We have an exciting opportunity arising to work in our friendly Finance Team, supporting NCT with our mission to support parents to have the best possible experience of pregnancy, birth, and early parenthood.

We are looking for an experienced Finance Assistant with an interest in charity finance. You will be a highly organised individual who is used to working to deadlines, with excellent attention to detail, problem-solving and communication skills.

You will play a key role in accurately recording and reconciling some of NCT’s key income streams.

About the role

As a Finance Assistant, you will be responsible for administering the Charity sales ledger and supporting both our membership and volunteering communities in their financial management. The key responsibilities include:

· Administration of the Charity Sales ledger including credit control;

· All Direct Debit processing for the collection of membership and course income;

· Supporting our 135 active fundraising branches in their transaction processing;

· Completing the monthly Gift Aid claim and other key balance sheet reconciliations.

We are recruiting for someone with the following:

• Experience of working in a finance role and maintaining financial records including preparing journals and balance sheet reconciliations;
• Strong numerical skills and a high level of accuracy in all aspects of work;
• Excellent attention to detail and accuracy with a problem-solving mindset;
• Good organisational and time management skills with the ability to prioritise tasks to meet deadlines;
• Ability to communicate confidently and effectively with a variety of audiences;
• Ability to use own initiative, and comfortable working independently, and remotely;
• Intermediate Microsoft Office Skills in Excel, Word and Outlook.

This position will be home-based so applicants can be located anywhere in the UK. We have a vacancy for 21 hours per week. These hours should be spread across at least 4 weekdays. About You:

Having previously worked within a direct marketing team within the charity sector, you’ll have experience project managing campaigns with external agencies and internal stakeholders utilising a variety of fundraising channels such as digital, email, social media, direct mail, and telemarketing. 

You’ll also have gained experience using Dynamics 365, Raisers Edge or a similar database. 

About The Role

• Lead on the planning and implementation of legacy and in mem fundraising portfolio, managing marketing campaigns from initial brief through to post campaign analysis. 
• Develop and maintain sustainable relationships with in mem supporters and legacy prospects in local communities, with the support of community fundraising managers and local volunteers – keeping these supporters at the heart of your work to to maintain and increase their support through excellent stewardship. 
• Prepare and administer correspondence and relevant paperwork and ensure maintenance for full and accurate database (D365/First Class) records, analysing financial and non-financial data to monitor and improve engagement and customer service performance.
• Proactively keep abreast of competitor activities, new initiatives and sector trends. 
• Effectively plan and execute legacy events around the country, with the aim of motivating supporters to consider leaving a gift in their Will.

Strathclyde would like to appoint an early career fundraiser to the role of Alumni Fund Officer, working within its established and successful Alumni and Development team. This role will deliver fundraising programmes to support the University’s Alumni Fund – a fund which is championed by many thousands of our graduates, and which supports the whole student experience. 

You will deliver a range of fundraising projects including an annual student telethon campaign, direct mail, and digital projects (including Giving Day campaigns). Working across the University, you will develop close and supportive relationships with senior staff and talented students alike.

Our client Peter Bedford Housing Association is a housing association with charitable aims that create positive change in people’s lives. As well as homes and support, PBHA empowers people to learn, access work and discover their creative talents. Based in Hackney, Islington and Newham, we work with people who are homeless, have mental ill health, learning difficulties and multiple needs. PBHA’s work enables people to move on and lead independent lives.

The role:

This part time (0.6FTE) post is located within the core services Team, and reports to the CEO. The postholder works closely across the organisation to deliver an efficient Office management, Reception and basic HR service to all managers and staff.

Aims of the post

• To manage the office, coordinating volunteers to provide reception and administrative services. 

• To coordinate and procure office and IT equipment.

• To carry out HR administration tasks acting as a first point of contact for managers and staff.

Specific Responsibilities

Office management

• Dealing with customer & external queries and disputes dealing with in bound and out bound communication, such as hybrid mail, post, phone calls and customer satisfaction surveys. 

• Organise Reception rota and cover, enabling opening hours to be fully resourced. 

• Dealing with petty cash.

• Managing phone and IT systems, contributing to new projects and upgrades.

• Ordering and facilitating meeting refreshments. 

• Promote and manage booking of rooms. 

• Manage all hardware e.g. laptops, phones etc and ordering office consumables.

• Managing small budgets and checking expenditure.

• Ensuring all new staff are set up with correct equipment and IT access e.g. laptops, phones, keys etc with good records kept.

Volunteer and Placement development

• Day to day supervision of customer services volunteers and placements.

• Recruit and plan for volunteers and placements, including contributing to individual learning plans and reviewing progress. 

HR administration

• Investment in staff - To be an impartial point of contact for employees and volunteers seeking HR advice if their line manager is not able to assist, signposting them as appropriate to other sources of advice and assistance. 

• Employment contracts and Consulting employees - To provide administrative support when consulting on Terms and Conditions, investigating Disciplinary and Grievances and any other related matters. To support the CEO to coordinate working groups across employees and volunteers. To administer staff surveys. 

• DBS checks - To undertake renewal DBS checks for all employees and volunteers and make recommendations as necessary to managers. 

• Managing information - To ensure good quality and accurate HR information management for all employees and volunteers with due regard to confidentiality and document control. To maintain electronic files and enable colleagues to make the best use of the HR database, Breathe HR. To facilitate references for former employees in partnership with managers and the CEO. 

• Payroll - To collate information, draft and seek authorisation of payroll changes in partnership with the CEO and Director of Finance. To support the annual pay review. 

• Recruitment - To coordinate recruitment processes in partnership with the recruiting manager. This includes liaising with the recruitment agency. 

• Learning and Development - To coordinate training suppliers and place bookings for courses in consultation with the CEO. To contribute to coordinating the annual Staff and Volunteer conference. 

Customer focused services

• Promote and support tenants/participants to access PBHA’s participation and co-production opportunities.

• Be supportive of PBHA’s ethos of maximising tenant/participant influence over the development of the organisation.

• To positively promote and signpost tenants and participants to report complaints in line with PBHA’s practice. To have a collaborative and co-operative approach towards resolving complaints, working with colleagues across teams and departments. To take collective responsibility for any shortfalls identified through complaints.

General Responsibilities

• Participate in key meetings.

• Contribute to policy development, income generation, strategic and annual planning, corporate and cross-team activities, external partnerships and promotional activities as required.

• Promote, develop and support PBHA’s ethos, values and impact.

• Provide cover for other managers and workers.

All staff are expected to: 

• Work co-operatively as part of a team and with other teams.

• Be involved in the selection and training of new workers and volunteers.

• Participate in staff training and development activities, one to ones and all relevant meetings.

Access Information 

The Kingsland Hub site has one level and is accessible to wheelchair users.

Main Conditions of Service

This is a part time position. The post is for 22.5 hours per week. It is expected that the hours will be delivered on 3 full days (to be agreed) each week but alternative arrangements, ie 4.5 hours per day for 5 days, may be acceptable. Duties will occasionally be carried out over evenings and some public holidays. Overtime is not paid but in line with Agile working, hours can be averaged out over a 2-week period.

Annual leave entitlement is 26 days per year plus normal bank holidays pro rata. This will rise after each completed year of service to a maximum of 30 days – pro rata.  

Salaries and expenses are based on PBHA’s salary scales and are revised each year. The salary for this post will be in the range of £35,692 pro rata per annum and the starting salary is £35,692 (£21,415 for 22.5 hours per week).

The post holder will be auto enrolled to be a member of the organisation's contributory pension scheme if eligible.

In common with all posts at PBHA, confirmation of appointment is subject to a probationary period (6 months). The notice period for this role is four weeks.

About the role

The London Library is looking for an Acquisitions and Discovery Assistant to assist in the acquisition and management of Library E-resources and print resources.

The role includes supporting the successful acquisition and seamless delivery of electronic resources to library users, utilising and maintaining relevant library systems and records; assisting purchasing decisions and supporting licensing, ordering and payment processes; verifying access, liaising with suppliers & Library IT, and ensuring correct metadata is presented to users; plus monitoring resource use and collecting data for the evaluation of subscriptions. There is the opportunity to support membership and services, including giving tours to prospective members.

In addition to assisting with the administration of E-books, the role requires processes associated with the management of the print journal collection, including serials and donated materials, such as checking in new issues and ensuring publications are shelved correctly, applying stamps, recording invoices, recording changes in publishers' information and preparing completed volumes of serial parts for binding and checking. 

There is potential to grow and develop the role, which will join our busy Acquisitions and Discovery team and assisting with administrative tasks associated with cataloguing along with supporting the Library’s internal Digitisation processes as required.

Flexible and adaptable, with an ability to get on with a wide variety of people, even under pressure, you will have proven experience of working in a Library environment and of basic clerical/administrative routines.

You will have exceptional organisation and communication skills with the ability to convey information clearly and courteously, with a methodical approach to tasks, including physical duties such as shelving.

Reporting into the Face to Face Manager, you will either be able to work in a hybrid way working between home and 2 days per week at our London office or remotely working from home with a requirement to attend our London office for a team anchor day once a month.

About You:

You will have experience of training and presenting as well as supporting Face to Face campaigns ideally within a third sector fundraising role. Key to this role will be the ability to build, manage and develop relationships. 

Additionally, you’ll be able to run analysis and have experience using Dynamics 365, Raisers Edge or a similar database. 

About The Role

• Provide continual training and compliance monitoring support to our Face to Face partners in the execution of all door, private Sites and events fundraising, this includes leading on developing new opportunities in conjunction with St John events.
• Oversee and collaboratively work with our Telephone Fundraising partners on their training and compliance of all deliverables such as welcome calls, upgrades, reactivations and other fundraising campaigns – includes caller listening
• Oversee regular audits of agents, to monitor against key auditory compliance and performance metrics.
• Manage relationships with our Face to Face partners with training, development and materials, and performance reviews. Monitoring various forms or training and reviewing inductions in line with our agreed contract.
• Build a strong knowledge of all areas of St John Ambulance’s work, carrying out continual research and gathering information, case studies and photos for use in training booklets, scripts and materials. Where appropriate, to liaise with external agencies such as designers and copywriters.

To support the Sports Events team with administrational duties, ensuring our fundraisers receive the best supporter experience possible, keeping accurate records and project managing small fundraising events. 

You’ll have an active role providing LGBTQ+ affirmative support for LGBTQ+ children and young people. 

This is an exciting job opportunity to join a dynamic and committed team in a front-line role to support and deliver the activities and services of elop’s LGBTQ+ Children & Young People’s Service.

In this role you will have opportunity to design and deliver innovative youth support programmes, groups & other activities; provide LGBTQ+ affirmative support, guidance and mentoring on a one- to- one basis; work with our wider family work programme, support families with LGBTQ+ children and deliver work in schools to students & teaching staff.

You will have lead responsibility for our LGBTQ+ Young Peoples Service, including promotion, & administration, along with the induction, support & supervision of sessional staff & volunteers. 

Initially you will be working remotely via home-based working whilst elop relocates its offices & centre transitioning back to fulltime in-person working & service provision during 2024.  Some services are in person in East London. 

Full Time: 37 hours per week   

You must be available to work Tuesday evenings & once a month on a Sunday afternoon.  There will be other evenings and occasional other weekend working required.

MAIN PURPOSE OF JOB:

To assist with handling all incoming requests for help, both by telephone and email, to listen to and record the needs of elderly and/or terminally ill people and their pets (ie petitioner needs).  To identify individuals outside our charitable remit and refer to other organisations that can offer assistance and always seek advice in the case of doubt.

Where help is required, to raise a computerised record to log the case, task volunteers nationwide by telephone and email to offer assistance to elderly petitioners with the pet care and reassurance needed in order to honour our mission statement of “Peace of mind for owners, love care and safety for their pets”.  Liaise with both petitioner and volunteer throughout to ensure the delivery of our service.  This post will require a good overall understanding of the needs of elderly people and their pets.

An essential occupational requirement of this role is to participate with on-call midweek evenings and weekends (this will be one full week in five).  Together with other members of the on-call team you will participate with on-call on a rota basis to help ensure and maintain our emergency telephone line during these times.

MAIN DUTIES AND RESPONSIBILITIES:

i. To assist in contacting volunteers nationwide by telephone and email and tasking by telephone as required to help petitioners with their pets.

ii. To listen to the needs of each petitioner and accurately record information for each petitioner and their pet by completion of a computerised case to record volunteers assigned and the service provided. 

iii. To ensure you record all of your communications onto the database in an accurate and timely fashion by way of comments on each petitioner case at the end of each conversation.

iv. To help maintain up-to-date records and mailing lists for petitioners, petitioners’ contacts and volunteers throughout the course of your work.

v. To ensure the appropriate delivery and quality of service provided to petitioners when you are handling a request for:-

a) Dog Walking

Task a minimum of two volunteers per case to assist with dog walking.  Contact all volunteers after their first dog walk to check and ensure they have started, log all responses onto the database, then complete the case.

b) Home Checks

When a potential long term fosterer is identified, you will be asked to task a volunteer to visit and carry out a home check.  Once the completed home check has been received, complete the case – (all home checks will be valid for 12 months).

c) Short Term Fostering (stf)

To initially gather as much information about the pet(s) as you can and how soon a foster is required.  Raise a case and log all details onto the database, begin a computerised search for a suitable volunteer to foster, arrange transport, if needed, to take the pet(s) to the volunteer and follow up 24 hours after the pet arrives to ensure all is well.  Keep in touch weekly.

If the pet goes home – arrange transport to take the pet back home, again follow up 24 hours after the pet has returned home with a phone call to the petitioner to ensure all is well.  If dog walking or any other assistance is needed, raise a new case and task the appropriate volunteers to either dog walk, offer Pet Care, reassure etc.

If the pet(s) goes into long term foster – refer to your line manager, once a decision is made, then follow the protocols for Long Term Fostering see below.

d) Long Term Fostering (ltf)

Raise a Long Term Foster Case, if needed, identify and chat to potential individuals, all of whom must already be home checked, run through the home check with the person to identify any changes, refer to your line manager, once the right individual is selected, arrange transport to take the pet(s) to their new ltf home.  Once the pet(s) have arrived, follow up 24 hours later to ensure all is well.

e) Pet Care

When required, task a volunteer to visit a petitioner and offer pet care, whether it is to administer medicine, groom, clean out a litter tray, bird cage, reassure, or any other pet care as agreed with your line manager as this is not an exhaustive list.

f) Talks

To task a volunteer to give a talk, attend an event, or represent The Trust, but, always take advice from your line manager with regard to appropriate volunteers for these tasks.

g) On-call

To ensure delivery of our service by participating in on-call and helping to maintain our emergency telephone line.  Together with other members of the on-call team, on a rota basis to help answer on-call emergencies this will be one full week in five – Monday to Monday including the weekend encompassing bank holidays, if applicable.  A day in lieu will be given for working bank holidays.

Upon completion of an entire week on-call and following a debrief with your line manager, a rest period of 1 day will be given to you immediately after ie Tuesday. 

On-call is for emergencies which will require an urgent response, for example if an ambulance is waiting to take someone to hospital, your urgent response is vital to provide peace of mind for the owner, love care and safety for a frightened bewildered pet.

v. To liaise with all other members of The Trust to help maintain a quality service.

vi. To contribute to the team by helping to update volunteer and petitioner cases in the course of your communications.

vii. To help maintain filing and filing systems related to your work.

viii. To liaise with all other staff of The Trust in a flexible manner.

ix. To liaise with all petitioners and members of the general public in a polite and helpful way.

x. To be familiar with and adhere to procedures and protocols, disciplinary and applicable rules and ensure compliance with legislations (Health and Safety, Data Protection, especially the privacy of members, petitioners and volunteers alike).

xi. At all times to ensure and maintain a compassionate, professional and efficient public image for The Trust.
