The Women & Families Resource Centre (WFRC) is a registered charity based in Wolverhampton that supports, empowers, and advocates for women and children.

We aim to encourage women to become self-reliant by helping them identify their needs, make informed choices, and create their own solutions. Our services include a baby bank, a charity shop, and a range of community support initiatives for women facing crises or challenging circumstances.

Our Wolverhampton Baby Bank is a flagship project supporting families with children aged 0–3 by providing essential items and connecting them to vital community services.

About the Role

We are looking for a dedicated and organised Volunteer Office Manager (Onsite Volunteer) to oversee day-to-day administrative operations and act as the first point of contact for clients, visitors, and enquiries.

This is a key role within the organisation, ensuring smooth communication, efficient processes, and a high standard of compassionate service delivery to the community.

Key Responsibilities

• Serve as the first point of contact for all incoming phone inquiries and visitors.

• Respond to client inquiries professionally and compassionately.

• Conduct initial intake screening and gather essential client information.

• Schedule appointments and manage staff calendars.

• Maintain accurate records of calls, referrals, and appointments.

• Manage email correspondence and administrative communications.

• Prepare, organize, and securely maintain client documentation.

• Maintain digital and physical filing systems in compliance with data protection policies.

• Support day-to-day office operations and ensure smooth administrative workflow.

• Track action items from meetings and follow up with relevant staff.

• Assist in preparing reports, summaries, and operational documentation.

• Coordinate communication between staff, volunteers, and external partners.

• Monitor office supplies and maintain administrative resources.

• Ensure compliance with safeguarding, confidentiality, and organizational policies.

• Escalate urgent, complex, or sensitive cases to appropriate personnel.

We're looking for a finance bookkeeper volunteer who can support the financial administration of the charity using our finance software,  Xero. We The volunteer will support the Chair to undertake regular financial tasks such as budgeting, reporting, and audits while ensuring financial transparency. 
 

Key Tasks and Objectives

• Support the financial management of the Charity using Xero
• Data Entry: Recording financial transactions such as donations, invoices and expenses into our finance software, Xero.
• Weekly Reconciling income into Xero from GoCardless, Stripe, PayPal and other third-party agencies that facilitate donations being made to the charity.
• Maintain financial and accounting records, ensuring accuracy and consistency
• Assist with preparing payroll and/or pension information for submission to an external payroll provider (when required)
• Assist with the preparation of the accounts, quarterly and annual accounts for accountant annually as well as supporting funder financial reports
• Track the financial situation of projects
• Ensure that all necessary financial information is recorded accurately
• Assist with financial forecasting and budgeting
• Document Management: Organising and filing receipts, invoices, and other financial documents (digitally).
• Assist the Chair, volunteers or members of staff in understanding and using the accounting software
• Any other tasks that may be required from time to time or during the final accounts period, as appropriate.
• Assist with general administration relating to finances

Key Skills or Qualifications

Essential:

• Knowledge and experience of using Xero accounting software, including tracking project spending, managing volunteers’ expenses and department spending, uploading invoices, reconciliation, etc.
• Understanding of tracking financial data and information
• Experience of working in a bookkeeping role
• Accurate and up-to-date knowledge and experience of charity finance, SORP and other relevant frameworks
• The ability to quickly understand the needs of and challenges faced by our small charity organisation
• Strong numeracy and financial management skills
• Strong organisational skills
• Comfortable working remotely
• Ability to maintain strict confidentiality
• Ability to quickly understand the needs of our team, organisation and users of our services (we are not expecting you to have an awareness of the condition we support)
• Good initiative and ability to work with little direct supervision, but will ask for help when needed

Desirable:

• Knowledge of charity accounting including restricted and unrestricted funding

About Circular Kitchens

Circular Kitchens is a social enterprise and membership platform designed to help restaurants, cafés, pubs, food stalls, and other catering businesses become fully circular: Plastic Free, Ecological, Local, and Zero Waste.

By working with the hospitality sector, we are helping regenerate local communities, strengthen regional food systems, and increase demand for ecological and regenerative agriculture in the UK. Our current focus is launching Circular Kitchens in Whitstable and supporting our first mover restaurants to achieve 3 Star Circular Kitchens certification. Based on learnings from this pilot, we are preparing to scale across the UK, growing our environmental and social impact.

Role Description

Circular Kitchens is seeking a volunteer to support our early-stage software platform development, with a focus on how we manage restaurant resources, pledges, and audits using Coda. We are already working with a highly-skilled volunteer who has developed a strong plan of action and who will serve as a project manager and mentor. 

This role will include working with tools such as Coda, Softr, and Mailchimp to set up automations, clean up data, and brainstorm on future platform improvements. This work supports the early foundations of a scalable platform designed to support hundreds of Circular Kitchens members over time. It is a chance to work with fantastic people, quickly see the impact of your contribution, and be a part of truly building sometihng from the ground up! 

An Ideal Candidate Will Be:

• Experienced in computer science, data science, or a related field

• Comfortable working with digital tools, databases, and information management platforms like Coda

• Excited to work on evolving, early-stage systems

• Well organised with a strong attention to detail

• Interested in digital systems, platforms, or operational design

• Curious about startups, social enterprise, and/or sustainability

This is a voluntary role with a flexible time commitment, offering the opportunity to contribute to the operational backbone of a growing social enterprise and work closely with the founding team on systems designed to have real-world impact.

As part of this initiative, we are seeking a Personal Assistant to support daily coordination, scheduling, and communication tasks across departments. This remote volunteer opportunity is ideal for someone who is detail-oriented, proactive, and looking to gain experience in nonprofit administration while contributing to a meaningful community-driven programme. 

Position Overview:
The Personal Assistant will be responsible for organising meetings, managing calendars, supporting internal communications, and assisting in day-to-day administrative operations. This role plays a vital part in ensuring smooth coordination between teams, and offers autonomy, flexibility, and mentorship opportunities for someone looking to develop or apply their administrative and organisational skills in the Third Sector.

Key Responsibilities:

Administrative Support & Coordination:

• Manage meeting schedules, appointments, and internal calendars.

• Organise virtual events, staff briefings, and team check-ins.

• Support in planning and executing internal conferences or training sessions.

Data & System Management:

• Maintain and update internal databases and contact lists.

• Implement and uphold procedures and administrative systems.

Staff Liaison & Communication:

• Act as a point of contact between managers and teams.

• Assist in internal communications and task follow-ups.

General Administrative Tasks:

• Contribute to internal meetings with updates and suggestions.

• Provide ad hoc administrative support to leadership and teams as needed.

Required Qualifications:

Education:

• No specific degree required, but relevant administrative or office support experience is preferred.

Experience:

• Prior experience as an administrative or personal assistant is an advantage.

• Familiarity with coordinating meetings, managing data, or supporting organisational logistics.

Skills:

• Strong written and verbal communication.

• Excellent organisational and time-management abilities.

• Proficiency in Microsoft Office, particularly Word and Excel.

• Proactive, professional, and able to work independently or collaboratively.

• Strong team player with attention to detail.

As a charity we are able to help thousands of cats each year thanks to the generous donations we receive from members of the public. Our fundraising team leaders have the exciting and varied role of inspiring our fundraising volunteers to plan and deliver local fundraising events. Using their passion and imagination, they oversee a small team of fundraising volunteers who come together to raise the vital funds needed to cover costs such as veterinary bills and food. Our fundraising team leaders support their team of volunteers in all aspects of their roles, making sure our volunteers are happy, confident and supported.

What we need from you

You’ll be:

· supporting and encouraging a team of fundraising volunteers

· planning fundraising events and activities with your team

· allocating tasks before and during fundraising events

· keeping financial records from fundraising events

· encouraging and promoting a professional image of Cats Protection 

· following policies and guidelines and ensuring licences and permits are obtained for events

Time expectation

Our fundraising team leaders usually spend three to four hours per week in this role, which is flexible and can be shared by more than one volunteer if needed.
