Role Overview

As a Pre-Production Assistant, you will support the Video Production Manager and team in all stages of video production, focusing primarily on the pre-production phase. Your role will be crucial in ensuring that our video projects are well-planned and executed smoothly. You will be involved in tasks ranging from script writing to stage setting, ensuring that all necessary preparations are in place for successful video production.

Main Responsibilities

• Collaborate with the Video Production Manager to develop and refine scripts for various video projects, conducting research to gather relevant information and insights to inform script content.

• Assist in planning and setting up stages for video shoots, including arranging props, lighting, and other necessary equipment, and coordinate with the production team to ensure all stage elements are in place.

• Work with the Video Production Manager to create detailed production schedules and timelines, and coordinate with cast, crew, and other stakeholders to ensure everyone is informed of shoot dates and times.

• Assist in identifying and securing suitable locations for video shoots, conducting site visits to assess the suitability of locations and addressing any logistical considerations.

• Organize and manage all pre-production materials and resources, including scripts, shot lists, and production notes, ensuring all necessary permits and permissions are obtained for filming locations.

• Act as a point of contact between the pre-production team and other departments, ensuring smooth communication and collaboration, and provide regular updates to the Video Production Manager on the progress of pre-production tasks.

When needed:

Switchboard LGBTQIA+ exists to provide members of the LGBTQIA+ community, as well as their friends, family and those supporting them, with a listening service that they can contact via phone, instant message and email between the hours of 10am to 10pm every day.

We are happy to talk to service users about any topic they wish. Topics we often talk to service users about include: sexual health, safer sex, relationships, coming-out, gender identity, transitioning, mental health, experiences of hate crimes, support for meeting other LGBTQIA+ people and making friends, and much more.

However, we want to also be upfront and transparent about the fact that not all of our conversations are positive or constructive. Our volunteers can also be exposed to abuse from the public, manipulative callers, sexual fantasies and safeguarding concerns.

Training for POC volunteers

At Switchboard we are working to ensure that our volunteer membership reflects everyone within the LGBTQIA+ community. We want service users to be able to speak with volunteers who can empathise with their experiences and volunteers to connect with folks from a wide range of different backgrounds, cultures and identities.

To help enable us to do this even more, we have created brand new dedicated training groups for different identities within the LGBTQIA+ community. 

This group training group is specifically set up for people of colour. By joining this group, you'll undertake our Core Acceptance Training programme which equips you with the skills needed to support those contacting us via phone and instant message. Our hope is that this safe space enables you to freely ask questions, put our listening toolkit into practice and discuss approaches to different scenarios in an engaging, enjoyable way.

We are looking for volunteers who can meet with our clients in and around Central London on a regular weekly or fortnightly basis for at least six months, longer if possible. 

Your meetings might involve sitting and chatting in our clients home or going out together, for a walk, a talk in a coffee shop,  for a wonder around the shops, or even visiting places of interest, museums for example.

Our clients are older 1st and 2nd generation Scots living in London who are lonely or socially isolated, and would benefit from regular companionship. Our service works across London, currently, we have clients waiting in Islington, Camden, Tulse Hill,  Brockwell, Putney and other areas. 

We provide training before you start, ongoing support once you are matched, out of pocket expenses, references, social events newsletters and more! 

Giving someone who is lonely, socially isolated, or needs someone to venture out with,the simple gift of time and companionship could make the world of difference to their emotional and physical wellbeing,   As one of our Buddies said recently, “this is an easy, very meaningful way to help someone and is immensely rewarding and fun!”

The Professional Development Programme with Quilombo UK runs over a period of 16 weeks, is UNPAID and requires a minimum of 12 hours commitment per week across Monday, Wednesday and/or Friday.

• Oversee the adherence to the HiDDEN Code of Conduct.
• Facilitate the annual review of the members’ agreement and the Code of Practice.
• Meeting Facilitation Chair bi-monthly HiDDEN planning meetings, fostering inclusive and balanced discussions. Guide decision-making processes to achieve majority consensus in line with network objectives.
• Strategic Leadership Lead the development and refinement of HiDDEN’s strategic initiatives. Advocate for the network’s sustainability, identifying opportunities for growth and impact.
• Collaborate closely with Manchester Histories, the identified organisation for project management, to ensure effective implementation of strategies and initiatives.
• External Representation and Advocacy Represent HiDDEN at national and regional conferences, events, and within the heritage sector.
• Act as an ambassador for HiDDEN, promoting its mission and objectives to external stakeholders. Build and maintain relationships with key partners and funders.
• Conflict Resolution Mediate disputes within the network, ensuring fair and transparent resolutions.
• Provide impartial guidance and support to members to maintain positive relationships.
• Evaluation and Reporting Report on network activities and outcomes at planning meetings to ensure transparency and accountability.
• Lead the process for reviewing and adjusting network goals and strategies based on the needs of the network 

Person Specification

Experience: 

• You may have gained experience in leadership, governance, or planning through a variety of paths — including study, early career roles, volunteering, activism, or community engagement. 
• A background in the heritage, cultural, or nonprofit sectors is helpful but not essential.  We value lived experience and insight into the challenges and opportunities facing small or underrepresented organisations. 
• Skills and Attributes:  Excellent communication and interpersonal skills.  Ability to facilitate inclusive discussions and achieve consensus. 
• Strong strategic thinking and problem-solving skills. 
• Ability to act impartially and mediate conflicts. 
• Passion for heritage and a commitment to HiDDEN’s values of inclusivity, knowledge sharing, and environmental responsibility. 
• Commitment:  Willingness to commit 1-2 days per month, including participation in bi-monthly planning meetings. 
• Enthusiasm for working with a network of small to medium organisations to achieve shared goals.
