Job Purpose

This role plays a key part in the delivery of Operation Smile UK’s retention programme, generating income and retaining existing cash and regular giving donors. The Giving Engagement Officer (Retention) will support the Giving Engagement Manager to implement multi-channel (mail, telemarketing, web and email) donor retention campaigns, ensuring timely delivery, creative accuracy, and effective stakeholder coordination.

You will be responsible for managing campaign schedules, supporting the creative and data processes, and ensuring delivery partners are aligned. Key Responsibilities

Campaign Delivery & Coordination

· Deliver cultivation and retention campaigns, setting up and developing schedules in Asana and coordinating all required stakeholders.

· Manage timelines to ensure all activity is delivered on time and to plan.

· Compile campaign costs and track expenditure against budgets, flagging issues as they arise.

Creative, Data & Fulfilment Management

• Develop campaign briefs for creative, data output, print and fulfilment for review by internal teams and suppliers.
• Manage the creative sign-off process: collate feedback from stakeholders and ensure briefing accuracy to suppliers.
• Proof all campaign materials to maintain brand integrity and accuracy.

Digital & Email Communications

• Support the development of donor emails in line with agreed campaign structures.
• Coordinate the production and scheduling of email content in collaboration with the communications and data and tech team.

Performance Monitoring & Reporting

• Compile campaign results for analysis and provide reports to inform future activity.
• Work closely with data teams to ensure appropriate segmentation and tracking.

Donor Stewardship

• Support the thank-you process, including personalising and developing donor thank-you cards as required.
• Contribute to improving supporter journeys and experiences through campaign touchpoints, especially for regular givers.

Housing and Service Delivery

About the role
In August 2025 we completed the initial phase of implementing the charity’s first CRM system, Beacon. It marks the beginning of an exciting phase of development for the charity that will continue through to the end of 2028 and include other projects to significantly modernise and improve our operations.

A further period of Beacon implementation will follow throughout the 2025-26 academic year. The CRM and Programme Administrator is a new role, created primarily to fill a pressing need for extra admin and office support. However, there is potential for the role to grow alongside the charity’s ongoing digital transformation.

Our CRM system is heavily customised to meet the unique requirements of the Adopt a School programme. Due to the often-complex nature of facilitating relationships between busy schools and hospitality professionals, our system is only lightly automated at present, but this may change in future.

The successful applicant will join a small and friendly team, working closely with our CRM, Learning and Engagement Manager to coordinate the day-to-day delivery of the Adopt a School programme. Other colleagues and key collaborators include:

• the chefs and hospitality professionals who volunteer their time and expertise to deliver sessions in schools
• the schools who participate in our programme
• our fundraisers, supporters, partners and suppliers
• the Royal Academy of Culinary Arts team, with whom we share our London office.

JOB DESCRIPTION

Main duties

To coordinate the Adopt a School programme for active schools, chefs and volunteers. Responsibilities to include:

• Monitoring a shared Outlook inbox, responding to enquiries about the programme and liaising with schools, chefs and volunteers to coordinate sessions.
• Setting up school subscriptions and sessions in the CRM as they’re confirmed.
• Using third party tools (such as Google Forms and SurveyMonkey) to collect registration forms, onboarding information, safeguarding data and evaluation surveys.
• Sharing allergy information and photo permissions with chefs and volunteers.
• Ordering hats, aprons and other classroom resources to be delivered to schools, chefs and volunteers.
• Preparing bookkeeping information for schools that need to be invoiced.
• Processing applications and expressions of interest from new schools and volunteers.
• Maintaining a waiting list of prospective schools and volunteers.
• Responding to routine and ad hoc requests for data, programme insights and reports.
• Maintaining CRM system integrity by performing data cleansing, troubleshooting and bug fixing tasks as required.
• Assisting in continuously reviewing the CRM system, offering ideas to maximise its capabilities and further enhance our systems and processes.

Additional duties

To regularly research and roll out solutions to common operational challenges, in particular ones that relate to data, tools and technology. Examples may include:

• Options for exporting CRM data to third party map and calendar apps.
• Methods for setting up an efficient and scalable assets library.
• Best use of AI tools and technology for supporting our work.

Ad hoc duties:

• Occasional support and attendance at in-person events including volunteer training sessions, industry expos and fundraising dinners.
• Any other duties that may reasonably be required in line with your main responsibilities and the work of the Adopt a School Trust.

The purpose of the role

The Mass Market team’s mission is to inspire the UK public to financially support the IRC to help people impacted by conflict and disaster. The purpose of this role is to support the Director, Mass Markets by implementing the Retention strategy in order to generate long-term sustainable growth, cultivate a loyal and engaged donor base and maximise net revenue.

As Retention Marketing Manager, you will be responsible for annual operational planning and delivery across for the retention programme, including for emergency appeals. You will work closely with the Director, Mass Markets to create and manage significant annual budgets, ensuring return on investment is maximised at all times. Supported by the Retention Marketing Executive, you will oversee all campaign activity, ensuring that it meets the strategic objectives and financial goals of the department.

Key accountabilities

Strategy and planning

• Support the Director, Mass Markets in the development and delivery of the retention strategy and priorities
• Identify, scope and deliver new and innovative opportunities that advance the retention strategy
• Manage retention operational planning, including leading annual, quarterly and monthly planning sessions, defining key deliverables and ensuring all activity supports the aims of the retention strategy
• Manage the monitoring and reporting framework to track performance against strategic objectives
• Identify and brief support requirements with internal and external partners in order to maximise activity and ensure the smooth running of back-office operations
• Build, manage and distribute a detailed marketing plan (refreshed quarterly) in line with strategic priorities and objectives, ensuring activities are co-ordinated, integrated and maximised with other Mass Market UK teams.

Budget management

• Manage segments of the annual budgeting and quarterly reforecasting process, identifying opportunities for savings, additional investment, or budget reallocation
• Focus on maximising return on investment at all times, and make suggestions for contingency action as necessary to achieve budgeted income target
• Lead on tracking and reconciling retention income and expenditure budget lines, providing variance reporting to support the Director, Mass Markets regular financial reporting

Campaign management

• Oversee, plan and deliver multi-channel revenue and engagement campaigns, including emergencies, ensuring all activity is designed to inspire and engage supporters
• Oversee the design and implementation of customer journeys across all segments and products, in order to increase loyalty, average value and product holdings
• Lead the development and management of the mid-level portfolio, including regular communications, donor events, and identification and development of prospects into active donating advocates of the IRC
• Oversee work to ensure it is completed to standard, on time and within budget and act as overflow support during peak times, such as emergencies
• Work closely with equivalent team members in other national markets (i.e. Korea, Germany, Sweden, US) and the Mass Market support team to ensure all activity is coordinated and maximised

Insight, analysis and data management

• Work closely with the Analytics team to identify and manage analytics requirements and to draw actionable insights from performance data
• Oversee and sign off detailed end of campaign reports, ensuring all relevant information is documented and used to inform future activity
• Monitor day-to-day metrics, identifying and acting on performance issues and opportunities

Leadership and management

• Line manage and develop the Retention Marketing Executive(s), ensuring performance objectives are managed throughout the year and opportunities for training, development and progression are identified and prioritised
• Work closely with other team members to increase connection across Mass Markets, with the ultimate aim of developing a seamless progression for new donors and prospects into further cultivation
• Manage day-to-day relationships with external suppliers, ensuring performance is to standard and opportunities to drive value for money from existing and new suppliers are identified, and supporting with the preparation of quarterly business reviews, as required

General

• Keep up to date with the sector developments in individual giving to ensure IRC is at the forefront of fundraising developments
• Maintain an up-to-date knowledge of current legislation, best practice and industry standards and adhere to all relevant regulation including the Fundraising Regulator and ICO.
• Ensure all fundraising and marketing is ethical, effective and supporter centric
• This post may involve some travel, overnight stays and very occasional working outside core office hours, e.g. during an emergency appeal
