About the role

As Virtual Events Manager (Supporter Care) you will lead a dynamic team to deliver exceptional supporter experiences through acquisition campaigns and stewardship journeys of the virtual events programme. Role Purpose

The purpose of the Fundraiser role is primarily to raise funds from UK trusts, foundations and statutory funders and to identify, generate, grow and maintain this vital income stream. Some engagement to support other strands of fundraising will be required.

Job Title: Fundraiser (Grants and Trusts)

Main Duties and Responsibilities

Research and Identification of Funders

• Develop and maintain a comprehensive understanding of our research projects and research funding plans, including in response to requests from Heads of Department and Senior Management Team;
• Research, identify and prioritise potential grants, personal & institutional trusts and statutory funders and funding opportunities, including keeping up to date with new fundraising opportunities in the faith and heritage sectors and in London;
• Undertake research on funders and grant making bodies to assess their potential for funding opportunities;
• Gather information and budgetary information from cathedral colleagues as required by potential funders;
• Develop and write high quality, compelling fundraising proposals and applications which communicate Southwark Cathedral’s funding needs clearly and concisely;
• Work with the Marketing & Communications Manager to develop a compelling case for support documents and other donor materials to attract support for our research projects;
• Develop and maintain a pipeline of applications to trusts & foundations.

Fundraising

• Secure funding from UK trusts, foundations and statutory funding bodies to meet Budgetary targets and support proposed future projects at the Cathedral;
• Support the implementation of a trusts and foundations programme, with a view to increasing funding for flagship projects alongside core unrestricted funding;
• Assist with the organisation of fundraising events as required;
• Ensure approaches to trusts and other donors are streamlined and targeted.

Contact and Liaison

• Manage the Cathedral’s donor records including gift aid declarations, personal information and legacy pledges and other non-financial information provided by donors - adhering to data protection best practice at all times;
• Liaise with the Marketing & Communications Manager to analyse the existing donor communications and suggest improved methods of engagement;
• Liaise with the Marketing & Communications Manager to arrange for the creation and maintenance of pages on the Cathedral website that highlight the fundraising activity and communicate successes achieved;
• Act as the primary point of contact for all existing and potential trust and grants funders, directing enquiries as appropriate;
• Develop a network of strong relationships with existing and prospective grant, trust and statutory funders;
• Organise meetings and events for prospective supporters and provide briefings for colleagues.

Information Management, Monitoring and Evaluation

• Maintain the Cathedral’s fundraising database, ensuring all records are updated and maintained correctly in accordance with the Cathedral’s data protection policy;
• Manage the reporting, recording and administration progress of existing grants, advising relevant members of the team well in advance of reporting deadlines;
• Work with others to develop and implement effective evaluation, monitoring and reporting processes for funders, and ensure reporting requirements are fulfilled and activities remain outcome and impact focused;
• Manage and maintain records and monitor progress of applications and relationships, including working to agreed KPIs;
• Prepare regular progress reports on fundraising and activities for SMT and the Chapter as required;
• Use the Cathedral’s fundraising database to analyse the success rates to support fundraising strategy and individual projects;
• Work with the Finance team to ensure that all funding is quickly and correctly processed and acknowledged and that financial reports are available in the appropriate format;
• Work with the Governance & Committees Manager and Finance Team to support reporting requirements and compliance with the relevant legislation and codes of conduct;
• Work with the COO and Marketing & Communications Manager to create appropriate evaluation and legacy documentation.

Other

• Manage the relevant administration that accompanies this role, including booking meetings and taking minutes as required;
• Play an active role as a member of the Cathedral team, supporting each other as required;
• Be an ambassador for the Cathedral and assist the Fundraising Advisory Panel in developing positive relationships with the Cathedral’s key stakeholders.

Person Specification

Knowledge/Experience

• You will have experience of writing fundraising bids and completing engaging applications;
• You will have knowledge and experience of heritage, community or religious grant-funding sources and how to access them;
• You will have experience of handling applications and administrative procedures for grants;
• You will be proficient in project finances, and budgeting, with skills in persuasion, advocacy, problem-solving, and decision-making;

Terms and Conditions

Working Hours

The working hours shall be 35 hours per week (exclusive of meal breaks). Some out of hours working will be required to support meetings and events and this will be notified in advance. Time off in lieu will be awarded in line with Southwark Cathedral’s policy.

Annual Leave

25 days per annum as well as statutory bank holidays, with an additional 5 days (pro-rata) after 10 years service. 

Probation

The appointment is subject to the satisfactory completion of a six-month probationary period.

Season Ticket Loan

Once the probationary period has been completed satisfactorily, the person appointed will be eligible to take out a season ticket loan.

Pension

The person appointed will be eligible to join a defined contributions pension scheme managed by the Church Workers Pension Fund. The Cathedral will contribute half of the annual premium of 10% of salary.

Working Expenses

Working with over 70 exhibitors, multiple sponsors and external suppliers to ensure a successful event.
• Young Professional Industry Engagement event programme - To plan, organise and deliver the annual three-week programme of CPD visits for a selected group of participants to industry hosts across the UK. Working with participants and over 20 organisations to schedule and deliver the programme.
• Furniture Making T-Level conference – Working with the Chair of the Education and Training Committee and selected members to plan, organise and implement a one-day conference on the practicalities of overing the Furniture T-Level in an educational setting.
• Organise and attend several regional career fairs and trade shows to promote the education and training initiatives and encourage young people to consider a career in furniture and furnishings.
• Plan and organise the content of an Education and Training slot at the annual Furniture Makers’ HR Conference to highlight key events and programmes.
• Ensure that equality, diversity and inclusion is considered in all aspects of Education and Training events.

Grants

• Administer a small annual grants scheme supporting colleges and universities which provide specialist furniture and furnishing education courses.
• Manage a travel bursary scheme to support exhibitors attending the Young Furniture Makers Exhibition.

Website

• Administer the jobs board featured on the My Furniture Career website, screening and approving posted vacancies as well as liaising with those posting jobs to confirm the status of the vacancy, sharing data once the vacancy expires and collecting feedback data from the poster.
• To work with the Digital Officer to agree a schedule of content for the website and its associated social media.
• Work with the Communications Manager and Digital Officer to promote the use of the website by the targeted audience group as well as the HR community to post vacancies to the jobs board.
• Produce a quarterly report detailing the usage and any highlights regarding the website.
• Report any technical issues to the website provider and liaise with them to fix the issue.

Reporting

• Quarterly reporting on activity and budget to the Education and Training Committee.
• Supporting the Committee Chair by setting up Committee meetings and taking minutes.
• Supporting the Committee Chair with any other administration as necessary related to the Committee. 
• Assist with any ad hoc administration as necessary related to the FIESTA Committee.

Miscellaneous

Purpose of job: To work with the Partnerships and Philanthropy/Fundraising, Finance and across all Foundling Museum teams by providing excellent CRM & systems administration. This will support income generation, research, data capture and information security throughout the Museum. Responsibilities include managing and maintaining a CRM database of contacts, digital systems, records management, general administrative duties, HR and IT support.
Working pattern: 35 hours per week, usually worked from 10 – 6pm. Flexible/hybrid working offered for up 40% of hours to be worked from home.

Salary: c£26,000-£28,000pa depending on experience

The Foundling Museum is transforming how digital systems underpin the foundations of this small but mighty Museum and charity. The position of CRM & Systems Administrator sits at the heart of this continued transition, following the successful implementation and migration to Shopify, Xero & Beacon CRM in 2023.
This new role is essential to the success of Philanthropy and Partnerships, Director’s Office and the whole team, in providing effective research and administration support. The CRM & Systems Administrator will provide support across all fundraising areas including individual giving, corporate sponsorship and trusts and foundations as well as playing a vital role in keeping all Museum systems working effectively.
This includes processing donations and gift aid and maintaining records on the CRM. You will work as a key part of the Philanthropy and Partnerships team to help implement the Philanthropy and Partnerships strategy and streamline all CRM and supporter processes.
This is an exciting opportunity for a highly organised individual with a flair for collaborative working and information management who is looking to expand their administration skillset and make a tangible impact on our work, in particular supporter relationship management.
Critical to this role and the ongoing project of managing information, income generation and communications, will be the collection, management and sharing of data within our data and digital eco-systems.

Key objectives in first 6 months:

• Completed the migration of supporter data to Beacon CRM, working closely with the Project Manager: Director’s Office to ensure that data is managed in the most effective way to aid relationship management and income generation going forward
• Planned a phased migration of day-to-day organisational information into SharePoint over 12months to ensure effective working practices across the organisation
• Supported all staff with records management and general administration
• Supported the HR Manager with timely and efficient HR administration including inductions, off-boarding, staff training & events
   

Key responsibilities:
CRM Administration & Finance Processes

• Maintain and regularly update the CRM system by logging all applications made and pending, prospects, funding received, reporting deadlines, reports, thank you letters and all other supporter correspondence
• Process donations, pledges and ticket payments from individuals, organisations and trusts and foundations, ensuring gift acknowledgements on CRM are up-to-date and any information related to gifts, grants and donations received is captured accurately and consistently
• Day-to-day administration of the Museum’s Friends, patrons and corporate sponsorship schemes and 1700 Clubs, as directed by the Philanthropy and Partnerships team
• Support the maintenance of accurate financial records of funded projects
• Support the Finance team with Gift Aid administration as required

Data & Insights

• Assist in data capture and gathering, including statistics or insight to support reporting, business cases, reports and funding bids
• Research trusts, businesses, and individuals with a view to identifying potential supporters and maintaining an up-to-date and accurate records of such contacts, updating the team, CRM and prospect pipelines on changes to information
• Ensure that strict confidentiality and GDPR legislation and guidance is adhered to in all aspects of recording data and sharing information in research profiles
• Work with internal teams to appropriately segment and steward new contacts through the CRM, including making data selections for email marketing campaigns.
• Monitor data quality by regularly creating and executing processes to cleanse and standardise data in the CRM
• Help to ensure income from visitors is maximised via Goodbox, Beacon, on-site signage and communications etc, and, with support from the Visitor Engagement, Commercial & Operations & Communications teams, move every customer on to their next step of supporter journey, evaluating touch points and messaging both onsite and online

Organisational Infrastructure

• Schedule priority internal meetings, including all-staff meetings, diary meetings and training sessions
• Support Project Manager: Director’s Office with Leadership & Governance, including setting up and scheduling of Trustee meetings, ensuring hybrid options are delivered, catering etc
• Arrange staff away-days, outings and celebrations
• Deliver general administrative support to SMT and colleagues as required, including basic IT support and HR admin, as directed by the HR Manager
• Manage the ordering of office items, including stationary and support users with IT inductions, including DSE requirements and checklists
• Work the Project Manager: Director’s Office, and with all departments to understand and map requirements for an integrated digital infrastructure framework
• Work with all departments to ensure that digital assets are stored according to data retention and records management best practice guidelines
• Work with the Director of Commercial & Operations, the IT Working Group and IT Support contract via Cara Networks to support the smooth migration of data currently stored on shared physical drives, to SharePoint and other digital platforms, through a phased transition process
• Facilitate the use, internal awareness and confidence with digital systems, creating and managing logins and taking responsibility for suspending user accounts when staff leave

• To perform any other tasks as reasonably requested by the Directors, Project Manager: Director’s Office and Philanthropy and Partnerships team.

Person specification
Essential:

• Excellent administration and analytical skills
• Excellent interpersonal skills and the ability to communicate effectively in writing, over the phone, and face-to-face with the Museum’s different stakeholders
• Experience working with not-for-profit databases, such as Beacon CRM
• The ability to also work independently and take initiative within a small team and support colleagues, even under pressure
• Proven, excellent organisational skills, with close attention to detail, the ability to multi-task and prioritise responsibilities
• Excellent IT skills including in depth knowledge of CRM, Microsoft 365, SharePoint, and other cloud based digital systems

The Role:

The Partner Engagement Lead is responsible for key account management, and specifically developing and supporting relationships with programme sponsors and partners within the WorldGBC network.

The Partner Engagement Lead will work closely alongside the programme/projects team subject leads, taking responsibility for day to day management of activities that relate to sponsors or stakeholders, including partner relationships, external collaborations and fundraising.

Working cross-functionally within a matrix-style organisation, the Lead will work collaboratively on the engagement pillar of WorldGBC's fundraising team alongside the Partnerships Manager and the Strategic Partnerships Lead. This team coordinates closely with all WorldGBC departments, in particular where sponsors are involved with initial focus on the programme/project partners.

Well-organised and a great communicator, this individual will ensure that key relationships are managed effectively across the organisation, and be detail oriented in their reporting and accounting of opportunities. The Lead should also be willing to represent the organisation in relevant external opportunities relating to the programmes as need arises - including fundraising meetings, external working groups, events or conferences.

The Partner Engagement Lead will report to the Director of Programmes Strategy.

Key responsibilities include but are not limited to:

1. Account Management: Be primary point of contact for new and existing programmatic sponsors and partners, overseeing engagement with the network and accounting with detailed reporting to ensure up-to-date partnership records. Work alongside the programmatic team leads to deliver all agreed benefits to partners, ensuring a uniform balance of benefits and opportunities across sponsors engaging in all areas of the organisation.

2. Fundraising and Budget Management: Work alongside the programme leads to secure funding and manage relevant programme/project budgets (with guidance from the Director of Programmes Strategy), including supporting grant application and reporting responsibilities where necessary.

3. Stakeholder Engagement (members and partners): Engage with stakeholders to ensure that our programmes/projects align with their goals and needs, working with the Director of Programmes Strategy and wider programme team to explore best practice engagement tactics throughout 2024.

4. Subject Matter Expertise: Stay current with the latest trends in sustainable buildings and WorldGBC programme outputs, ensuring the Lead can communicate knowledgeably about WorldGBC strategy and work areas as required.

5. Communications: Support communication for WorldGBC on topics related to sustainable buildings in relevant programmatic areas, representing the team at internal or external events or industry working groups and collaborating with Marketing & Communications on accurate messaging for publications and campaigns.

Digital CRM Migration Specialist

We have an exciting opportunity with a 12-month fixed term contract where we are looking for an experienced digital marketer who is process and data driven. This role is integral to migrating digital systems and processes to a new CRM database, improving them as we optimise new functionality. Responsibilities include:

Leadership, Strategy and Governance

• To be an active member of the Made in Hackney Senior Leadership Team, working together to galvanise the organisation behind our strategic plan.

• To retain current donors and maximise fundraising opportunities, including delivering a programme of appropriate stewardship opportunities with the core team.
• To work with the team to co-design programmes and their evaluation requirements to ensure the organisation meets the grant funders' requirements. 
• To complete reporting to grant funders, including developing report templates, creating reports, case studies, and other administrative requirements. 

Communications

• To input into MIH’S communications strategy and the planning and implementation of improvements to marketing plans, digital presence and social media strategy to ensure impact and fundraising successes are communicated
• To maintain a stock of impact-focused case studies and success stories and ensure fundraising successes are communicated on social media and online.
• To ensure the robust monitoring and reporting on the effectiveness of fundraising strategies and campaigns; providing key input to the annual report and impact report.
• To coordinate fundraising events with the Community Partnerships Manager. 

Line Management

• To have direct line management responsibility for the Community Partnerships Manager and Social Media & Marketing Manager, creating a supportive environment for growth and development.
