About the Role:

What will you be doing?
1. Grants and Finance Support:
· To support the Finance and Grants teams by liaising with suppliers of items for grants, checking invoices and records, issuing purchase orders and placing orders
· Providing first level support with the grants database system.
· Support with invoice entry and payment reconciliation on the grants system.
· Manage the organisation’s petty cash and reconciliation
· Support with processing invoices for payment
· Scanning, filing and logging account documents
· Checking and updating ledger balances using the computerised accounting systems
2. HR Support:
· Support the HR Manager with recruitment and onboarding processes, and other key HR activities, including:
· Assist the teams with recruitment administrative tasks including posting job adverts on relevant job boards; arranging interviews; responding to job applicants; issuing reference requests; filing of recruitment records.
· Provide support with induction process and induction schedules for new joiners.
· Perform data entry and update records and databases for personnel in the HR Information system.
· Update organisation charts and other key documents and handle confidential information professionally.
3. Reception and Enquiries:
· Welcome visitors at Buttle UK and be the first point of contact for phone calls and visitors, signposting callers and enquiries when Buttle UK cannot assist
· Take responsibility for the out-of-hours voicemail facility and respond to all messages on a timely basis.
· Manage company correspondence including phone calls, emails, letters and packages in accordance with Buttle UK procedures, and distribute to relevant staff.
4. General Administration for the Buttle Office
· Organise set up of meeting rooms ahead of key meetings
· Make travel arrangements and hotel bookings for staff where necessary
· Ad-hoc admin tasks as directed by the Senior Management Team
· Track office stationery levels, including printer requirements and equipment for home-based staff, re-ordering, when required, and maintain relationships with stationery suppliers.
· Oversee day-to-day office functions to ensure the office runs smoothly and efficiently.
· Maintain and organise office files, both physical and digital.
· Support the organisation during office events including staff meetings, team building activities and corporate functions.

Key details

Who we’re looking for
We are looking for an experienced, people-oriented project manager who is excited to help us deliver and scale innovative data programmes. You will work directly with organisations from across the third sector to understand their missions and translate their challenges into well-scoped projects. You will also support teams of volunteer data experts to scope projects and deliver impactful data science solutions.
You don't need to write code or run analysis yourself, but you should be comfortable working alongside technical experts, asking the right questions to scope data projects, and translating between technical and non-technical stakeholders. You'll need to hold conversations with data scientists about what's feasible, help charity partners understand what's possible with their data, and know when to bring in additional technical expertise.

Essential skills and experience
- Project management: You are a skilled project manager, successfully leading projects involving multiple stakeholders from conception to completion. You have experience managing multiple projects at once and can successfully prioritise and juggle competing demands. You can plan ahead, allocate resources, identify and mitigate risks, and bring in additional expertise as required.
- Scoping and needs assessment: You have experience collaborating with clients/stakeholders to assess their challenges, translate them into project plans, evaluate their feasibility, and create delivery plans.
- Volunteer and/or people management: Experience recruiting, training, coordinating, or managing volunteers or managing people over whom you do not have direct authority (eg. contractors/freelancers). Comfortable leading multi-skilled teams in a remote-first environment, fostering collaboration within newly established groups.
- Communication: Excellent written and verbal communication skills, and strong active listening skills. You have experience being the main liaison for a project or programme, providing regular updates to both technical and non-technical stakeholders. You’re not afraid to ask clarifying questions in areas that are new to you. You are skilled at distilling the key insights or next steps in project meetings to ensure clarity on the big picture and details.
Desirable
- Experience managing or delivering data-related or social tech projects.

- Familiarity with CRMs and/or project management software.

Working hours and location
This is a full-time role (35 hours per week); however we will consider part-time options (28 or 32 hours per week) for a strong candidate. Working hours are flexible, but we ask that 75% of working time is within the hours of 10am and 6pm, to facilitate team working and real-time collaboration.
The role requires regular out-of-hours commitments - roughly one weekend per quarter and 2-4 evenings per month for volunteer events. This work is part of, rather than additional to, your hours, and you must take time off in lieu for any extra working hours.
Our organisation is remote-first, and this role is hybrid, with access to London office space on Mondays, Thursdays, and Fridays, and quarterly in-person commitments in London. We have a preference for candidates able to work from our office space in London at least one day per week. You will be the first point of contact for anyone needing to access the ‘hyh hub’ and will ensure that all referrals are triaged to identify the most effective pathway for support. The worker will deliver accurate advice and information to young people, parents and professionals, and work undertaken in a coordinated timely manner. You will carry out appropriate assessments, with other agencies where needed, to assess the needs of the family to prevent family breakdown and homelessness.

- To offer realistic advice and options to young people, family members and professionals to prevent family breakdown and homelessness, identifying any other needs within the process.

Typical shifts include 08:00–16:00, 09:00–17:00, or 10:00–18:00, with some variation within these times.
Out of hours working
From time to time, you may be asked to work outside normal business hours, such as in the evening or at the weekend, to support activities like system upgrades or maintenance. This is expected to be infrequent (usually no more than four times a year) and we'll always give you as much notice as possible.
In exceptional situations, such as a major emergency, humanitarian response, cyber attack, or total system failure, you may be asked to temporarily adjust your working hours to help manage the situation.

Waterloo Uncovered is the ground-breaking charity that combines world-class archaeology with veteran wellbeing and recovery. Through a range of innovative programmes, from excavation on the battlefield of Waterloo to discovery of the objects uncovered in our extensive Finds collection, we support meaningful engagement in heritage.
The role
This is a fantastic opportunity for a proactive indivudal who enjoys working collaboratively as part of a small, dynamic and passionate team, alongside an extensive network of volunteers. Working across all aspects of our administration, in support of our operational delivery, communications, fundraising and outreach.
Key responsibilities:

Programme administration, engaging directly in support of beneficiaries for onboarding, logistics and follow up, answering enquiries and general tasks.

Customer service, responding to email and telephone enquiries and correspondence.

CRM and data management, including managing donors, volunteers and a wide range of contacts and suppliers information.

Virtual office support, arranging meetings and team events, providing secretariat to Trustee Board, office contracts, suppliers and administration.

Completing research as requested, compiling and summarising information for drafting applications for grants and trusts, managing fundraising pipeline and tracking, reporting schedules and reports.

Administration of social media accounts, support to drafts of newsletter and impact reports, and other communication initiatives.

Event administration, including bookings, logistics and support to outreach.
Start date: Immediate
Location: We work remotely with 1-2 days in London per month at your own cost
Salary: £24-25,000
Hours of work: 37.5 hrs per week
