I am working exclusively with a respected not-for-profit organisation who are currently in the market for a very proactive and experienced HR Administrator to join their HR team, working on a 6-month fixed-term contract with the view of potentially extending (via a fair and open process). You will be responsible for providing effective and efficient administrative support to the HR team.
You will act as a first point of contact for HR related administrative queries and support the team with a wide variety of HR tasks. This will include recruitment support and candidate liaison, administration support for the learning and development programme, new starter onboarding, HR inbox management as well as arranging meetings, and providing light diary and administration support for the HR Director.
Key Duties
Administration and support
- As a member of the HR team, you will ensure that all administration activities which support the work of the HR team are managed in a proactive and efficient way.
- Support the daily proactive management of the HR inbox, ensuring that appropriate action is taken to respond and forward relevant emails to the HR team with follow-up actions if needed.
- Provide administrative support to the HR Director, which could include room booking, arranging meetings and other ad-hoc requests.
- Maintain and keep up-to-date digital employee files and ensure employment records and documents are compliant, filed and retained according to data management and retention guidelines. Support a longer-term project to move to full digitisation of all HR files.
- Input data into the HR information system and other agreed systems such as address changes, holiday requests etc.
- Maintain structure charts, recruitment spreadsheets and HR activity trackers to ensure they are set up and utilised in the most effective way.
- Support the delivery of HR or L&D projects or events, including room bookings and catering administration
- Responsible for financial administration such as purchase orders, setting up new suppliers and invoice management
- Keep up to date with relevant employment law and understanding of various HR administrative activities
Recruitment Administration
- Support employment and recruitment administration, including liaison with employment agencies, candidates and hiring managers
- Prepare, review and amend letters and documents to support key HR activities, including employee onboarding, probation and induction.
- Conduct new starter HR inductions and support exit arrangements
- Ensure that the relevant HR activity checklists are up-to-date and stored correctly for each activity
- Maintain any trackers that support the HR team activities and be responsible for the consistent use and application of these as sources of accurate HR information.
Systems
- Support the team in the move towards two new HR platforms this year, and any additional administration around these projects.
- Maintain the HRIS system and Applicant Tracking System where appropriate
- Provide administration support for logging, reviewing and editing data requests within the HR Information system as well as new starter and leaver IT requests.

- Excellent administrative experience and evidence of supporting a range of activities to support core business needs
- Understanding of the end-to-end recruitment process, from advertising jobs, arranging interviews, drafting contracts and onboarding.

- Strong interpersonal and communication skills (both oral and written)

The Sanctuary (Crisis Café) is a service for all residents experiencing emotional distress. The café is weekdays during the evening and at weekends in the afternoon. Your primary focus will be on housing and benefit-related support for vulnerable adults aged 16 and over who are referred to the service.
You will support staff in managing their caseloads, conducting regular supervisions, and ensuring effective service delivery.

You will have proven experience of working with people living with mental ill health and complex needs, with the ability to deliver high-quality support in community and outreach settings. You will be skilled at enabling service users to achieve their goals and aspirations, using person-centred support planning, key working, and recovery-focused approaches. With excellent knowledge of the signs, symptoms, and treatments of mental illness, you will be confident in assessing when someone's mental health is deteriorating and taking appropriate action to ensure their safety and wellbeing.
In addition, you will demonstrate a sound understanding of health and safety requirements when working in the community, as well as welfare benefits entitlements relevant to the client group. You will actively promote equality, diversity, dignity, and choice in your work, respecting the rights of every service user. Importantly, you will bring strong safeguarding knowledge and the ability to respond effectively to any concerns, ensuring a safe and supportive service environment.

About the opportunity
The Training Officer will have a range of administrative responsibilities relating to Action Tutoring’s tutor training delivery and curriculum resources.
As Training Officer, you will support the Training Team by scheduling sessions in digital systems, organising and checking ID and DBS documents submitted by volunteer tutors, and responding to enquiries to support a smooth tutor journey. The role does not involve delivering training to volunteers

Maths Champions is an online professional development programme, enabling early years settings to access CPD from their setting without the need to release staff to attend external training. The Role
