PURPOSE OF JOB 

• To deliver a range of stalking training courses to Trust clients, work with internal experts to ensure course content is kept up to date, provide consultancy project support, and collaborate with a range of statutory and non-statutory clients and stakeholders.

The City and Guilds of London  Art School is a small, independent Higher Education Institute. Finance Management

Comms & Marketing

General Administration

In developing and maintaining engaging, innovative online courses and resources, you’ll work closely with colleagues in the Education team and subject matter experts. You’ll use your specialist learning or instructional design experience to ensure our online education offer is based on sound pedagogical practice and focuses directly on meeting learner need.

• Apply the tools, principles and practice of learning design to plan, develop and maintain engaging online courses and resources about Parkinson’s and Parkinsonism for professional audiences
• Work closely with the Education Lead to ensure our education offer is sector-leading, sustainable and aligned to the Charity’s strategic priorities
• Plan, manage and deliver to schedule high-quality online courses and resources, from agreeing learning outcomes to go-live

Duties and responsibilities
• Responsibility for managing Action Tutoring’s social media channels (Facebook, Instagram, LinkedIn, X, TikTok and YouTube). Plan content (in collaboration with wider Marketing and Communications team) in line with the charity’s wider campaigns, volunteer recruitment rounds and key messages, ensuring regular diverse posting.
• Work with the Marketing Manager to develop engaging content which encourages the recruitment of high quality volunteer tutors, enquiries from potential partner schools and raises awareness of the charity to potential fundraisers, donors and employees.
• Promote the breadth of Action Tutoring’s activities and projects on social media, working across the whole team to gather content to raise brand awareness (including Programme, Philanthropy, Operations, Policy and Impact).
• Contribute to the development of content for social media channels including graphics, video and photography, with the occasional visit to school programmes and other charity events.
• Regularly analyse and report on the impact of Action Tutoring’s social media content through weekly analysis, quarterly reporting and campaign analysis.
• Monitor social media trends and industry developments to ensure we’re maximising content across all channels.
• Lead on blogger, influencer and community outreach (e.g. Facebook community groups, Next Door) to help raise awareness of Action Tutoring's volunteering opportunities and encourage applications.
• Manage our national digital adverts (such as Indeed, CharityJobs, Do-It). Respond to any direct enquiries sent through these and other digital platforms, including the Volunteer Facebook Group and Google business.
• Identify national digital advertising opportunities for volunteer and school marketing, and support with content for regional adverts. Work with the Marketing Manager to analyse impact and decide where our budget is best spent.
• Support the day to day management of Action Tutoring’s website, editing content with updates upon request. Support with creating high quality, engaging content for the Action Tutoring website to ensure it’s optimised.
• Create external marketing materials on request and support with ad-hoc visual design work.
• Support with the attendance at volunteering promotion events, mainly university fairs.
• Any other duties deemed reasonable by the Chief Executive Officer.

What you’ll be doing …

The main purpose of this role is to grow the venue hire pipeline of business and deliver venue hire events and specialist group events to excellent standards ensuring repeat business and maximising new sales opportunities. We are seeking a professional, confident candidate who enjoys the end-to-end process of events and is keen to make their mark on venue hire at the Society. You will also be highly organised with a keen eye for detail and confident being the ‘gatekeeper’ of the room bookings diary at the society. 

Overall responsibilities / requirements …

Venue Hire Sales & Marketing: 

• To deal with all venue sales enquiries in a timely and efficient manner. 
• To build and maintain an effective pipeline of venue hire enquiries. Including attending venue hire showcases and B2B networking events as necessary. 
• Professional and friendly manner, confident in delivering and leading on showrounds to prospective clients. 
• To produce venue hire literature and ensure that all material relating to the venue facilities is kept up to date. 
• To meet venue hire sales targets for 2024 as set by the Society and build effective sales pipelines for 2025.
• Liaise with Marketing Teams to produce bespoke posts and newsletters for members, venue hire leads and special offers for venue hire throughout the year, maximising engagement. 
• Support the Head of Events with all key cultivation events including venue hire showcases and any new business ventures. 

Venue Hire Administration: 

• To maintain safe working practices in conjunction with Health & Safety policies. 
• Work collaboratively with Buildings Manager to communicate key information taking place across Burlington House. 
• To liaise with AV company with regards to timings, payments, staff needs, training and use of equipment / set up for events. 
• To liaise with caterers with regards to timings, payments, staff attending, training and room set up for events. 
• To produce a weekly booking sheet for all staff to communicate bookings across the building. 
• To produce and meet budgets for events in consultation with the Head of Events 
• Manage the venue hire diary, ensuring it is kept up to date and all bookings are accurately recorded. 
• To check all incoming invoices against quotes/information received and pass to accounts for payment. 
• To raise and resolve any invoice queries in a timely manner. 

Event Operations:  

• To deliver all venue hire and specialist group events to excellent standards.
• To liaise with speakers and venue hire delegates and communicate all logistical details in a timely fashion including H&S briefings, PEEP plans and Risk Assessments. 
• To make any other logistical arrangements that are necessary for the smooth running of events covering timings, parking, room set-ups etc. 
• To ensure that all events are accessible and organised within the disability discrimination legislation. 
• To support the events team with ad-hoc events out of hours where needed across the year. 
• Ensure the events spaces are well maintained in collaboration with the Buildings Manager.

Teamwork: 

• To be proactive in identifying areas for potential improvement in the events programme 
• To take part in developing more efficient ways of working within the team 
• To ensure that positive working relationships are created with other departments at GSL 
• To participate in team meetings and wider meetings including External Relations and Health & Safety. 

Other responsibilities and expectations: 

• The post holder is expected to work flexibly to respond to changing needs at The Geological Society.  As the Conference Office operates a room hire service it is expected that the postholder will undertake out-of-hours work to ensure that this service can operate.  Excess hours worked will be compensated for by time off in lieu. 
• The post holder is expected to undertake any other responsibilities or tasks consistent with the role and/or reasonably required by the Head of Events.

Main Areas of Responsibility

In the first instance, this will be achieved through joint project management and rollout of a new Federation wide SharePoint eco system. This is an exciting time to deliver a new ecosystem that will lay the foundation for future enhancement and uses of technology across all aspects of the Federation (Educational and Corporate).

You will then begin to identify the best uses of digital technology to promote learning, by engaging with latest research and by working across our academies in consultation with teachers and Principals. Through your leadership and networking within the Federation you will ensure the best approaches to improving educational outcomes are strategised, implemented, evaluated and are widely disseminated. Your work will involve the development of a Federation-wide Digital Learning strategy, building coalitions to implement and test this and then to disseminate the work. You will produce a wide range of training resources working with the Federation Consultant Leaders and Digital Learning Leaders in each Academy and you will Chair the Federation Digital Strategy Group, which will inform the priorities of the Federation IT team.
