The Supporter Donations Queries Team at Macmillan are looking for x2 Supporter Donations Assistants to play their part in helping Macmillan's supporters and stakeholders do whatever it takes for people living with cancer. We have two roles available within our Supporter Donations Queries Team. Whether you are a recent graduate looking to gain customer care experience within a large, complex, and successful charity or you are seasoned supporter/customer care or administrational professional looking to broaden your experience and are keen to contribute to the work of a busy, friendly, and high-performing team, or whether you are looking to change your career and have the skills needed to excel in a customer service role, we want to hear from you.
You’ll be processing high volumes of income and inputting donations on our income system, resolving queries from our supporters & internal stakeholders, sending personalised thank you letters and helping to process Gift Aid sponsorship forms. You will liaise with stakeholders across the organisation including our Finance team, colleagues across Supporter Care, Relationship Fundraising Managers and product teams in order to accurately thank and process supporter donations received by Macmillan across all channels. Including processing online event registrations & donations, revalidating eligible Gift Aid, cleansing data and addressing all queries related to donations. Initial training is due to be delivered in the London office - arrangements to be discussed dependent on contractual location.

How you will make a difference
Your role will enable smooth and efficient financial and administrative workflows at GFI Europe. Reporting to the Head of Operations, your work will fall under the following categories:
50% of time – Payment processing and bookkeeping
- Making payments correctly and on time with respect to invoices, direct debit setup, expense reimbursements, as well as salaries and payroll taxes.
- Day-to-day bookkeeping, including registering journal entries and all financial transactions in our accounting software (currently Quickbooks), and supporting monthly reconciliations.
- Coordinating the calculation and payment of quarterly reverse-charged cross-border VAT payments.
- Where there are opportunities for improvement, working in partnership with colleagues from the Operations team to implement systems that facilitate easier and more efficient payment processes.
25% of time – Budget forecast and reporting
- Forecasting regular and recurring expenses for the annual budgeting process and for periodic budget reviews.
- Preparing monthly updates on budget spending per department / project.
- Collaborating with our Development team to track and report against restricted donations.
- Organising information needed for the Belgium annual financial audit process as well as for UK financial reporting.
25% of time – General administration
- Supporting governance, compliance and reporting for our Belgium entity, as well as the UK branch of GFI Europe and potentially other entities in the future.

Benefits and the fine print
- Terms of employment: Part-time (27-30 hours / week). Flexible working hours.

As part of the four strong events team, this role is responsible for coordinating the delivery of numerous educational events throughout the year. These events support the clinical and non-clinical skills and professional development of our members as key components of lifelong learning and improvement.
In addition, the role will support the Events Manager in the administration of the showcase Annual Congress as well as the Admissions Ceremony. As part of the team, you will also assist other team members as necessary.
Main Purpose and Deliverables

Now, nearly half of them are - or recently have been - sleeping rough and with the numbers of young rough sleepers in the capital growing at an alarming rate, New Horizon Youth Centre has had to take decisive action to unlock support and housing for this group. The Head of Services - Rough Sleeping is a brand-new role for the organisation and will lead on developing a new internal strategy for young people facing rough sleeping, as well as holding operational oversight of our established youth-specific street outreach function and emergency accommodation hub, both of which are unique in London. You will need to be strategic in approach and an excellent relationship builder. You will act as our lead colleague on relationships with the Greater London Authority and London Councils’ rough sleeping teams, working with them to ensure our learning and insights inform policy and ultimately open up access to emergency support for those under 25. Alongside this you will need a keen eye for operational detail, have experience of delivering homelessness services, and be passionate about piloting new solutions to prevent homelessness among young people. As Viva’s Head of Impact, you will work closely with the Network Partnerships Team Leadership to lead the development of a new approach to Monitoring, Evaluation, Accountability and Learning, with the primary purpose of supporting partner networks to know their impact and share learning with each other. You will enable partner networks and Viva to build, measure and learn together, evaluating the effectiveness of programmes and methodologies, adapting them to ensure desired impact is reached and sharing learning with each other and with other development partners.
You will also work to ensure all programmes funded by Viva are accountable, well-monitored and contribute to our learning environment with clear opportunities to learn and adapt throughout the programme delivery and reporting processes.
Some of your responsibilities will include:
- Shared leadership: You will contribute to strategic decision making as part of the Network Partnerships Leadership Team and be part of shaping the vision and practice of Viva as an organisation from a Christian faith perspective.
- Viva MEAL framework: You will develop and manage a robust MEAL Framework for Viva
- Network health: You will work closely with the Network Partnerships Leadership Team to review Viva’s Network Health Check process and develop a system designed to support partner networks to build strong and sustainable networks
- Reviewing project delivery: You will work closely with Network Coaches to agree the most efficient outworking of the MEAL Framework with the Viva partner networks for projects where Viva has brokered funding.

Main duties and responsibilities
Fundraising Overview

Finance Support: 60%
Support the Assistant Finance Manager in updating the Purchase Ledger:
- Ensure that purchase requisitions are received and processed on the accounting system in a timely manner,
- Ensure that all expenditure is recorded against the relevant nominal code and cost account, and that the correct VAT code is used,
- Ensure all suppliers’ invoices are attached to purchase requisitions on ApprovalMax

We are a multi-award-winning, creative, and innovative organisation, and the Database Officer is a role at Al-Khair Foundation, sitting within the Database team and delivering on a range of database tasks and processes utilising our Salesforce database.
We’re looking for someone who has a good working knowledge of database systems and who understands their importance to organisations like Al-Khair Foundation. We seek someone who is naturally process-driven and has a great eye for detail. You will be responsible for specific monthly processes, such as organisation income reconciliation and ongoing data uploads and cleansing for the Fundraising teams. You will also become a champion for Salesforce and understand the importance of CRM to help Al-Khair Foundation achieve our goals and provide a better service to our donors, supporters, and participants.
Your Role
Al-Khair Foundation uses Salesforce to manage relationships with our donors, supporters, and stakeholders, including recording all donations made to the organisation. Al-Khair Foundation’s Database Officer will be responsible for the monthly delivery of the income and data reconciliation processes for the Fundraising teams, which includes liaising with a wide range of external agencies and the website to successfully download and query files, update and create new supporter records on the database, process cheques and payment requests, and work closely with the Finance team to ensure all anticipated and banked income tallies correctly.
You will also work closely with colleagues in the Database team to support and maintain regular database processes, data cleansing, and other database-related functions that happen on a monthly or quarterly basis. This may include responding to and being responsible for Support Ticket queries in relation to income, data, and/or the database generally and working with external database agencies such as our web platform partners and Salesforce.
Aside from these core duties, from time to time, you may also carry out general administrative tasks on behalf of the Supporter Engagement team. This may include supporting the Supporter Care Assistant during busy periods with customer care via email and telephone and recording updates, processing invoices, and maintaining and updating team rotas and trackers.
Your Responsibilities
- Delivering the monthly data reconciliation and income reconciliation processes, which include downloading and uploading data files.
- Supporting the Fundraising teams with their monthly income recording and reconciliation.
- Liaising with external agencies and the Finance team.
- Checking for and correcting inaccuracies and updating supporter records.
- Running reports for the Fundraising and Finance teams.
- Maintaining and carrying out regular database processes, including data cleansing.
- Supporting the Database Coordinator and the Senior Data Manager to encourage best-practice use of the database across the organisation, including assisting with onboarding and new user training and being on hand for day-to-day technical support when the Database Coordinator is unavailable.
- Working with external partners (i.e., telemarketing agencies) to ensure the successful and smooth transition of data onto the database.
- Spotting and reporting database glitches and problems.
- Supporting with the ticketing system as a second point of contact in the Database team.
- Contributing to creating a culture committed to the safeguarding of children and adults and compliant with Al-Khair Foundation’s Child Safeguarding and Adults at Risk Policies.
Who You Are
To be successful, you will be:
- Someone who has experience using a Salesforce database to carry out day-to-day tasks and who understands their importance for organisations such as Al-Khair Foundation. Charity/NGO experience would be an advantage.
- Someone with excellent attention to detail and good numeracy skills.
- A great communicator who can manage a variety of stakeholder requirements and resolve requests in a timely and accurate manner.
- Able to organise your time and own workload effectively and able to work to deadlines in a busy environment.

About the Role
Reporting directly to the Director of Global Mission, this focal coordinating role within our Global Mission Team (GMT) will ensure the effective functioning of the GMT by offering:
• Administrative support to the Director
• Team-wide Coordination

Due to the coordinating nature of this role, the post holder will need to work in close collaboration with other members of the Global Mission Team as well as effectively liaise with members of the Communications, Engagement and Fundraising (CEF) team as well as the Finance and Operations (FO) team.
