Administration Officer – England Central

We are recruiting an Administration Officer to provide an effective and comprehensive range of administrative support to workstreams/projects, which will enable the charity to fulfil its function across Central England to a high-quality standard.

What you will do:

Coordinate training bookings, using the diary system, email and databases to ensure training is organised, allocated and delivered.

Create resource pack for colleagues delivering training courses and workshops.

Help to facilitate training delivery nationally, responding to email and telephone enquiries, ensuring preparation, materials, resources, venues, for all events are in place when required.

Help to plan, contribute to and attend PAPYRUS conferences, workshops and events as required.

Collate evaluations and feedback from training and project work.

Act as a first point of contact, including enquiries which may be complex in nature; assessing the nature and urgency of the correspondence and responding or referring to colleagues as appropriate.

Record all enquiries and contacts using the CRM database and ensure that the database is maintained and accurate at all times.

Assist with managing the office diary, arranging and organising meetings/bookings as required.

Manage stock and resources ensuring that the required items are available.

Administer petty cash as required in line with financial processes.

Respond to orders and other requests for information, from stakeholders, by phone, mail and email, according to policy and keep accurate and up to date records.

Undertake general clerical and administrative tasks to support the service as required (e.g., posting items, photocopying, scanning).

To be successful in this role you will have:

Demonstrable experience in an office administrator role or equivalent

A good working knowledge of Microsoft packages (e.g., Word, Excel, Access, PowerPoint) and hands on IT experience of database packages including electronic filing systems and online platforms.

Ability to work effectively with internal and external stakeholders.

Ability to resolve issues and identify solutions, seeking support and guidance where required

Salary: £23,114 per annum (NALC Scale SCP 4) progressing by increments to £23,893 per annum (NALC Scale SCP 6)

We are seeking an enthusiastic and proactive Development and Outreach Officer to play a key role in mobilising resources, expanding the network, and raising awareness about child marriage globally. The Finance Officer is responsible for working within the core Wheels for All team to provide finance team support to the wider programme delivery and national staff team. By working with colleagues to maintain financial systems, accurate record keeping and undertake financial administration they will provide the support required to implement and improve the processes needed to maintain the accurate financial management systems which are crucial to supporting the charity’s mission. This role would suit someone with at least 2 years’ experience in a charity finance role, who has experience or knowledge of all the core accounts department processes and some understanding of different charity income streams. You might be studying for an accounting qualification (e.g. AAT or ACCA) or be qualified by experience. A training package may be available for an applicable accounting qualification.

The Programme Officer role will report to the Programme Manager and sit within the Programmes Team.

The events programme of the Institute is essential to our public profile. Rooted in the work programmes that the research team are working on, events are opportunities for us to discuss the themes of our work with other experts and senior decision-makers, and to communicate our messages to the media and wider public. All our events, whether in-person, hybrid or entirely online, are produced to a very high standard and often include high-profile speakers and audiences. Our Events Officers work with colleagues across the Institute to deliver our range of public events, roundtables, workshops and conferences.

As part of the events team, within the wider communications team and reporting to the Head of Events, you will:

• Support the design and co-ordination of the Institute’s programme of public and private events, including panel discussions, conferences, receptions, workshops and roundtables.
• Manage all logistics and marketing for timely, professional event organisation and delivery.
• Help prepare for and deliver Institute events outside of London, including our party conference programme.
• Share management of the busy events email inbox and deal with internal and external event enquiries.

Arts Emergency is looking for an enthusiastic person to join its dynamic Fundraising & Marketing team. 

This rewarding role involves focusing on communicating with and nurturing a large network of donors. The ideal candidate will have experience working in a fundraising environment and a good grasp of general fundraising principles and best practices in fundraising.

The salary is £30.5k pro rata. It is a part-time (21 hours per week), permanent role. The role can be home or office-based (London or Manchester), or hybrid.

• A good grasp of general fundraising principles and best practice in fundraising from a variety of audiences (e.g. Individuals, Communities, Major Donors, Corporates)
• A good understanding of diversity and access issues within the cultural industries or state/higher education

RESPONSIBILITIES

• Provide first-line support for all fundraising enquiries and ensure they are followed up appropriately and in a timely manner
• Ensure the fundraising database and Gift Aid declarations are up to date
• Support the Head of Fundraising in preparing income reports
• Send thank you emails and post packs to donors at all levels, and keep the website up to date with donor recognition
• Coordinate donor relationships and user experiences within Arts Emergency for regular and one-off donors and for community fundraisers
• Conduct detailed, ongoing research into new funding opportunities and prospective supporters
• Support the Finance team with income administration
• With the wider team, design a schedule of innovative donor events and coordinate preparation
• Contribute to donor communications on social media
• Undertake any task that may be requested from time to time that may be consistent with the scope of this post

Job Purpose

Money Minded is a new service designed to support adults (18 years and over) in Ealing, Hammersmith & Fulham, Hounslow. This role offers an exciting opportunity to collaborate closely with the West London NHS Mental Health Teams, operating within the tri-borough area.

The service provides support with welfare benefits, accessing debt support, housing and well-being. The role of the Mental Health Information and Advice Officer will be to provide advice, guidance and customer representation to tri-borough residents living with Mental Health difficulties. Advice issues may include housing, welfare benefits, council tax, accessing debt support, signposting etc.

The successful candidate will deliver support to enquirers and manage a caseload of individuals, as agreed with the Service Manager. In addition to advice casework, the Mental Health Information and Advice Officer will also be expected to assist onboarding referrals to the service, as and when needed.

The successful candidate will work closely with the West London NHS Mental Health teams and project volunteers, ensuring adherence to the Advice Quality Standard framework (AQS) and Mind's policies and procedures.

Due to the nature of the work, if successful, you will need to have an up-to-date DBS check completed, prior to undertaking unsupervised client work.

Place of Work

The Mental Health Information and Advice Officer will be required to work within the West London NHS Mental Health team offices.

Key Responsibilities

• Deliver support to enquirers and manage a caseload of individuals as agreed with the service manager
• Deliver monthly wellbeing peer support groups/workshops
• Provide advice and information relating to all welfare benefits, including assisting clients with form filling and contacting agencies such as the Department for Work & Pensions on their behalf
• Provide housing advice
• Link in with specialist debt and money support agencies

• Signpost to other relevant services in the boroughs, or further afield

Person Specification

Knowledge & Experience

• Substantial experience of delivering advice in a similar position, preferably to individuals with Mental Health needs
• Knowledge and understanding of Mental Health problems and how they are impacted by social issues
• Experience of delivering advice, information and customer representation
• Experience of managing complex cases
• Experience of working with multiple agencies
• Experience of delivering desired outcomes in a timely manner  
• Up to date knowledge and experience of safeguarding adults
• Understanding of the importance of monitoring and evaluation, and the ability to keep records
