 The Brent Centre for Young People is looking for an experienced, dynamic person to join its Clinical Administration Team.

The Brent Centre for Young People is a charity based in North West London (Kilburn) that provides psychotherapeutic treatments to young people aged 11-25 years, who suffer with emotional difficulties and have mental health needs. The Centre has an international reputation and delivers world-leading evidence-based practices to young people across North West London. On average, the centre helps over 700 young people per year through its In-house and Outreach Services.

We are looking for an experienced clinical administrator with strong people and communication skills to help run our clinical services.

This post is an exciting opportunity to be part both of supporting the growth of this new service and supporting clinical administration at the Brent Centre within an existing small team.

The suitable candidate will have at least two years’ experience of clinical and/or general administration and reception duties. This post will suit a confident, reliable individual with strong interpersonal, organisational and communication skills.

You will be expected to be confident in IT skills (including the use of Microsoft Excel to an intermediate level) and apply them to recording data accurately on a daily basis on our client database.

We are looking for someone who demonstrates a high level of professionalism, can work to regular deadlines, can problem solve when faced with difficult situations, adheres to confidentiality and can communicate professionally, politely and effectively with young patients, their families, our clinical and non-clinical staff team and our external contacts, such as GPs.

The post requires sensitivity to the needs of young people with emotional difficulties and the nature of therapeutic work and their families. Experience with young people or with mental health is advantageous.

You will be expected to work a range of shifts between 9.30am to 6pm, 10.30am to 7pm and 11.30am to 8pm, to be agreed.

The candidate will have excellent skills, when carrying out duties of the post.

Conservation Collective (CC) funds solutions to protect the environment, restore nature, and safeguard against climate change. The CC UK charity incubates, launches, and supports locally focused foundations, which open new funding channels to support the most impactful environmental grassroots projects. Our network comprises 20 members based all over the world and is growing.

We manage and monitor our donor relations, grant giving governance, contacts, and event activities, via a bespoke and customised salesforce system. This was launched in September 2021, and has been developed and configured to meet our growing needs since then. As the demand for our model increases around the world, we need a highly capable systems specialist to support us to ensure our data systems are well managed, users are trained, and we can create accurate reports for our donors and other audiences. The role will report to the Finance Director and will work closely with the rest of the team. This is a critical role that is central to the success of building a robust organisation, and there is opportunity for an ambitious candidate to grow in responsibility with it.

Key Responsibilities:

 Oversee Salesforce System: maintenance, training, development, and reporting

 Maintenance

· Ensure key objects on Salesforce such as accounts, contacts, campaigns and grants are working effectively (ensure process flows work well).

· Maintain reliable records in all objects on Salesforce by eliminating duplicates monthly, processing user deletion requests and updating records for lists with up-to-date information on key stakeholders (e.g. trustees, contractors etc).

· Weekly data back-ups.

· Uploading ad-hoc batch data from Campaigns e.g. Just Giving or historical data into Opportunities.

· Ensure regular data cleaning to enhance the credibility and adoption of the system. Spot trends with issues and feedback into system development or training.

· Oversee data governance log: maintaining log of changes to review with the team, discussing effect on budget and system usage to inform decision making.

 Training and support

· Oversee user set ups, create new user profiles, and share best practices according to GDPR practices.

· Oversee smooth onboarding and training process for new members to ensure effective adoption.

· Keep training materials related to key objects updated, host internal webinars to address new feature introductions or common issues to troubleshoot.

· Promptly troubleshoot any user issues and feeding these into training to prevent it happening again.

· Respond to individual questions from users on Slack and share tips and tricks.

 Automations and Development

· Manage the integration of Form Assembly, ensuring all connectors work well and troubleshoot and update individual forms when needed.

· Support users with the building of individual Form Assembly forms, updating when needed (ad hoc) and embedding them in their websites.

· Perform developments such as creating new fields, updating picklist values, page layouts, forms, automation configuration, formula fields, and other content. Work with core team to assess where a development is foundation specific, and where it should be applied across all users.

· Act as key point of contact with our external Salesforce consultants on any requests of flow maintenance or improvements and monitoring effective use of credits and budgets.

 Reporting

· Build reports and dashboards for each key Object – spot trends and suggest improvements.

o Opportunities - pipeline and income reports for board meetings

o Grants - tracker and applications analysis, extraction of impact data for evaluation purposes

· Provide quarterly diagnoses of user adoption levels across the network.

· Work with exec director to prepare quarterly data for trustee meeting and annual reports.

Manage IT systems with the support of an outsourced consultant

 · Act as a key point of contact with our outsourced IT company, overseeing the creation of new users and managing the leavers’ processes.

• Ensure MS365 systems are working effectively for current users, and troubleshoot issues as a first point of contact before liaising with outsourced providers.

· Maintain an up to date ‘how to guide’ for our intranet, ensuring all users know how to use it and find what they need.

· Recommend Cyber Security improvements.

· Procure IT equipment for team with support of external consultant.

· Maintain an up-to-date list of active users, MS 365 licenses and Antivirus license protection.

· Oversee the IT budget by approving expenses on a regular basis.

· To manage website domains – purchasing new ones on request, performing updates or providing access to web designers.

Office Location – Wendover, Bucks.

Salary - Up to £30,000 (FTE)

About the Role 

The Events Fundraiser will support the charity’s aim to provide all life-limited children, their families, and carers, within their hospice, emotional support through the power and pleasure of nature. The post holder will be responsible for generating income through the management of a range of fundraising events, as well as supporting individuals organising their own fundraising activities within their community and/or corporate environment. 

You will ensure efficient event management and administration as well as provide excellent supporter care. 

The Event Fundraiser will:

• Project manage a range of events, including planning, marketing, and supporter stewardship, through to event delivery and evaluation. 
• Effectively manage internal and external stakeholders to deliver and schedule events, on time, within budget, meeting fundraising goals. 
• Deliver exceptional supporter care to those who support the work of the charity. 
• Plan and deliver events, including logistics, briefing of stakeholders and volunteers, compiling risk assessments and any other tasks relevant to ensuring an excellent supporter experience. 
• Ensure the supporter database is accurate and up to date, as well as follow all relevant financial processes to ensure event income and expenditure are accurately recorded. 
• Report fortnightly to the Director of Fundraising & Communications on agreed fundraising targets and activity. 
• Be responsible for ensuring relevant community and events pages, news, and forms on the Greenfingers website are accurate and up to date. 
• Work collaboratively with the team.
• Carry out any other duties as may be reasonably required.

First and foremost, you'll be a Chuf Fundraiser; making sure supporters receive first-class supporter care.

About the Role

WISH2 is one of three components of the FCDO-funded WISH Dividend programme, which follows on from the Women’s Integrated Sexual Health (WISH) programme (August 2018 - March 2024). It will be implemented alongside two other components, which will focus on 1. Policy and Systems, i.e. a demand-led, flexible technical assistance programme on SRHR and Demographic Transition and 2. Evidence and Learning, i.e. a Third Party Monitoring and verification, evaluation and learning support. As for WISH 2, it will aim to support targeted countries on comprehensive SRHR including support for service delivery and technical assistance, and will be implemented through two consortium structures, called Lots. MSI-led Lot 1 will focus on West and Central Africa (namely in DRC, Mali, Niger, Senegal, Chad and Mauritania) and IPPF-led Lot 2 on East and Southern Africa. Lot 1 consortium partners will be MSI, Ipas, Options, Sightsavers, RAES and WILDAF-AO. The programme should start in May/ June 2024 and last 60 months.

As a core member of MSI’s WISH2 Lot 1 Management Team, the Project & Communications Officer (PCO) will contribute to the fulfilment of the MSI-led consortium’s mission under the programme, taking responsibility for providing administrative support and ensuring good communication about the project with external and internal stakeholders, to ensure the smooth implementation of the project -

• Contract management, including compliance, and due diligence;
• Administrative support to the management team, coordination of all WISH 2 Lot 1 Management Team meetings and consortium meetings to ensure strong collaboration, communication and learning through meetings, workshops, country visits, etc;
• Technical support with creation and maintenance of shared systems, and ways of working to ensure best practice and the achievements of the project are documented; and communications, reporting and compliance requirements are adhered to;
• Communications support and materials production, i.e. support the Project Director and Deputy Project Director with the development and implementation of a WISH2 Lot 1 communications and visibility strategy, increasing knowledge and awareness of the project and ensuring compliance with FCDO communications requirements. This will include support to the development of a range of communications materials and their dissemination.

Responsibilities include providing general administrative support to different teams within Global Resources, manage supply of office resources and equipment, arrange travel, managing relationships with key suppliers, coordinating schedules and meetings and supporting HR administrative duties.

While we classify this role as hybrid, it's worth noting that the vast majority of your work can be done from the comfort of your own home. Occasional in-person visits to our London office (located in Borough High Street), and all-staff gatherings will be necessary. Our full time hours are 34.5 hours per week and we offer core working hours between 10am and 4pm.

Key responsibilities

• Assist staff and visitors with travel booking and coordination when travelling overseas, including booking flights, arranging visas and travel vaccinations.
• Main contact for travel agent building good working relationship.
• Support the Global Resources Director to coordinate and track all insurance policy renewals.
• Liaise with insurance brokers on renewals to ensure competitive costing and ensure timely renewal for all insurance premiums.
• Maintain and order office supplies, stationery, and equipment from the most competitive suppliers.
• Manage and maintain the fixed asset register.
• Assist with recruitment processes, including posting job adverts, preparing weekly vacancy listing, supporting interviews, checking references, and drafting employment contracts.
• Support induction processes for new joiners.
• Maintain the employee absent management system and support with any changes/updates.
• Preparation of documentation for all aspects of the employee life cycle, including leavers, changes to terms and conditions, maternity and paternity and flexible working requests.
• Support the Global People and EDI Manager to coordinate the appraisal process, ensure appraisals are conducted and collate training needs into a report for review and action.

• Practical experience of working within or supporting HR is desirable.

We are seeking a passionate and motivated stakeholder engagement specialist to work across our portfolio of programmes. The ideal candidate will be confident in building relationships with diverse stakeholders, particularly across the Education, Health and Social Care or Youth sectors, promoting our work and recruiting delegates to Ygam workshops. Outstanding communication skills, a strategic mindset and the ability to develop and implement engagement plans and projects are essential. Main roles & responsibilities:

You will be responsible for stakeholder engagement across Ygam’s portfolio of programmes. You will develop long lasting relationships with schools, colleges and children’s services, promoting Ygam’s work and recruiting delegates to our workshops.

You will work across the programme team, developing relationships throughout the UK, training professionals to understand the impact and risks of gaming and gambling. You will also be responsible for promoting and marketing the work of Ygam at conferences and events.

You may, on occasion be required to arrange and deliver our City & Guilds assured workshops, both online and face to face and provide support to delegates post training, updating all relevant records and CRM systems.

• Act as a content business partner for your assigned programmes and areas: establish effective relationships and ways of working with stakeholders, taking ownership of content planning, production, promotion and maintenance.

Working in a hybrid way, you’ll be attached to either our Birmingham, London or Manchester office and will report to the Brand and Content Associate Director.  In line with our current ways of working, you’ll be expected to be in the office at least 1 day a month, in addition to team days and this may be reviewed by Ambition. 

Skills, Knowledge and Experience

To succeed in this role you'll be a strong copywriter with the ability to adapt and adhere to the Ambition tone of voice and style guide. It is essential that you have experience in creating content in a range of formats and for a range of channels. Whilst it would be desirable for you to have design skills with experience of using InDesign, Illustrator or Photoshop, this is not essential for the role.

Our Events Officers work with colleagues across the Institute to deliver our range of public events, roundtables, workshops and conferences.

As part of the events team, within the wider communications team and reporting to the Head of Events, you will:

• Support the design and co-ordination of the Institute’s programme of public and private events, including panel discussions, conferences, receptions, workshops and roundtables.
• Manage all logistics and marketing for timely, professional event organisation and delivery.
• Help prepare for and deliver Institute events outside of London, including our party conference programme.
• Share management of the busy events email inbox and deal with internal and external event enquiries.
