We are seeking a Programme Officer to join our Work Experience Team.

Our Work Experience programme provides a taster of the ‘World of Work’ helping to raise career aspirations and support academic progression.  Our team work with local and central London employers and education providers to source, manage and co-ordinate placements for over 5,000 young people each academic year. 

The Opportunity

This is an excellent opportunity for an organised, enthusiastic and confident individual to join us in a role which has responsibility for ensuring suitable and safe work experience placements are sourced, managed and available for students.

Key Responsibilities of the role include:

• Securing, updating and managing work experience placements.
• Handling telephone enquiries about the work experience programme, communicating with teachers, employers, parents and schools.
• Acting as key point of contact for schools/educational establishments managing and overseeing the work experience process.
• Producing information and providing support to the Head of Work Experience and other team members.
• Completing one-to-one interviews with students with additional needs to ensure suitable placements are secured.
• Managing placements using a bespoke IT system.

This is a new role within the Programmes Directorate to support the expansion of the Trust’s in-house impact evaluation. The Sutton Trust has an excellent reputation in this field with well-developed theories of change, robust evaluation framework and extensive data and feedback from programme participants. This role will be vital for delivering internal evaluation projects of Sutton Trust programmes, supporting with data collection and management across multiple platforms, contributing to and implementing our impact strategy and developing expertise in data analysis, project management, and data management.

The role will report to the Senior Impact and Evaluation Manager, alongside working with the Systems and Evaluation Manager, and others across the Programmes team.

Main duties

• Working with the team to deliver the Trust’s impact strategy. This includes analysing both qualitative and quantitative data on the Trust’s programmes, creating reports to communicate findings, supporting with the collection and management of impact and engagement data, and supporting on external evaluation projects.

• Working with colleagues across the Programmes and Development teams to support with reporting programme numbers and data requests to funders and other key stakeholders.

• Support the Systems and Evaluation Manager with the innovation and development of our Salesforce CRM platform and other data-gathering platforms to ensure the ongoing collection and maintenance of high-quality data.

• Work across multiple data collection platforms that gather personal data on applicants to programmes and post-programme feedback data, to ensure processes are effective, efficient, and GDPR-compliant.

• Develop expertise in Salesforce, data analysis, and evaluation methodology via project work, proactively seeking development opportunities, by keeping up to date with developments in the sector, and attending external conferences.

• Working with external stakeholders and delivery partners to deliver training and communication about the charity’s impact and data systems.

• Supporting the creation and development of Theories of Change for the Programmes team.

• Other duties as necessary from time to time.

Person Specification

About the role

Operations (part of the Core Services Team) provides comprehensive support across Human Resources, Compliance, and Risk Management, Data Management, and Staff Engagement and supports the delivery of strategic objectives across the organisation. The role will report to the Operations Manager for operations duties.

The BSA’s Council is responsible for determining the organisation’s overall vision and strategy and ensuring good governance. Council assumes the trustee responsibilities set out by the Charity Commission regulator. They meet four times a year, usually in London with options for Council Members to attend online. Papers are prepared by BSA staff and contractors and circulated around a week in advance of the meeting. The role will report to the CEO for Council, Governance and Committee duties.

Key responsibilities

Human Resources

• Act as the primary contact for HR service requests, escalating complex issues to the Operations Manager or outsourced HR supplier as appropriate.
• Maintain accurate and up-to-date HR records and employee files across all HR systems, ensuring compliance with data protection regulations.
• Monitor and coordinate completion of mandatory compliance training

Governance and Committees

• Lead the scheduling and logistics of Council and other committee meetings, including venue booking, catering, AV and calendar management.
• Support governance record-keeping, including minute-taking, updating statutory documents as directed by the Chair and Chief Executive, and maintaining Council member records such as declarations, attendance, and terms of office.

• GDPR and Data Protection: Monitor and support GDPR compliance, with a focus on data retention and secure handling of personal information.
• Compliance and Risk Logs: Assist in maintaining up-to-date compliance and risk logs, reporting issues to the Operations Manager as needed.
• Health and Safety (H&S): Support the Office Manager in coordinating staff H&S documentation and ensuring compliance with relevant regulations.
