Job description

Job Title: IT, Systems and Compliance Manager

Department: Operations

Line Manager: Head of Operations

Location: London, UK (temporarily remote) 

Hours of work: 1.0 FTE (equivalent 37.5 hours per week) 

Salary: £28,177 - £35,988 (FTE per year) depending on experience + £3,480 London allowance. We are a flexible and supportive employer. You’ll receive a generous holiday allowance, we will contribute to your pension and give all employees paid sick leave and personal days.

An exciting opportunity for an experienced IT, Systems and Compliance Manager to apply their generalist skills to a new role in a growing and changing charity which puts inclusion and diversity at the centre of its work. You will ensure colleagues, and programme participants, have a consistent, friendly and swift IT experience by undertaking all administration in an organised fashion whilst working closely with the Head of Operations, trustees and the programme teams to develop and implement IT, systems, security and compliance strategies. In return you will receive autonomy in your work and a generous learning and development budget to support your personal professional development. 

Campaign Bootcamp is a charity dedicated to ensuring that people most impacted by injustice are leading campaigns that affect their lives, from better housing to fairer treatment of migrants and LGBTQ+ rights. Our mission is to support people to run effective campaigns that challenge injustice. We do this by running campaign training programmes that help people develop the skills, confidence and community to change things that matter to them. In our training, we prioritise people from communities directly impacted by injustice.

Purpose

  • Provide IT and systems support to all staff members and programmes

  • Manage IT, systems and security projects, continually making improvements to ensure our infrastructure is inclusive, user friendly and driving efficiency

  • Manage the organisations’ compliance in relation to IT, security, privacy and data protection

Job Responsibilities

Provide IT and systems support to all staff members and programmes

  • Manage the organisations’ systems and security measures. 

  • Manage issues raised by staff related to devices, the website and hardware.

  • Manage the organisation's digital filing structure and maintenance.

  • Oversee the procurement, management and renewal of IT equipment.

  • Build and maintain relationships with colleagues across the organisation in your role as a trusted advisor.

  • Conduct IT and system inductions for new starters.

  • Plan, manage and deliver training to colleagues as and when required.

Manage IT, systems and security projects, continually making improvements to ensure our infrastructure is inclusive, user friendly and driving efficiency

  • To own our business continuity planning for IT systems.

  • Project manage new system and infrastructure projects as designated by the Head of Operations, to agreed time, quality and cost. 

  • Champion the upkeep of our Salesforce database systems, supporting staff members to update the relevant fields.

  • Identify and implement time saving processes to reduce the administration burden on colleagues across the organisation.

  • Manage the continued roll-out and improvement of cloud-provided IT solutions, including, but not limited to Salesforce, Android, Zoom, Slack and G-Suite.

  • To coordinate, manage and control all stages of a project using appropriate project management techniques.

  • Develop and implement necessary testing for projects and operational changes to ensure a smooth transition from project to operations.

  • Consult with and manage project stakeholders which may include internal and external resources, driving motivation, collaboration and delivery.

  • Support the HR and Diversity and Inclusion Manager - and training Programme Managers - to ensure the technical access needs of employees and training participants are met. 

  • Centre inclusion and accessibility in your work. 

Manage the organisations’ compliance in relation to IT, security, privacy and data protection

  • Oversee all IT, system and security suppliers and collaborate with them to maintain and continuously develop the right capabilities.

  • Manage the IT, systems and security budget.

  • Ensure IT provision is compliant with all relevant standards and requirements including those surrounding data protection.

  • Ensure key external communication platforms are supported, secure and well-maintained and integrated with supporting platforms as required.

  • Manage and resolve risks & issues, through continual analysis, prioritisation and mitigation via the organisational risk register.

  • Maintain a safe, user friendly and accessible remote working environment for colleagues.

  • At all times adhere to relevant legislation relating to employment law, data protection etc.

  • To comply with all charity policies, procedures and governing documents.

  • To be responsible for all Health and Safety requirements related to the role.

  • To work within charity Mission, Vision and Values at all times.

  • Undertake project work as required.

  • Any task as instructed by your line manager or the Leadership team that is commensurate with the person specification and Band of the post. 

Person Specification

Experience 

  • Extensive experience in computer hardware, software, and networking.

  • Relevant qualifications in computer science, computer programming, computer engineering, information technology or management or able to demonstrate equivalent qualification through experience. 

  • Experience working with individuals with varying degrees of computer and system literacy in a patient and inclusive manner. 

Skills

  • Able to communicate clearly and appropriately and build relationships with people at all levels.

  • Detail oriented and exceptionally well organised.

  • Able to prioritise a varied workload and deliver to deadline.

  • Project management skills.

  • An active listener, able to hold space for others to share their perspectives and elicit insight to inform your work.

  • Ability and aptitude to complete all administrative tasks relating to IT, systems and data compliance and find efficient ways to automate such work.

  • Confident in using and administering web tools such as Google Workspace, ClickUp, Salesforce, Slack and BambooHR.

  • Negotiation skills for working with external partners.
