Project Administrator

We are looking for an experienced Administrator to join the team.

Position: Project Administrator

Location: Huddersfield/ Hybrid

Hours: Part Time – 22 hours per week

Salary: £24,242.40 pro rata

Contract: Temporary until August 2027

The Role

You will be responsible for organising the logistics and administration of delivering projects and contracts  within the project delivery team.  This includes supporting customers on their journey through the Champions programmes, progress logging, financial administration and post-delivery evaluations.

Key duties include:

• Collate, update and maintain data and records
• Provide administrative support for the monitoring of organisational and contractual targets.
• Maintain and manage emails and outlook calendar
• Support the wider team with the co-ordination of the project
• Handle and answer incoming calls and emails about projects and contracts
• Maintaining regular contact with programme settings to ensure ongoing support and progression.
• Support the department in conducting post-delivery evaluations and assessing impact of delivery, reporting feedback to line manager.
• Work with Programme Early Years Advisors to update contact logs and records.

About You

You will have previous experience of general administration in a service / customer focussed environment with experience of team working, data collation, input, recording and processing. You will be comfortable using video conferencing technology and systems for processing payments and ideally have experience of customer care.

About the Role

As a Recruitment Manager, you’ll drive our process for finding and selecting the founders of the new organizations we launch. This is a highly impactful role, for two key reasons:

1. The number of organizations we launch is currently limited by the number of exceptional founders we can find. Your ability to find and select an additional outstanding founder will likely result in an additional incredible organisation launching. For every Lucia Coulter & Jack Rafferty we find, we can launch another organisation like LEEP, preventing more than 44 million children suffering lead poisoning.

2. The biggest predictor of charity success we have is the strength of the co-founding team. If you can refine our recruitment process to reliably attract and select higher-potential founders, the organizations we launch will help more humans and animals at scale.

Our Recruitment team operates across two distinct, though overlapping, areas of work:

• Outreach - attracting high-potential entrepreneurs to apply

• Vetting - selecting the very best founders out of the applicant pool

We operate as a tight-knit team of four who work flexibly across the two domains. We anticipate a new hire doing both Outreach and Vetting work, with some possibility to specialise more in one direction or the other based on experience and preference. 

At AIM, we prize the ability of staff to work with speed, autonomy, and flexibility. We don’t expect you to have prior experience in recruitment. We do expect you to be a fast learner and excited about taking on whatever work is most essential on a given day. 

More concretely, you’ll split your time between the following:

• Outreach: Designing and executing campaigns to reach promising applicants; writing newsletters, social media posts, and outreach copy; attending conferences and events; and working closely with our communications team to build partnerships and grow our applicant pipeline.

• Vetting: Running multi-stage application processes, reviewing written applications and test tasks, conducting interviews, and refining our selection methods.

The role could be more junior or more senior, depending on the successful candidate: A more experienced hire will take more of a lead on designing the strategy they will execute, while a more junior hire will focus more on contributing to and learning strategic planning for the tasks they will execute at first.
 

Specific Responsibilities

(The exact % split may change based on updates to AIM’s strategy and the number of programs we are running.)

Executing Marketing & Communications Activities [40%]

• Designing and implementing multi-channel marketing campaigns across digital, traditional, and in-person channels (such as our website, newsletter, LinkedIn, job boards, and conferences)

• Identifying and persuading top talent to apply for our programs through one-to-one engagement, such as through LinkedIn, email, and online calls 

• Soliciting and collating referrals for potential top applicants to our programs, especially from members of our community and affiliated organisations

• Writing blog posts, newsletters, articles, and other copy in a clear, accurate, and convincing tone

• Attending conferences and other professional events to represent AIM, conducting talks, workshops, and 1-on-1 meetings

Executing our Candidate Selection Process [40%]

• Evaluating hundreds of application forms and test tasks to figure out which are the most promising, using a wide range of formal and informal indicators, heuristics, and other information

• Conducting and grading candidate interviews to help identify and select the most promising candidates to join our programs

• Project management for each application round to ensure each candidate receives accurate and timely information on decisions, next steps, and other details of the application process

• Automating aspects of the process to increase scalability and reduce staff time

Evaluation and Systems Improvement [20%]

• Collating and refining data on the cost-effectiveness of different communication methods for finding high-quality applicants to our programs

• Analyzing historical data to pull out findings to improve our selection rubrics for future rounds

• Testing potential new communication avenues, such as digital advertising or pitching articles to major publications

Director, Supply Chain | C. £110,000 + Benefits | Permanent | London | Hybrid

For one of the UK's leading Housing Associations, we're recruiting their Supply Chain Director. Reporting to the CFO, this is a key leadership role leading the strategic transformation of Supply Chain management across the organisation. The Supply Chain Director will lead a central team of 4, whilst working strategically with the wider Heads of Procurement and Commercial teams to set the Supply Chain strategy, and develop, embed, and continuously improve the Supply Chain framework across 4000 suppliers and £1.5Bn spend.

Main Duties:

• Leading and setting the strategic plan for Supply Chain, operating within a 'hub and spoke' model
• Lead the development of a robust category management approach (which will be delivered by 'spokes') to streamline vendor relationships and reduce risk
• Develop Group-wide Supply Chain framework (end-to-end), ensuring alignment to corporate strategy, legislation and category management
• Ensure Supply Chain framework is embedded, and subject to continuous improvement

We are seeking a strategic, technically skilled, and forward-thinking Head of Financial Operations & Control to lead and enhance our finance function.

Reporting to the Director of Finance, the Head of Financial Operations & Control is a pivotal senior leadership role, responsible for ensuring the accuracy, completeness, and compliance of all financial records across The Courtauld and its subsidiaries. You will oversee core financial operations, reporting, tax and treasury management, investment support, regulatory compliance, and risk management, playing a key role in safeguarding the financial stability and integrity of the institution.

Key Responsibilities Include:

· Lead the finance function, including financial accounting, control, compliance

· Manage all aspects of financial operations such as accounts payable/receivable, payroll, treasury, fixed assets, and tax

· Ensure accurate accounting and tax services to the group and its subsidiaries

· Lead the production of high-quality statutory financial statements, management reporting, and lead the annual audit

· Develop and maintain internal control policies, systems, and procedures to facilitate timely and accurate financial transactions and reporting

· Maintain the integrity and completeness of financial data held in the ERP system, including the chart of accounts and resolution of data quality issues

· Support investment strategy, manage treasury, endowment accounting and liquidity planning

· Drive continuous improvement in financial processes and controls and contribute to strategic financial planning

· Ensure compliance with regulatory and statutory obligations (including HMRC, VAT, Gift Aid and tax implications for fundraising activities)

· Build effective relationships across the institution and externally, including auditors, investment managers, and regulators

· Deputise for the Director of Finance when required

In order to be successful in the role we're looking for;

· A qualified accountant (CCAB or equivalent)

· Significant experience in managing financial control and operations including VAT, Tax relief, treasury in a charitable/education/not-for-profit organisation of similar size and complexity

· Able to self-sufficiently lead a smooth, accurate and timely year end process

· Strong technical expertise in accounting standards, able to ensure correct accounting treatment of restricted, unrestricted and endowment income

· A proven track record of leading finance teams and driving process improvements, thriving to develop a best-in-class finance function

· Strong stakeholder engagement and the ability to influence at a senior level

· Experience in investment and endowment accounting is strongly desirable

Job Summary

The Senior IDVA will work within a dynamic, fast paced, crisis intervention, advocacy and support service to ensure the voice of survivors informs every stage of the process. The role will combine overseeing the provision of the Duty IDVA service, along with managing a reduced caseload.

You will ensure that the Duty service runs effectively, maintaining referral pathways, ensuring that documents and procedures are in place and embedded into working practice supporting those covering duty as required.

You will line manage the Duty Workers and will manage the allocation of cases from duty, liaising with Managers. You will assist the Manager with data collection, data analysis and problem solving.

You will also contribute to duty work, conducting calls and initial assessments and responding to crises, working within the team to make proactive contact and provide high quality advocacy and support based upon a client led needs and risk assessment to women referred to our service.

You will have an excellent understanding of domestic violence and its effects on women and children and of best practice within the domestic abuse sector and in working with women with children. The post holder will be proficient in data collection and case work recording. As an experienced domestic violence advocate who has worked with complex and multiple needs, you will be skilled in risk management and safety planning, remaining calm in a crisis and in handling sensitive information on a daily basis. Experience of direct work with female survivors of domestic violence and of working within safeguarding procedures is essential for this post, as is the need to adopt and promote a strong partnership approach to service provision.

Finance and Operations Manager

RESPONSIBLE FOR

Overseeing Operations at every level of the organisation, with line management responsibility for some of the team, Project and Workstream Coordinators (approximately 5 direct reports) plus some external consultants and contractors.

SALARY & HOURS OF WORK

Part Time – 4 days a week (30 hours)

Salary: Gross £40,000 pro rata £32,000

LOCATION OF THE POST HOLDER 

The post holder will be predominantly remote working but will be required to attend the head office and drop-in in Manchester, drop-in spaces in Glasgow and London, and support staff members nationally. The post involves some travel throughout the UK and some work outside of office hours.  All equipment required for remote working will be provided and costs for travel will be covered.

ROLE SUMMARY

We are looking for a Finance and Operations Manager to support the CEO in the day-to-day running of our charity. The NUM CEO develops the overall vision of the organisation, while the Operations Manager is responsible to carry out the vision. 

To be successful in this role, you should have experience as a manager in a position of public trust, have excellent financial, organisational, and communications skills, as well as being a problem-solver with work experience in high-pressure work environments. The Finance and Operations Manager must be versatile in their understanding of the larger vision and as well as the fine details and tactics needed to achieve NUM's goals.

The successful candidate will work in an agile manner to ensure the charity continues to be proactive and innovative, while also being responsive to the changing landscape within the sector and the international sex worker rights and safety movement. As part of supporting the operations of NUM, the successful candidate will provide resources, information and support to NUM Managers and Coordinators across diverse projects, workstreams and teams, to achieve aspects of the organisation’s mandate of 'ending all forms of violence against sex workers' and eliminating the conditions that lead to poverty and survival sex work.

QUALIFICATIONS AND EXPERIENCE 

• At least 3 years' work experience as a Manager, Project or Programme Manager or similar role that requires oversight of a whole system, business, operation or organisation Experience leading remote or hybrid teams is desired. This includes time management skills, with the ability to prioritise tasks, lead team meetings and support members to manage resources, timelines and project budgets, etc. 

• At least two years’ experience in grant writing and fund development, as well as in financial management, with a demonstrated ability to co-develop budgets, cashflow forecasts and financial reporting as well as oversee banking activities and work with accountants and Trustees to ensure NUM’s financial health.

• Knowledge of the charity sector, the day-to-day running of a charity, business or similar organisation, and familiarity with the work of National Ugly Mugs and other sex worker-serving and sex worker-led organisations.

• Excellent leadership and delegation skills and experience. 

• Ability to support and execute on elements of NUM's policies and strategic plan. 

• Experience and training in Safeguarding and the ability to integrate appropriate safeguarding into all aspects of NUM services.

• Exemplary critical thinking and problem-solving skills and experience.

• Excellent IT skills and familiarity with CRM systems, applications and digital platforms and services, particularly Google Workplace, QuickBooks, the Microsoft Office Suite, as well as Slack, Trello, and other project management programs and tools.

• Experience in Human Resource Management and monitoring performance across diverse teams. 

• Exceptional verbal and written communications skills, with the ability to engage in knowledge translation within NUM and with external partners, funders and other stakeholders. 

• A demonstrated ability to be discrete and confidential as part of working on sensitive issues within a diverse staff team, and to be tactful and strategic in challenging social and political climates.

Operations & Office Manager

We’re looking for an Operations & Office Manager to help establish and run the organisation’s administrative, contractual, and operational foundations.

About the role

As Operations & Office Manager, you’ll lead the day-to-day management of the office, oversee administrative systems, and act as the key point of contact for operational matters. You’ll work closely with senior leadership to ensure compliance, effective coordination, and strong relationships with partners, suppliers, and other stakeholders.

You’ll also take responsibility for HR and recruitment support, financial administration, and charity compliance, making sure policies, contracts, and records are maintained to the highest standards.

• Acting as the first point of contact for operational queries and supporting the senior leadership team.

About you

We’re looking for a professional with 4+ years’ experience in operations, administration, or office management. You’ll have a proven track record in managing contracts and suppliers, excellent organisational and communication skills, and strong proficiency with Microsoft 365.

An understanding of HR processes, charity governance, and financial administration would be an advantage. Most importantly, you’ll be proactive, collaborative, and excited by the opportunity to help shape a new and inclusive arts organisation from the ground up.
