Introduction to Croydon Refugee Day Centre

The Croydon Refugee Day Centre (CRDC) is a small, primarily volunteer-led organisation, with a 4-person staff team and 70 dedicated volunteers.

Our mission is to work together with asylum seekers, refugees and other stakeholders to create a welcoming, responsive & sustainable community at Croydon Refugee Day Centre, where people seeking sanctuary are respected as equals, can regain some control of their lives and build towards a future in the UK.Bottom of Form  Last year, we supported over 1600 people.

Over the past few years, the number of asylum seekers and refugees in Croydon has increased dramatically, and CRDC is increasing its services and staffing to meet the new level of need.

Job Role

Title: Administrator

Contract: One year fixed -term contract (role may be extended dependent on funding)

Salary: £29,680 FTE (pro rata to 3 days/22.5 hours per week - £17,808 absolute salary)

Reporting to: Operational and Volunteer Coordinator

 Purpose: To provide high quality administrative support to the Croydon Refugee Day Centre.

Job Description

As Administrator for the Croydon Refugee Day Centre, you will be a crucial part of our small staff team, working across, maintaining and developing all our administrative systems. Your core responsibilities will be as follows:

• To manage the central administrative systems, processes and procedures of CRDC across different platforms, including Google Drive and Microsoft Teams, plus subscriptions to other services (e.g. web hosting)
• To manage our CRM Access Database of community members, including weekly data entry and management of accompanying paper records; plus annual updates and assisting with extraction of statistics for grant reports and trustee meetings.
• To manage administrative tasks and improve and develop administrative systems associated with our 70-strong volunteer team, including initial recruitment and onboarding of volunteers, DBS checks and references, weekly rotas etc.
• To develop and manage a database of (potential) in kind and financial donors and/or newsletter subscribers and to communicate externally with community donors, including writing thank you letters.
• To ensure that record keeping across the organisation is performed in line with our GDPR and confidentiality responsibilities.
• To support the Coordinators and Manager in managing Hardship Funds, including regular purchasing of necessary hardship supplies, such as toiletries, underwear etc.
• To manage purchasing of office and other supplies and equipment as necessary.
• To manage day-to-day administrative tasks, including but not limited to: monitoring and replying to external email queries; preparation of documents and letters for other staff members; weekly updates of website and facebook page.
• To assist Manager wih financial systems and bookkeeping, including working with Xero.
• To assist Manager with preparation of documents for trustee meetings, prepare draft minutes and act as Secretary at meetings.
• To oversee and train volunteers involved in administrative tasks.

The Mental Health Crisis Breathing Space (MHCBS) team at Toynbee Hall is part of a national initiative launched in partnership with We Are Group and The Kaleidoscope Plus Group, funded by the Money and Pensions Service (MaPS). This service provides individuals undergoing mental health crisis treatment with temporary protection from debt collection activities, allowing them a “breathing space” to focus on their recovery without the immediate pressures of financial obligations. Toynbee Hall contributes to this initiative by offering regulated debt advice, conducting renewal checks, and providing comprehensive signposting support, ensuring that clients receive holistic assistance during their crisis period.

Scope of role

The Administration Coordinator provides crucial support to the Mental Health Crisis Breathing Space (MHCBS) team by managing administrative processes efficiently. The role focuses on handling key back-office tasks that enable the team to deliver timely and accurate support to clients and stakeholders.

Responsibilities and Accountabilities

• Coordinate team inboxes and triage emails to appropriate team members or stakeholders, ensuring timely and accurate responses within SLAs – handling routine enquiries as standard and more complex enquiries as directed.
• Coordinate team tasks in AdvicePro, resolving issues, issuing or preparing correspondence, and highlighting urgent or non-standard cases for direction and resolution.
• Ensure CRM is maintained with accurate client and case information, running reports for management to review cases, prepare MI returns and support invoicing routines.
• Resolve or triage enquiries via the Insolvency Service portal, ensuring compliance with guidelines.
• Process incoming MHCBS applications and handle scheme closures using standard operating procedures, escalating non-standard issues or cases for direction and resolving issues.
• Support accurate reporting by ensuring high data integrity and flagging inconsistencies.
• Coordinate administrative needs for team meetings, external engagements, and cross-agency

This is an opportunity for a motivated and enthusiastic individual to join a small but determined team.  Working closely with the wider charity team, this role offers a real opportunity to see the impact that your work has on the children and families we support and to grow our fundraising reach within your geographical region.

The geographical region will cover anything west of Bridgend and up to Aberystwyth. Ideally, candidates would be based in the Carmarthen/Llanelli area. This is a home-based role, with frequent travel throughout Wales, and monthly travel to Cardiff.

Scope of role

This recently created role within the Noah’s Ark Charity, which will grow our regional community fundraising presence and offering.  The postholder will know the West Wales area well and will become the expert in fundraising opportunities within the region, building strong relationships within the community, including companies and will develop supporter-led activity. The postholder will plan for and deliver income for the charity within the region, in line with wider fundraising strategy. 

KEY DUTIES AND RESPONSIBILITIES

1. Income generation

- To plan for and deliver income to target through key performance indicators as agreed with community fundraising manager.

- To develop new supporter relationships within the community, in a planned way, to achieve income and provide excellent supporter care to ensure the relationship is ongoing, beyond one-off support for the charity.

- To lead on and deliver community fundraising within the region, through relationships with patient families, third party fundraisers, community groups, schools and education establishments and public bodies.

- To build strong corporate partnerships within the region, to an agreed income level, with the support of the community fundraising manager and head of fundraising and development.

- To lead on key projects to develop income generation.

- To contribute to the strategic development of community fundraising.

- Plan and deliver events in the community where necessary.

- Secure and deliver engaging presentations to groups and organisations.

2. Ambassador programme

- To build the family ambassador programme within the region, growing the network of key supporters who will represent and be the face of the charity within their local community.

- Support the community fundraising manager with the development of the ambassador programme including training and thanking opportunities.

3. Supporter experience

- To champion consistent and excellent supporter care.

- To record all communications accurately on the database, ensuring information is gathered and recorded in accordance with the requirements of the data protection act, GDPR and the charity’s data protection policy.

- To respond to supporter enquiries in a timely manner and deal with complaints, escalating as appropriate.

- To deliver an excellent supporter journey and contribute to the central supporter journey for community fundraising. 

4. Cross team working

- To work collaboratively with fundraising colleagues across the team to deliver wider fundraising income and charity objectives.  For example, gifts in wills, regular giving, event participation, volunteering and communications.

5. Budgets

- Work with the community fundraising manager and head of fundraising and development, to build and manage a detailed fundraising budget, including income and expenditure.

- Provide forecasts throughout the year, for agreed streams of income.

6. Best practice

- Ensure all fundraising practice is in line with organisational guidelines and policies.

- Encourage and champion compliance and best practice within the fundraising team.

- Ensure own compliance with fundraising standards and requirements, keeping up to date with key policies and regulations, including the fundraising regulator, chartered institute of fundraising and the charity commission.

7. Undertake any other duties which might be required to fulfil the general purpose of the post.

Details of Job

The Events and Communications Officer will work across the team to plan, produce and deliver a calendar of in-person and on-line events. They will also communicate our work to external audiences to drive the participation of small and medium sized enterprises (SMEs) in our programmes and attract potential funding from corporates, grant-makers, and government bodies.

The post holder will work with the programme team to manage a calendar of online and in-person events and oversee the event process from beginning to end. The post holder will manage ticketing platforms, oversee event budgets and logistics and create event briefings to ensure alignment between external speakers and team members. This will include overseeing the set-up of IT and technology to ensure smooth event delivery and acting as a main contact point for external event partners. Flynne’s Barn is a charity supporting young people living with cancer. We offer residential stays in the Lake District, bringing young people with a shared experience of cancer together to build community. You will work closely with the Chief Operating Officer to support the smooth running of the IntoUniversity network, leading on strategic projects and work streams to improve and strengthen operational effectiveness across the organisation. You will have senior responsibility for the feasibility and setup process for prospect and new centres, as well as oversight of the training needs of the organisation and line management of the Volunteering Manager. You will sit on the charity’s Senior Operations Team and Safeguarding Team, and you will also play a key leadership role on the charity’s Head Office team.

Role Summary

An exciting opportunity to join Into Film and lead on the production of all audio-visual content for the UK’s foremost film education charity. Overseeing an in-house production team of six, the Production Lead will work closely with colleagues from across the organisation to identify, develop and deliver an exciting and wide range of content for classroom resources, social media channels and the Into Film website.

The role is initially available for a fixed term through to 31st March 2026, but may become permanent pending continuation of funding.

Main Responsibilities:

• Work closely with the Joint Heads of Programme and Head of Marcomms to identify audio visual requirements in support of the Into Film strategy, including income generation. 
• Lead on planning and allocation of work for a team of six, supporting on and leading projects as required.
• Oversee departmental production budget, and budget from commissioning departments, ensuring that expenditure is planned, tracked and evaluated. 
• Plan for and manage freelancers in support of production activity as required.
• Manage Production Team, identifying where support, training and development are required to ensure a flexible approach to producing a diverse range of audio-visual content. 
• Ensure that statutory regulations in the provision of film and media content are complied with (safeguarding and child protection, GDPR etc.). 
• Ensure that all audio-visual content is legally compliant and rights are cleared for use on specified channels. 
• Oversee production on key projects including the Into Film Festival and the Into Film Awards. 
• Ensure that Into Film audio-visual content reflects the diversity of its audiences, including teachers, young people and children from under-represented backgrounds and communities. 
• Any other reasonable duties assigned by Into Film.

General Responsibilities:

• Commitment to quality internally and in all dealings with Into Film’s stakeholders including teachers, children and young people, industry partners, funders, supporters, parents and carers, and members of the public.

Person Specification:

Minimum Requirements:

• A minimum of two years’ experience of team management in a fast-moving production environment. 
• Experience of audio-visual content production and post-production, including for social media.
• Extensive experience of working successfully and collaboratively with senior colleagues from across an organisation to plan and produce audio-visual content.
• Experience of managing individual project and departmental budgets. 
• Good working knowledge of rights and compliance issues in relation to audio visual production. 
• Confident, creative judgement, including experience of feeding back on briefs, scripts and edits, and taking responsibility for project sign-off and delivery. 

Desirable:

• Experience of producing audio-visual content for an education and/or youth audience.
• Experience of editing audio-visual content using Premiere Pro.
