The Head of Operations holds responsibility for our day-to-day delivery, strategic development of our services, and operational team leadership. As our new Head of Operations you will:

• sit on the PiP Senior Management Team and lead our team of circa twenty delivery staff. 
• ensure continuous operational improvement, working with SMT to develop our service and systems, through new projects or ways of working, and champion a learner-led approach to everything we do. 
• champion PiP meeting our regulatory and reporting requirements, manage key relationships including with local authorities, and hold budget responsibility across our service.

What You’ll Need

• Significant experience of working with people with learning disabilities, or a similar vulnerable client group, including knowledge of Safeguarding of Vulnerable Adults (SOVA) processes.
• Significant experience of leading and managing a staff team.
• Strong understanding of and commitment to a person-centred approach to working with people with learning disabilities, including planning, progress monitoring and review.
• Experience of liaising with a wide network of agencies and sector professionals in support of student needs.
• Knowledge of national and local legislation and policy affecting people with learning disabilities, including personal budgets. Alongside knowledge of key legislation and processes including on Health & Safety and Risk Skills and abilities 
• Able to communicate effectively, both verbally and in writing, including the ability to maintain accurate records and produce reports for a variety of internal and external audiences.
• Able to take a lead role in the implementation of major tasks, including contributing to the delivery of key performance management targets and making organisational and systems improvements.
• Able to manage and complete projects successfully, including delegating tasks and monitoring and evaluating progress against outcomes.
• Able to establish, develop and maintain constructive and professional relationships with a wide variety of professionals and carers both internally and externally.
• Able to liaise and work closely with student families, carers and other stakeholders in planning, implementing and monitoring support.

About the role

We are seeking a Grants Systems and Business Analyst to join our Foundation, providing subject-area expertise to our grantmaking and wider teams. This exciting role leads on our grants system and processes and ensures we are working in the best way to support our grant-making (approx. £35m of grant spend per year).

You will lead on maintaining, designing and developing grant making systems and processes and their relationship to other parts of the organisation. You will work with colleagues to identify where we could improve our use of existing digital systems or introduce new systems and oversee the introduction of new systems as agreed including the development of a new grant management system. A key element of this role is to help others work in the most efficient and effective way. 

In addition, the role leads on introducing, developing and overseeing the operation of digital systems to support the operation of PHF’s wider business.  The post holder will bring a mix of technical and people skills to lead on continuous improvement, ensuring our systems and workflows fit the needs of the organisation and those we work with, and colleagues are skilled-up to work effectively.  This may involve working on the introduction of new software as required and will include working with our IT support company, software suppliers and colleagues who have specific oversight of some systems.

Our ideal candidate will be an experienced digital systems and data expert who can confidently translate technical language to a non-expert client group in order to improve systems and ways of working. Key Responsibilities and Accountabilities

As Clerk to the Board of Governors

Provide procedural, regulatory, and governance advice to the Board of Governors. Responsibilities include:

• provide administrative support to the governing body, for example: co-ordinating calendar of dates for governing body meetings and preparing agendas, taking notes at meetings for the preparation of minutes and ensuring that all decisions are recorded accurately and objectively, including timescales for actions

• Support the implementation and effective use of New Governance Software and lead the shift to using Generative AI for note taking at meetings. Update and maintain a database of Governance information, ensuring secure handling of confidential data and information in compliance with College Policy and the General Data Protection Regulations.

• support the development and performance of governors in their role, for example: updating them on changes in legislation and policy, informing them of appropriate training and helping them understand their duties

As Governance and Performance Manager

• Work with the Executive Leadership Team and wider leadership team to co-ordinate regular strategy updates and report on progress against strategic goals and agreed KPIs.

• Update and Maintain the College’s Risk Register and Master Policy Schedule.

• Assist with co-ordinating internal audit reviews in accordance with approved internal audit plan.

We are seeking a skilled engagement officer to deliver an innovative programme of community-led river engagement activities in and surrounding the River Roding as part of a project funded by The National Lottery Heritage Fund, ‘The Roding Rises’. This role will engage with groups from the urban and rural reaches of the river Roding catchment to co-design activities that support the delivery of The Roding Rises activity plan and encourage participants along an engagement pathway from awareness to participation and independent action. This role offers the post holder the opportunity to make a difference in diverse areas of London, with varying challenges and a range of ambitions.

The key skill for this role is being able to connect with and bring people together. The project relies on creating strong networks of grassroots organisations, community leaders and representatives from the public and private sectors, including councillors and politicians.

4. In partnership with colleagues, conduct inclusive outreach activities that will engage a wide diversity of people with a range of backgrounds and life experiences, from both rural and urban areas in our core locations.

5. Build a catchment-wide community network, uploading details to Thames21’s CRM system in line with GDPR.

6. Collect and record qualitative and quantitative data on events and activities run, including written and verbal feedback from partners and participants, photos and numbers of attendees, keeping to GDPR requirements. Evaluate this information to develop the methods for engagement and inform future activities.

7. Carry out the administrative duties to run events, including conducting risk assessments and method statements, managing event registrations, liaising with local councils and community groups and maintaining and managing event equipment.  

1. Work with the Thames21 Training Officer to establish a group of volunteers who are trained in Thames21’s modules to maintain and monitor local sites. Includes supporting existing volunteers and assisting with building their capacity so groups become autonomous.
2. Represent Thames21 and The Roding Rises at relevant local forums and proactively recruit volunteers through in-person engagement events.
3. Maintain clear records of progress, ensure all administration and statistical information is kept up to date,
4. Work with Thames21’s Communications Team to promote the project, celebrate its achievements and learnings; ensure key milestones are recognised, funders are acknowledged, and volunteer opportunities are publicised.
5. Attend Thames21 Team Meetings and liaise with other Thames21 staff.

You will use Xero and be responsible for many aspects of operational finance including maintaining accurate records in the organisation’s purchase and sales ledgers; processing accounts payable and receivable; bank and other reconciliations; supporting month, quarter and year-end closes; and resolving ad hoc queries. 

This role is part-time. We are open to negotiating a working pattern that works for the successful candidate and for Global Dialogue.

Reporting Reports to the Head of Finance 

Remuneration This role has been benchmarked at a UK salary of £33,000 (pro rata for a part time position). Job Description

Maintaining purchase ledger: 

• Review staff and consultant expense claims 

• Reconcile monthly credit card and Soldo statements

• Help prepare for bi-monthly pay runs by reviewing bill postings, ensuring they have received appropriate approvals 

• Setting up payments in bank accounts

• Manage the posting and reconciliation of Employee of Record invoices

 Maintaining sales ledger: 

• Post grant income to Salesforce and Xero, following up any missing paperwork and queries

• Manage monthly programme income and reporting reminders 

• Maintain Salesforce to ensure accuracy of data

 Bank: 

• Bank reconciliation for organisation’s GBP, EUR, USD bank accounts, for review by Head of Finance

• Paypal processing and reconciliations

• Support Head of Finance with FX transaction adjustments

 Reconciliations and journals: 

• Support Head of Finance with a variety of monthly and quarterly reconciliations, prepayments and accruals

• Help maintain the fixed asset register and support with monthly depreciation journals

• Help to prepare a variety of other monthly journals 

Finance systems, policy and training development: 

• Work with Head of Finance to keep finance policies and other documentation up to date

• Help draft new policies and guidance notes as required

• Provide Xero training for all new-starters and work with Head of Finance to keep training needs under review

• Act as a sounding board to programmes on finance queries and manage the Finance Team inbox

• Manage staff Soldo requests

Person Specification 

• A recognised accountancy qualification and/or qualified by experience in accounting 

• Able to demonstrate strong experience of Xero accounting software

• Good MS Office skills, especially Excel

• Track record of working to deadlines without close supervision and can ‘hit the ground running’

• Detail orientated

• Strong analytical and numerical skills, including the ability to sense check your own work

• Solid understanding of processes and a commitment to continual process improvement

• Good written and verbal communication skills, including the ability to explain finance to non-financial staff

• Able to manage a varied workload and to work flexibly in a small team

• Good interpersonal skills, supportive of other colleagues and with the ability to build effective working relationships

About You
