How you will make a difference

We are looking for an experienced Philanthropy and Trust and Foundations fundraiser to join our passionate team. This exciting maternity cover role will oversee Trusts & Grants, Philanthropy and Prospect Research during a pivotal time of growth, ensuring each area continues to develop, scale and innovate to achieve lasting results in support of our ambitious 5-year fundraising strategy. 

The successful post-holder will be a proactive charity professional who can effectively nurture the Trusts & Grants team, supporting them to reach in-year and future targets and facilitating the continued growth of this area. The Director of Finance & Governance is a key member of Helen Bamber Foundation’s Management Team and plays a pivotal role in designing and delivering the organisation’s strategy and approach. The role will lead the finance infrastructure of the organisation and prioritise enabling the organisation’s growth.  You will work in close collaboration with the CEO and other members of the Mangement Team to develop the capacity, capability and impetus of the organisation in achieving impact at scale through direct delivery, partnerships and systems change for survivors of torture and trafficking across the UK and globally.

Your priorities will include providing strategic leadership in developing and managing finance and leading on several governance systems and functions, as well as directly leading on specific strategic projects. You will contribute to the development and implementation of a strategy to secure the organisation’s  long-term financial health and growth, enabling us to deliver our vision and mission. Together with your Management Team colleagues, you will create an environment, culture, policies, processes and practices which ensure the Helen Bamber Foundation Group is an exemplary place to work.

MAIN DUTIES AND RESPONSIBILITIES 

Strategic leadership and management

Reporting to the CEO, and working closely with the Management Team and the Board, the Director of Finance & Governance will have responsibilities to:

• Work collaboratively with Management Team colleagues to provide operational leadership and development for the whole organisation, building our capacity and capability to deliver our strategy. 
• Work with the CEO to develop robust governance systems and infrastructure that will strengthen accountability, and support growth and deliver impact.
• Lead, manage and develop the Finance Team supported by the Senior Finance Manager.

• Conduct strategic financial planning to support the decision making of the Management team, Board sub-committees and the Board, and report to the Board as appropriate working with the Executive Team Assistant in this regard.

• Oversee and regularly review and update the organisational risk register, including financial and governance risks..
• Act as strategic lead on processes, systems development and internal controls.

Finance oversight and leadership

• Oversee all aspects of finance to enable effective day-to-day running of the Helen Bamber Foundation group and to support the continuous improvement of employee experience.
• Finalise annual financial statements/periodic financial reports (where required), and provide them to the CEO, Board and Board subcommittees for consideration and approval.
• Lead on the Helen Bamber Foundation Group audit process, working with the external auditors.
• Ensuring all statutory and non-statutory reporting requirements are met.
• Lead on budgeting and reforecasting across the organisation, supporting and challenging other teams to predict income and expenditure and make sound financial decisions, presenting to the Board and Board subcommittees.
• Support organisational planning by developing the systems to enable teams to model potential future work - e.g. costs of expansion of an existing programme or modelling potential new programmes and projects.
• Oversee the production of management accounting information, including internal monthly management accounts, quarterly reports for the Board, and financial reports for funders. Develop, maintain and monitor the financial systems of the organisation to ensure the accurate & timely production of these reports.
• Ensure compliance with agreements and contracts in relation to banks and external service providers.
• Monitor and report on the overall funding status, and ensure the timely reporting on grants is well supported.

• Support the preparation of applications for fundraising. Conduct financial analysis and review of existing and proposed strategic programmes, projects, and campaigns, contributing to decision making in this area.

• Oversee staff payroll, handling of petty cash and banking of donations, management of activity fees and credit control process.

Governance

• Work with the CEO and Executive Team Assistant to ensure that governance arrangements are fit-for-purpose, compliant and embody the spirit of partnership which defines the Helen Bamber Foundation Group.
• Support the Board and Board sub-committees, producing papers, and monitoring actions.
• Manage the organisational risk register including updating and monitoring of actions and Board discussions.
• Work with the Board to continue the development of outstanding governance policies and practices.
• Work with the CEO to develop and evolve the induction and training schedules for Trustees.
• Act in the capacity of Company Secretary.

Additional duties

• Act at all times as an ambassador for the Helen Bamber Foundation Group representing us at internal and external events.

PERSON SPECIFICATION

 Experience

• A relevant professional qualification in accountancy (CIMA, ACA, ACCA, CIPFA) or substantial relevant finance experience.
• Track record of achievement in a senior strategic-level financial management role.
• Demonstrable financial leadership and a thorough understanding of best practices in setting and managing budgets and oversight of day-to-day financial management.

Our operations team is led by the Chief Operations Officer (COO) and includes the finance and bookings & venue teams. This is a newly created role that will report directly to the COO and work closely with the wider operations team.

Scope of role

The Senior IT & Operations Officer is responsible for leading the central coordination of IT operations, managing key relationships with two main contractors (IT and estate management), and ensuring seamless integration of IT infrastructure and estate management services. This role involves overseeing the effective and efficient functioning of both IT systems and estate operations for Toynbee Hall and Toynbee Trading, while prioritising the safety of staff and stakeholders on-site. The officer will proactively identify opportunities for improvement, resolve issues, and maintain a collaborative working environment to support business continuity, operational efficiency, and safety standards across all operational areas. Additionally, they will support the procurement of IT and estate-related items, such as IT kit, ensuring timely and cost-effective sourcing of required resources.

Responsibilities and Accountabilities

Information Technology & Systems

• Support the COO and wider SMT with all IT related strategy including procurement and streamline of new IT service provider/s. Including setting up KPIs’ and using these to assess performance.
• Manage the setup of new staff – including the procurement of equipment required for the role – this includes all communication tools.
• Managing the relationship and being the key point of contact with the technology suppliers and technology support providers.
• Identifying cost savings/efficiencies in the tech stack.
• Supporting IT KIT refresh plans and purchase, this includes audit of needs and vendor negotiations and lifecycle planning with the COO.
• Leading on regular assessment of IT and systems needs for all services and administrative staff.

Facilities, Health and Safety & General Administration

• Act as the main point of contact with our property management company. Work with the COO to escalate issues.
• Book in contractors and maintain all required documentation in conjunction with other key stake holders (property manager/agent).
• Be the escalation point for maintenance issues, liaising with the property management company to make sure that issues are dealt with in a satisfactory manner.
• Work with H&S consultants and property managers to ensure all relevant training is planned for and carried out and Risk assessments are being completed and used.
• Work with HR to ensure that all relevant training is planned for and carried out.
• Maintain records for all mandatory tests in conjunction with our property agents.
• Liaise with the Events and Venue Manager to ensure building management is always in place, keyholding, security etc.

Projects

• Manage ad hoc projects on behalf of the operations team; such as refurbishments, implementation of printer management.

General

• Building good working relationships across the organisation
• Representing Toynbee Hall to external audiences
• Developing an open and ‘critical friend’ dialogue within our programmatic work
• Undertaking any other appropriate responsibilities that may arise such as top up of franking machines, and general administrative orders as needed.

Essential Criteria:

• Project management experience.

• High level expertise to use the Microsoft Office suite particularly Teams, Sharepoint, Excel and Outlook.
• A strong communicator with the ability to form trusting and supportive relationships quickly, internally and externally.
• Able to work proactively, independently and within a team.
• Able to work collaboratively with the wider teams at Toynbee Hall.
• Good negotiation skills.
• Basic level understanding of H&S, GDPR and confidentiality.
• Understand basic budget management and purchasing process.
• IT related qualifications and experience such as cyber security, Microsoft 365 suite skills.
• Good understanding of charity technology needs.

Global Policy and Campaigns Planning and Performance Lead

About the Team:

This role reports directly to the Executive Director of WaterAid’s Global Policy and Campaigns (GPAC) team and is a member of GPAC’s Senior Management Team (SMT). GPAC sets WaterAid’s 10-year policy agenda and positions, supporting colleagues across all levels to advocate on this agenda and bring WaterAid together to advocate for change on a set of global priorities. We also directly influence decision-makers at global and regional levels on these priorities as well as bringing in external political insights into the organisation to increase our collective effectiveness.

About the Role:

As GPAC’s Planning and Performance Lead you will help us understand how the department is contributing towards WaterAid’s global strategy and maximise our global impact. The role will support GPAC’s work by leading the planning and performance assessment work, focussing on ensuring that the advocacy activity delivered across the department is aligned and working towards the same outcomes.

The role will work closely with the Directors in GPAC’s SMT and with members of the International Programmes Department (IPD) SMT to ensure that both departments’ plans are aligned. It will also engage with key Federation members involved in global policy, advocacy and campaigns work, with the WaterAid International Secretariat, and with the Global and UK performance, strategy and planning teams.

In this role, you will lead the design of the planning process for the department to deliver annual plans, ensuring alignment with similar processes in key Federation members and other departments, as well as being integrated with the wider organisation’s planning cycles.

You’ll also: 

• Project manage the implementation of the planning process, working in close coordination with GPAC SMT directors as well as and as relevant with other WaterAid, Member and WaterAid International directors.
• Lead the process to deliver an M&E framework for GPAC (including new metrics as relevant), that balances the effort required with the need to drive data informed decisions and actions.
• Run the quarterly and annual reporting cycle, working with senior leaders in GPAC to deliver high quality data, run learning sessions to reflect on the data to enable data driven and effective decision making.
• Manage the regular collation of data across the department and shared to the wider organisation, including to the Executive and Board reporting processes
• Represent GPAC in wider WaterAid UK and global groups around performance and planning.
• Support GPAC to partner closely with IPD to track Country Programme support requests, and use insights to inform strategic planning of the department.
• Be the internal communications lead for the department on matters related to planning and performance, working with the central internal communications function as appropriate.

Requirements

To be successful, you’ll need: 

• Experience of leading performance and planning cycles within complex organisations.
• Background in M&E within NGO or comparable contexts. Understands the complexity around assessing performance.
• Excellent project management skills to optimise the use of resources; manage multiple projects and conflicting priorities using insightful interpretation and resourceful solutions.
• Ability to think strategically across complex and fast-moving environments; able to concentrate on the big picture and respond to trends and shifts in the wider world.
• Collaborative: able to work with teams from a variety of backgrounds and build credibility and trust with key stakeholders.
• Able to facilitate group discussions to develop and drive forward strategic plans and work.
• Organised, efficient, with a high level of attention to detail.
• Comfortable with working with incomplete data and high levels of ambiguity and uncertainty.

Although not essential, we also prefer you to have:
