Role purpose
Southampton Hospitals Charity is looking for an organised and motivated Supporter Care Assistant to join our team. We are committed to excellent stewardship, so every supporter feels valued and confident that their gift is making a difference.
As the first point of contact for many of our donors, you will play an important part in delivering a consistently high standard of customer service.
In this role, you will look after our supporter care inbox, responding to a wide range of enquiries, from questions about donations to more sensitive concerns, with empathy, care and efficiency. You will also help to process incoming post, making sure donors receive the right thanks and acknowledgement for their support.
Working across our different income streams, you will help us deliver thoughtful, well-planned stewardship. You will use our CRM, to keep records accurate, up to date and compliant, ensuring preferences are recorded and that every supporter is looked after appropriately.
You will bring strong attention to detail, a willingness to learn, and experience of providing excellent customer support. If you are passionate about fundraising and the impact a charity can make, we would love to hear from you. This role is an important part of delivering our ambitious strategy to grow our income, reach and impact.
Main Responsibilities
Supporter care and administration
- Manage the supporter care inbox, responding to enquiries, feedback and complaints in a timely, professional and compassionate way.
- Process donations and supporter information accurately, following agreed procedures and ensuring acknowledgements are issued promptly.
- Maintain high-quality supporter records on the CRM, capturing key details and preferences and ensuring data is accurate and up to date.
- Support stewardship activity by preparing and sending thank-you communications and helping to deliver supporter journeys across in memory and legacy income streams.
- Process and thank donations received via post, sign posting to colleagues using our CRM when appropriate.
- Lead on the processing and thanking of campaign income as a result of our fundraising appeals and campaigns.
- Work closely with colleagues to resolve queries and continuously improve the supporter experience, identifying themes and suggesting practical improvements.
Supporter communications and relationship building
- Provide friendly, clear and consistent communication with supporters by email, telephone and post.
- Handle sensitive conversations with care, including bereavement-related enquiries and in-memory giving, signposting to colleagues where needed.
- Supporting the IMO and Legacy Manager to identify and fulfil key touch points in the supporters’ journey to enable donations and assist in providing communications as the need arises.
Teamwork and collaboration
- Work closely with colleagues across the charity to share information, resolve queries and ensure supporters receive a joined-up experience.
- Contribute to a positive, supportive team culture by being approachable, dependable and willing to help where needed.
Supporter care compliance
- Support the accurate input and maintenance of supporter data, ensuring records are updated promptly and consistently.
- Follow data protection and fundraising compliance requirements, including recording consent and communication preferences.
Person Specification
Knowledge and experience
- Experience in a customer service or supporter care role, responding to a range of enquiries with professionalism and empathy.
- Experience of processing and recording information accurately, following agreed procedures and meeting deadlines.
- A strong understanding of what excellent stewardship looks like, with a focus on supporter satisfaction and retention.
- Confidence using IT systems, including Outlook, Word and Excel, and experience of working with a CRM or database (or the willingness to learn).
- An awareness of data protection and confidentiality, and the importance of recording consent and preferences accurately.

Brief role description
The NST Client Advisor plays a key role in the Nova Support Team, acting as the first point of contact for veterans who have served in the UK armed forces and are at risk of, or are involved in, the criminal justice system. They provide timely initial advice, guidance and support, assess individual needs and connect veterans to appropriate services.
The role includes receiving and triaging referrals, making prompt first contact, completing initial registrations and maintaining accurate and detailed records on the case management system to support effective casework.
Who we are looking for
We are seeking a compassionate and people-focused individual who can build trust and communicate clearly while supporting veterans with a range of complex needs.
You will have experience and guiding and supporting individuals with strong interpersonal skills and the confidence to provide accurate advice and direction. You will also be highly organised, detail-oriented and able to manage multiple cases effectively while handling sensitive information with professionalism and care.
You will be proactive, IT Confident and able to work both independently and collaboratively with internal and external stakeholders. The ideal candidate will also bring an understanding of the justice system, experience using Salesforce, or a similar CRM system, and a resilient, adaptable approach.
We are looking to appoint multiple candidates and are offering this role on both a permanent and fixed-term contract (FTC) basis.

We’re looking for a Programme Manager to apply project management methodologies to our Dogs Trust Ireland transformation programme, which will involve migrating a legacy customer relationship management (CRM) system to Salesforce.
What does this role do?
As IT Programme Manager (Dogs Trust Ireland CRM Delivery), you will:
- apply standardised project management lifecycles, methodologies and governance to all activity in the Dogs Trust Ireland transformation programme, ensuring all work is aligned with wider programme objectives,
- work with key stakeholders to define and document the project scope, objectives and outcomes, and then deliver organisational change and embed new ways of working,
- work closely with the CRM implementation partner, Product Owner and Dogs Trust UK technical teams to shape the solution, coordinate and manage delivery, ensuring agreed objectives and timelines are met,
- manage and track dependencies throughout, and work with the Portfolio team to provide delivery assurance.

About the role
Reporting in to the Supporter Data Manager, the CRM Business Analyst will drive continuous improvement of the CRM solution through business analysis and automated testing, working collaboratively with the Supporter Data Manager and CRM Technical Lead to optimise efficiency and functionality.
The post-holder will engage with stakeholders and deliver strategic insights into As-Is and To-Be process models, data structures, and interdependencies, translating findings into concise agile requirements that enhance operational effectiveness.

- Proactively identify opportunities to optimise CRM system and articulate proposed solutions to the Supporter Data Manager and wide business users.

- Ensure Jira tickets are regularly updated to reflect accurate project progress.

Essential:
- Significant experience or professional qualification in Business Analysis.
- Demonstrable experience as a Business Analyst covering Agile requirements gathering and specification, data modelling and mapping, process re-engineering, and reporting.
- Developed communication skills, both verbal and written.
- Comfortable working with different stakeholder groups.
- Experience of applying industry standard process mapping techniques (e.g. BPMN, UML) to support process re-engineering.
- Experience of configuring and supporting the development of Dynamics365 CRM solutions.

- Creating end-user acceptance testing scripts, supporting the UAT process. Using SQL to extract data required to undertake analysis and investigation activities.

We are now looking to recruit a Programme Data Analyst to join the team. You will be integral in all programme management, partnership management, and administrative tasks across UK Programmes. You will play a vital role in supporting the day-to-day management of the CRM database and customer digital journey as well as troubleshooting, data cleaning and preparing external and internal data reports.
Key responsibilities of the role include:
- Maintaining data quality on our CRM, spotting missing/incorrect values and working with colleagues and partners to fix source data
- Implementing secure, efficient and compliant data collection systems, ensuring excellent data quality and integrity, cleaning data and eradicating errors
- To be the first point of contact with our CRM provider to troubleshoot and implement developments
- Leading on co-ordinating and working with our delivery partners to ensure they provide accurate and timely data and information for reporting

You should have:
- Previous experience in a data analyst role

The Role
