Job description

Are you a dynamic multi-tasker? Do you care about the welfare of older people? If so, you could be just the person we are looking for.

Age UK Faversham and Sittingbourne is a local independent charity and a brand partner in the Age UK network. We provide a whole range of services to older people in the Faversham and Sittingbourne areas of Swale, both within our centres and out in the community.

We require a Local Operations Manager for our Faversham Centre to oversee the buildings, facilities and some of the service teams working there. The role is varied and busy, and we need someone who can work proactively to keep our services running as smoothly as possible. You will need to have experience of managing people and premises, and ideally have a background in social care; although transferable skills are the most important attribute.

The Faversham centre is based within a conservation area and is comprised of two buildings – the old jail (a Grade 2 listed building) and the old fire station, which have been linked together to form one large centre in the heart of Faversham town. We are in a period of change; last year saw a complete refurbishment of our day centre and the opening of a new secure dementia day care unit. There are exciting new projects being developed within the rest of the site, with further refurbishment projects due to take place over the next three years.

Key Responsibilities

To be member of the Senior Management Team, supporting the Chief Executive Officer, and contribute to the Organisation’s strategic development.

Buildings and Facilities

  • Oversee the Health and Safety of the Centre. This includes the safety and maintenance of vehicles, buildings and equipment and adherence to the organisation’s Health and Safety Policy;
  • Be responsible for future phases of refurbishment and redevelopment in 2020-2023; project managing the building works and ensuring that they are delivered on time and within budget to a high standard of quality;
  • Manage annual repairs, maintenance, stationery and cleaning budgets;
  • Ensure that all risk assessments are up to date;
  • Be responsible for ongoing routine and cyclical maintenance tasks, ensuring that contractors provide a high quality service and that best value is maintained;
  • Maintain the Asset Register;
  • Ensure that external and communal areas of the site are maintained and kept secure.

Services and People

  • Ensure that a person-centred and high quality service is provided to all clients;
  • Line manage day centre staff, catering staff, cleaners, drivers the administrator and meal delivery staff (team of approximately 15);
  • Develop sound working relationships between all staff and volunteers throughout the Organisation, ensuring that effective communication channels are in place;
  • Maintain discipline and standards of conduct;
  • Work closely with the Sittingbourne Operations Manager and Dementia Services Manager to ensure that staffing levels are appropriate according to fluctuations in demand, and that holidays and sickness are covered;
  • Ensure that reception is covered at all times and that callers are greeted promptly and courteously;
  • Assist in the recruitment and selection of centre staff and carry out supervisions and appraisals in a timely fashion;
  • Monitor staff training schedules and liaise with the Business Performance and Development Manager to ensure that all staff training is recorded appropriately;
  • Ensure that each staff member (and volunteers where appropriate) have a Training and Development Plan which reflects the requirements of their job and their aspirations for their continued professional development;
  • Work with and support the Volunteer Coordinator to ensure that there are sufficient and appropriate volunteers to support the organisation’s activities, and that their roles are fulfilling;
  • Carry out new staff and volunteer inductions;
  • Monitor income and expenses to assist in budget preparation for day services, transport and catering services;
  • Oversee the collection and collation of accurate service data for statistical reporting purposes;
  • Plan and coordinate administrative and financial procedures and systems and devise ways to streamline processes;
  • Facilitate client forums and other feedback mechanisms in line with the ISO 9001:2015 quality standard and attend Quality Management Meetings;
  • Participate in fundraising initiatives and encourage others to do so;
  • Ensure that the day services, bathing, laundry, haircare, Footcare, catering and community meal delivery services are well managed and meet the needs of clients;
  • Ensure that weekend staff know where to go to seek assistance with emergency issues;
  • Work with the Accounts Department to ensure that debts are collected in a timely but sensitive manner.


  • Liaise with property agents in connection with the letting and void management of the old jail:
  • Liaise with tenants and manage their tenancies, dealing swiftly with queries and repairs;
  • Ensure that rents are collected on time;
  • Maintain a booking register for the Silver Social Hub and The Fountain and liaise with external evening/weekend hirers.


  • Ensure that the fleet of minibuses and MPVs are maintained according to the schedules and that unplanned repairs are carried out promptly;
  • Ensure that appropriate mileages are recorded for the Bus Operator’s Service Grant claims;
  • Ensure that Section 19 Permits are in place for each vehicle;
  • Manage the fleet insurance policy for the Centre and deal with claims as appropriate;
  • Alongside the Day Centre Supervisor and Dementia Services Manager, ensure that transport routes are coordinated to provide the most efficient use of vehicles.

Digital and Data

  • Lead the staff and volunteers in the transition from manual data collection to a new client management/CRM system;
  • Lead the staff in the transition from traditional servers to Office 365 SharePoint and One Drive document storage and management systems;
  • Ensure that staff and volunteers are upskilled in basic ICT programmes;
  • Liaise with the organisation’s appointed IT Support Partners and ensure that all computers and other devices are properly maintained and protected.


  • Understand, empathise with and be committed to the Age UK Faversham and Sittingbourne’s values and principles;
  • Together with the Community Development and Marketing Officer, liaise with external stakeholders and seek to promote the centre and its activities;
  • Carry out such reasonable tasks as may, from time-to-time, be delegated by the Chief Executive Officer or Business Performance and Development Manager:
  • Adhere to the Organisation’s policies and procedures at all times.
