An exciting opportunity has arisen for an Executive Assistant to join the Chief Executives office. Your role is to provide high quality support to the Directors and by extension, the Senior Leadership Team

Role Requirements

• Provide high level administrative support to the Directors.
• Exercise judgement in prioritisation, dealing with matters within own remit and / or referring them to the director as and when necessary, ensuring tact, discretion and courtesy at all times.
• Review incoming mail, prioritising, redirecting or responding to issues.
• Monitor the email inbox of the Director(s), responding where relevant and highlighting any urgent messages to Director.
• Draft, edit and format documents
• Arrange travel bookings / itineraries
• Communicate instructions and other messages to managers and staff clearly and promptly on behalf of the Director(s)
• Keep Emergency Procedures File up to date.
• Monitor team PDR dates, and keep Director(s) updated in this regard; schedule PDRs for Director’s direct reports.
• Effectively support meetings in terms of venue, accommodation, equipment, and refreshments.
• Attend team and other relevant meetings taking and producing minutes for distribution (as required);
• Liaise with Reception in relation to external visitors and ensure the smooth running of internal and external meetings and visits;
• Process expenses on behalf of the Director(s).
• Manage the Director’s corporate credit card and reconcile against monthly statements
• Assist the Director(s) with additional administrative/organisational tasks assigned at the discretion of the Director.
• Assist in the planning, execution and tracking of key projects. Coordinate project timelines, deliverables and resources to ensure successful completion within deadlines.

Background

Refugee Action Kingston (RAK) is a well-established charity dedicated to supporting refugees and asylum seekers from anywhere in the world who find themselves in the Royal Borough of Kingston and neighbouring boroughs. Since its foundation in 1991, RAK has been the main provider of direct services to refugees and asylum seekers as well as promoting refugee rights.

RAK aims to support refugees through the process from their initial reception in the borough through to final integration into the local community in order to enable them to live a fulfilling life and become accepted and active participants in our local communities.  We achieve this by accomplishing a variety of outcomes for refugee and asylum-seeking families through delivering a holistic service including advice, information, counselling, education, training, and assistance in access mainstream services and employment opportunities to help them rebuild their lives.

We are looking for a registered solicitor or someone qualified up to level 3, although we will also be happy to hear from people who are qualified up to IAA Level 2 Asylum. Purpose of the Post

Refugee Action Kingston provides free and independent information and advice on a one-to-one basis to refugees and asylum seekers on immigration (Level 3), welfare benefits, education, training, employment, housing, access to health and social care. Where we cannot help we refer clients to solicitors and other specialist help.

The purpose of this job is to provide an effective and efficient face-to-face Immigration Advice to IAA leve l2 or 3, within the aims, policies and principles of Refugee Action Kingston.  And to provide consultancy and advice to colleagues on Immigration and Asylum issues.

Duties and responsibilities:

Casework

• Provide face to face Immigration and Asylum advice and casework to IAA Level 2 or 3
• Act for the client where necessary by liaising with the Home Office, external agencies and other Immigration Advice providers in progression of a case.
• Negotiate and advocate on behalf of clients with third parties as appropriate, both verbally and in writing.
• Assist clients with other related problems where they are an integral part of their case and refer to other advisers or specialist agencies as appropriate
• Know and understand the limits of Level 3 IAA Advice and be prepared to refer or signpost onwards when work reaches these boundaries.
• Ensure that all casework conforms to RAK Advice Service office standards and policies.
• Maintain case records for the purpose of continuity of casework, information retrieval, statistical monitoring, and report preparation

The purpose of this role is to provide leadership, oversight and curation to the FYT Leadership Team, and to lead the smooth running of the FYT Organisation which supports the wider FYT Movement. This will include coordinating the delivery of the strategic plan, leading fundraising, and working closely with the FYT Board to oversee the smooth running of the organisation.

Hours: 22.5 hrs per week
Salary: £24,116 per annum (£40,194 pro rata) + 9% pension
Holidays: 5 weeks plus bank holidays and 3 additional days at Christmas
Location: Working from home, with nationwide travel expected

Key Responsibilities:

2. Lead the FYT staff team – supporting, supervising, enabling and encouraging and ensuring appropriate HR functions are carried out. 
3. Lead the fundraising strategy for the organisation, giving attention to securing grants, as well as donor fundraising . Report as necessary to funders.
4. Work with the Finance Officer to manage the budget and finances within the parameters agreed by the Board.
5. Facilitate the effective function of the Leadership Team, enabling the smooth and efficient carrying out of the strategic priorities.
6. Provide Line Management support and supervision to the other members of the Leadership Team.
7. Develop, implement and monitor FYT’s strategic plan in partnership with the FYT team and board
8. Engage in practical theological reflection on FYT’s mission and how it is expressed.
9. Attend and contribute as required to Board meetings, working closely with the Chair and Board to ensure that appropriate issues are raised, and that any agreed action is put into effect.
10. Be an advocate for marginalised young people, the issues they face, and youth workers and projects working with them (pursuing prophetic mischief, provocation, and taking up our unique space in the youth ministry community).
11. Make links with appropriate Christian, voluntary and statutory bodies and to represent FYT in appropriate forums and pursue opportunities for collaborative working.
12. Support the active promotion of the FYT training and resource offer.
13. Lead the monitoring and evaluation (impact assessment) of FYT’s work

Other functions:

1. Meet regularly with Line Manager for supervision.
2. Undertake administration and keep necessary work records.
3. Comply with all FYT policies and procedures.
4. Work collaboratively with the FYT leadership team and Board to ensure that organisational policies are regularly reviewed.
5. Engage in CPD/lifelong learning.
6. Undertake any other tasks that may be requested, commensurate with the nature and level of the post and as may be required by the Board of Trustees.

Additional Information

• The Leadership Team is supported by a contract with Giraffe HR that assists in the day to day running of the organisation, primarily managing the finances of the organisation.
• Engagement in ongoing, regular youth work with marginalised young people is not a requirement of this post, but encouraged. FYT will be flexible where possible in order to facilitate this.

The purpose of this role is to work closely with our established Youth Board to ensure that the voices of young people affected by PANS and PANDAS are heard, valued, and reflected in our work.

Women in Prison is a national, women-led, feminist organisation. We deliver front line support to women harmed by the criminal justice system, through our work in prisons, in the community and ‘through the prison gate’ as they resettle back into their communities. We also campaign for systems change that addresses the root causes of offending, reduces the harmful impact of prison, and creates workable, community-based alternatives to imprisonment.

Job Purpose:

The Family Advocate will provide trauma-informed specialist support to women in the community and in prison who are at risk of losing custody of their children/have already experienced child removal. This role will also upskill colleagues, and work with Children’s Social Care teams to improve the response to women impacted by the criminal justice system.

Key Responsibility Areas 

1.      Provide high-quality, trauma-responsive support to women in contact with the criminal justice system, who are at risk of experiencing/have experienced child removal. 

2.      Provide expert advice and support to colleagues, including upskilling through information and training sessions on Children’s Social Care and family court processes, and increase Children's Social Care teams' knowledge and understanding on women in the criminal justice system.   

3.      Develop effective relationships with key stakeholders, such as Children’s Social Care, probation, prison, to ensure a collaborative approach to women’s needs. 

4.      Monitor case management systems to ensure accurate and timely data recording, aligning with contract KPIs and WIP policies.
