Volunteer Role Description (remote, unpaid)

Responsibilities for Administrator position at EmpowerHer Foundation:

1. Office Management: Oversee daily operations of the foundation’s office, ensuring a smooth workflow and a positive environment for staff and volunteers.

2. Communication Coordination: Serve as the primary point of contact for internal and external communications, managing emails, phone calls, and correspondence with stakeholders.

3. Event Planning and Coordination: Assist in planning, organizing, and executing events, workshops, and community outreach initiatives that align with the foundation’s mission.

4. Database Management: Maintain and update the foundation’s database, ensuring accurate record-keeping of donor information, volunteer hours, and program data.

5. Financial Administration: Support basic financial operations, including tracking donations, processing reimbursements, and assisting with budget preparation.

6. Grant Research and Application Support: Research potential grant opportunities and assist in the preparation of proposals and reports to funders.

7. Volunteer Management: Help recruit, onboard, and coordinate volunteers, as well as provide them with the necessary support and resources for their roles.

8. Social Media and Marketing Support: Assist in managing the foundation’s social media accounts and help create marketing materials to promote events and initiatives.

9. Meeting Coordination: Organize and schedule meetings, taking minutes and ensuring actionable items are tracked and followed up on appropriately.

10. Program Evaluation and Reporting: Support the evaluation and reporting processes of programs, including gathering data, preparing reports, and analyzing impact assessments.

The Secretary provides administrative support to the operations of the ADH and advises the

Trustee and Executive Committee towards upholding UK Charity Commission guidelines. The

role ensures that ADH adheres to requirements of record keeping and data protection of

members. It provides the point of contact for Executive Committee team members and

Trustees to check and maintain UK policy relating to volunteer-led organisations, recruitment,

equality and safeguarding standards.

The role supports the Executive Committee Chair and Trustees in ensuring ADH team members

are treated fairly, with high standards of respect, dignity and inclusion, and in support of

upholding ADH charitable aims.

Key tasks:

● To maintain an accurate and high standard of records relating to ADH operations.

● To organize and minute a minimum of three Executive Committee meetings per year.

● To advise ADH Trustees on Charity Commission guidelines.

● To maintain and update ADH Charity Commission information.

● To work with the Treasurer to draft the Annual Report.

● To organize the AGM and communicate with members in relation to the AGM, reporting,

voting matters and policy changes.

● To support the Mentoring Coordinator in maintaining records and procedure and

covering for that role when required.

● To act as safeguarding point of contact for Sub-Committee teams and Executive

Committee members.

● To work alongside the Treasurer and Executive Committee Chair to ensure essential

ADH administration is undertaken in a timely manner.

We are looking for a team of Welcome and Reception Volunteers to join us on Mondays, Tuesdays, Thursdays and Fridays at Crisis Birmingham.

You will be supporting our Engagement and Assessment Room, and will be our first point of contact for new member sign-ups and members visiting our office on that day. You will also be given other tasks to do whilst the room is quiet, such as contacting new referrals, supporting to answer the phones and other administration.

Overview of the role:

Kingfisher Food bank opened its doors in 2013 and was a project founded by local churches and community groups, working together towards stopping hunger in our local area. In March 2023 the North Solihull Food Bank, a Charitable Incorporated Organisation, was set up to carry on and enhance the work of the Kingfisher Food Bank. We are here to help people in crisis and offer support through the provision of emergency food parcels, by offering a listening ear, and by signposting to other agencies for more bespoke support. We have a dedicated team of over 30 volunteers.

The Secretary of Trustees is responsible for leading on the administrative duties of the food bank and Board of Trustees, ensuring that its activities are conducted within the legal requirements, with board meetings being properly administered.

Key tasks

Secretary Responsibilities:

• to attend Trustee meetings, take accurate notes and keep an accurate record of attendance at meetings, recording all resolutions passed by the Trustees.
• to ensure that there is a record of all Trustee Board correspondence 
• to ensure that details of Trustee meetings are circulated to the board together with minutes of the previous meeting.
• organise the Annual General Meeting (AGM) and ensure all relevant stakeholders are informed and post the appropriate notices and commission, collect, duplicate and issue any necessary written reports, agendas, and minutes of previous meetings.
• to prepare, in partnership with other trustees, an annual report for the AGM on the work of the food bank.
• to ensure that the annual report (to accompany the annual accounts) is produced and sent to the relevant charity regulator body (Charity Commission of England & Wales) and that the details of the charity and new trustees are updated in a timely manner.
• to periodically check the Charity Commission’s website for guidance and information and updates that may affect the Trustees or the Foodbank

Other responsibilities, along with the Board of Trustees, include:

• to approve, support, and guide the charity’s purpose, vision, strategy, goals, and objectives
• to manage the charity’s resources responsibly, including ensuring the charity’s assets are used only to carry out its purpose, avoid undue risk, and not over-commit the charity
• To ensure the effective and efficient administration of the charity, responding to changes in the local community as appropriate
• to ensure that key risks are identified, monitored, and controlled appropriately
• to ensure appropriate financial plans are in place, budgets are monitored, and progress is evaluated
• to review and approve financial statements
• to help promote the organisation to key stakeholders and beneficiaries
• advertise, correspond with, and interview volunteers for posts, including use of Assemble and where applicable carry out DBS checks.
• to ensure the charity has appropriate procedures to comply with current legislation and good practice, including employment, health and safety, equity, diversity and inclusion, safeguarding and GDPR compliance/data protection
• to prepare for and regularly attend and participate in board and subcommittee meetings and any trustee away days.

We are looking for people who want to help their local community and work towards the eradication of food poverty whilst supporting the food bank to continue to provide emergency food to people who find themselves in crisis. Our ideal candidates would demonstrate:

• a knowledge of and commitment to the work of the North Solihull Foodbank.

• previous experience or an ability in: administrative procedures; writing clearly; providing clear advice on procedural and relevant legislative matters.

Brain tumours do not discriminate and they do not respect boundaries. They can strike anyone, at any age. And they strike quickly.
The Support Team at The Brain Tumour Charity are aiming to address the clear gap in emotional support available to those affected by a brain tumour diagnosis, by expanding their counselling service. Following the delivery of a successful pilot service, we know the difference that talking therapy can make and our goal is to reach more people, ensuring everyone that wants it, gets the support that they need.

How can you help?
As a Counselling Assessment Volunteer for this service, you will be the first point of call for new clients entering in to the service. This role will require you to talk to a wide range of people - from those newly diagnosed, to others at end of life and also bereaved. As a Counselling Assessment Volunteer, you will be required to:
- Carry out pre-booked counselling assessments with clients who have self-referred themselves into the counselling service
- Gather information through the assessment about the client’s circumstances, explore their needs, explain how the service can help and discuss with them whether the counselling service is suitable
- Confidently follow our safeguarding process, to ensure risk is assessed and appropriate steps are taken to safeguard each client’s well-being
- Observe confidentiality in line with our organisational policy
- Keep accurate and appropriate records on our internal database

We’re looking for...
Someone who is empathetic and supportive in nature, and who is excited by the opportunity to bring this counselling service to the wider brain tumour community. You will also need:
- Experience in providing emotional support to others, perhaps through another role focusing on bereavement, mental health or life limiting illnesses
- Ideally have had previous training in counselling, mental health first aid, or other relevant course
- Ability to work autonomously
- Relevant IT skills in order to maintain appropriate and accurate records on our counselling database
- As this is a home-based role, you will need access to a telephone and computer that you are happy to use for this service

Practical considerations
You will receive a full induction to The Brain Tumour Charity and any specific train-ing for the role, as well as ongoing direction from one of the team, who will be your key contact. We carry out references for all individuals who will be volunteering with us on a regular basis. Volunteers will be required to complete some internal training, data protection and disclosure documentation before commencing the role. Volunteers must be over 18. We may close applications early if we recieve a high number of applications for this role.

What can you expect to be doing?

As a flexible role, you have the choice to be involved in the following:

• face-to-face fundraising – organising or helping with fundraising events, attending supermarket collections and monitoring collection boxes.
• online fundraising – assisting with online appeals, increasing social media engagement to maximise funds raised.
• bringing new ideas! We always love to come up with new ideas to raise funds for cats and we’d love to help bring yours to life.
• engaging with your local branch and Fundraising Hub and feeling like an integral part of the team.

At Cats Protection we believe our volunteers should be happy and confident in their roles. We provide support and guidance from our National Cat Centre and through our regional and local volunteer groups and teams. We offer engaging online and face-to-face training, expenses and have policies and processes to help volunteers get the most out of their time with us.

As a charity we can help thousands of cats each year thanks to the generous donations from our supporters. Raising funds is a key role in our charity, helping to raise the vital funds needed to help more cats and kittens in need.
