. These include celebrity interviews and talks, garden parties and various community events such as the Green Days festival in Chiswick. There are additionally a number of community relationships that add great value to our work and efforts to raise funds which require regular contact. Occasionally, the role will also require presenting or talking to both funders and community groups as we share our magnificent story with them – and ultimately, convince them to support us.

About You

You live within – or know well – West/Central London; you probably need a job with some working flexibility and want to have genuine belief in the cause you’re promoting. You have a CV that demonstrates experience in a comparable role: this could be in another charity, CIC or other Non-Profit organisation. In this pivotal role, you will develop and manage a comprehensive communications strategy for the charity, making a significant impact on children and families affected by the childhood cancer neuroblastoma.

Additionally, you will manage and grow the charity’s press and media engagement.

Summary of role responsibilities 

• Develop, implement and manage a dynamic communications plan for Solving Kids’ Cancer UK that encompasses the three key pillars of our work, across all communication channels;  

• Lead on the development and implementation of online marketing campaigns to raise wider awareness, demonstrate our impact, grow our income, and position our organisation as a thought leader in paediatric oncology;

The Students’ Union and the International Society merged in autumn 2023. The International Society is a student facing brand that encompasses the community building aspect of what we’d like to do as part of a broader engagement strategy. About the role 

This is an exciting opportunity to work with Sustrans as part of the Fundraising and Supporter Engagement team as the E-Commerce Manager. 

In line with our ecommerce strategy, Sustrans has invested over the past years to increase sales through our e-commerce shop and now needs to find new approaches to maximise revenue.  

As the E-Commerce Manager, you will be responsible for maximising e-commerce revenue by optimising the martech stack, improving audience insights, product development/management and  promotion through digital and offline marketing channels. 

As part of the Fundraising and Supporter Engagement team, you will work closely with colleagues in Supporter Engagement and Giving, Strategic Communications, Finance as well as external agencies and suppliers. 

This role has line management responsibilities for two-part time colleagues, the E-Commerce Promotions Officer and the E-Commerce Products Officer.

About you

Sense are in search of a Trusts and Statutory Manager to join our fantastic engagement team based in London. The successful candidate will play a key part in delivering Sense’s strategy to reach 50,000 people with complex disabilities by 2026. Central to this strategy is our plan to deliver growth in our charitable projects and to build several new multi-million-pound hubs in Belfast, Leeds, and the Southwest. These hubs will significantly increase the number of people who can access our services, helping to bring forward the day when no-one is left of life.

Sense has a strong track record in Trusts fundraising over several decades. We have recently secured several 6 and 7 figure statutory partnerships, and we have talented colleagues in post, but there is room to grow, and Sense is investing. This year, we have also welcomed new corporate, major donor, prospect research, and special events colleagues to the team, and this new role is part of the same planned investment. 

This is a full-time, either hybrid or homebased, permanent role, working between home and our offices in King's Cross as required. We are open to hearing from candidates who want to work 5 days or 4 days a week
 

Key Responsibilities:

• Develop and manage a robust portfolio of prospects and supporters to meet income targets 
• Research and identify potential funders for unfunded Sense projects/concepts
• Work closely with key stakeholders, sector partners and leadership to grow pipelines, this includes monitoring of Trusts, Foundations and Statutory funding portals
• Lead on funding applications to a range of Trusts, Foundations and Statutory funders, including coordinating inputs, writing narrative applications and application budgets
• Lead or support the grant management of key Trusts, Foundations and Statutory funders’ grants. This includes: ensuring compliance against contracts, quality assurance, and submission of funder reports

Skill, Knowledge, and Experience:

• Experience of generating income and achieving financial targets in a high value role
• Experience of working with a Trusts and Foundations pipeline, or a Statutory pipeline, making sure opportunities are identified, recorded, and taken forward 
• Direct experience of developing and submitting six figure plus proposals for Trusts Foundations, Statutory funders, or equivalent 
• Experience of working with Senior Volunteers and/or Leadership to engage prospects and supporters
• Able to write strong, persuasive narrative for six figure plus proposals and reports
• Able to communicate with passion and clarity 
• Comfortable representing the organisation and developing new leads and relationships

Purpose of Role: 

Working closely with the Management team, the Business Support Admin is a key role within Edinburgh Food Project.  As a small charitable organisation we need an experienced individual to develop and maintain robust administrative and office systems, to ensure the smooth operation of the organisation. 

Responsibilities and Duties 

General Administration 

• Ensure an effective and friendly reception service, including for in person visitors, email and telephone enquiries. 

• Ensure the smooth running of the office so that all services are operating optimally (IT, broadband, telephone, other utilities) and that supplies like stationery are kept replenished. 

• Providing management team support – for example, managing diaries, booking travel, booking key event and minute staff meetings

• Provide sickness and annual leave cover for our Money Advice Service Support Officers 

• Ensure parcels and mail received, are handled in an efficient and timely manner. 

• Ensure the office is kept tidy, organised and welcoming 

Financial Administration 

Provide support to the Finance Lead: 

• Complete general finance admin tasks in an effective and timely manner including, downloading, collating, and filing electronic and paper invoices and bank statements 

• Ensure regular reconciliations of petty cash and donations ensuring cash is counted in an accurate and timely way 

• Set up bank payments for authorisation ensuring accuracy 

HR Administration 

Provide support to the management team: 

• Lead the administrative induction/leaver process for all staff including liaising with IT provider, pension provider, staff benefit providers, and line managers 

• Support the recruitment process for new staff including advertisement of jobs, collating applicant details, issuing interview invitations, and compiling recruitment packs. 

• Ensuring staff training is up to date including booking courses, updating records, and filing certificates

• Support the recruitment of volunteers including checking references, sending welcome emails, and allocating training 

• Ensuring policies and procedures are issues promptly and updated on various systems 

• Ensuring staff timesheets, annual leave, and sick days are processed in accordance with EFP’s policies and procedures 

To provide safety planning, support, advice and assistance to children who have experienced domestic violence and abuse and are staying in the refuge.

The work will focus on preventing domestic abuse by providing support and facilitating safe space for children and young people and peer support networks in the refuge and supporting children and young people to keep safe in/maintain their refuge accommodation

The post-holder will work to empower and support children to make positive choices.

To establish resettlement services to support women and children to move on from refuge accommodation.

The post-holder work as part of the refuge team, with clients who live in the refuge after being referred via the Front Door Service.

To participate in the delivery of the on-call out of hours service on a rota basis.
