Main Purpose of Role:

The Programme Support and Administrative Officer will play a key role in ensuring the smooth operation of CFAB’s programmes and organisational functions. This role supports executive coordination, training delivery, family support administration, international social work logistics, and general office management. The postholder will work across teams to provide high-quality administrative support, contributing to the efficiency and effectiveness of service delivery.

Key responsibilities:

Programme Support and General Administration

• Monitor shared inboxes and switchboard calls.
• Respond to ad hoc staff queries and manage incoming post.

• Send initial and closure letters for client cases.
• Track inactive cases and follow up on referral forms.
• Prepare duty rotas, upload referrals and update the country information list.
• Support contract preparation and database maintenance for International Social Workers (ISWs).
• Support feedback collection and documentation.

• Assist with Mailchimp campaigns and mailing list research.

• Upload donations into Salesforce.
• Prepare donor thank-you letters and assist with prospect research.
• Provide general support across departments as needed.

Executive Support

Training & Learning Support

• Coordinate training calendars and liaise with teams.
• Update training materials and manage Eventbrite pages.
• Provide limited on-the-day training support and monitor certificates and surveys.

Facilities & Office Management

• Order stationery and maintain office tidiness.
• Support logistical tasks such as PAT testing, IT coordination, and office trackers.

The Opportunity   

This role is central to shaping and delivering the Social Mobility Foundation’s media, public affairs, and campaigning work, alongside the Campaigns Manager. You will influence changemakers - including politicians and journalists - through strategic media, political, and social media interventions. You will also collaborate with our Young Campaigners to amplify their voices and co-create impactful campaigns with them that drive systemic change.

1. Helping to plan and deliver campaigns activity, both planned and reactive, including: 

• Organising campaign events e.g. Parliamentary receptions and communicating our campaigns online and on social media.
• Assisting the Campaigns Manager to commission research and polling support our campaigning.
• Monitoring parliamentary activity, and horizon scanning - considering how political developments may affect our campaigning work, providing opportunities and risks. 

2. Leading our media work to maximise the impact of our campaigning, building awareness of social mobility as an issue amongst influential and informed audiences: 

• Developing and executing media and communication plans to support our campaign goals.
• Monitoring the media and responding to stories that allow us to land our key messages, share our point of view and platform SMF young people.
• Responding to requests from journalists for comment and advising and briefing members of staff on how to respond.

3. Co-create campaigns alongside our Young Campaigners and engage them in delivering and designing campaign activity:

• Developing and facilitate spaces for our Young Campaigners to co-create campaign activities and take actions to influence changemakers.
• Working with young people to share their experiences, through speaking at events and other campaigning opportunities.
• Training and supporting young people to speak to the media, ensuring safeguarding processes are embedded and providing follow up pastoral support where needed.

Person Specification

• Experience of working within a media, campaigning, public affairs or political environment.
• Excellent understanding of the UK political system and political processes and a thorough understanding of public affairs tactics.  
• Experience of planning and delivering projects or campaigns in a charity, political or media context. 
• Excellent copywriting skills, with experience of writing press releases, quotes, interview briefings, social media posts and opinion pieces.
• Experience of successfully influencing policy or practice.
• Experience of speaking to journalists, succinctly describing our positions, handling media enquiries and making recommendations to senior colleagues on next steps.

About The Role

As a Grants and Learning Officer, you’ll be helping us to deliver our ambitious, nationwide grants programme. We currently support over 500 grassroots organisations and 18-30 year old creatives, and have a busy grants cycle to manage, alongside ever-increasing numbers of applications. 

This year, we’re building and migrating to a new grants database and you’ll play an integral role on the project team. In addition, you’ll manage an assigned portfolio of grants, and help with all aspects of the funding cycle. We’re looking for a confident, proactive and people-focused Client Attraction & Engagement Officer to lead on visibility and outreach for Toynbee Hall’s Money Coaching and Money Support services across Guy’s and St Thomas’ Trust (GSTT) sites.  You’ll play a key role by attending roadshows, distributing materials, keeping displays up to date, and acting as a warm first point of contact for staff across the Trust.  This is a public-facing, movement-based role, ideal for someone who enjoys speaking to people, working across different locations, and making things happen on the ground.

• Represent Toynbee Hall at 2-3 staff roadshows per week (50 by end June 2026) across GSTT sites and community venues

A key focus will be to facilitate effective training pathways for staff and volunteers. Job Purpose:

This role sits within Family for Every Child’s (Family) Sustainability team, providing comprehensive support for all aspects of financial management.  The Finance Officer will work closely with the Secretariat, providing a central support function for the Sustainability, Impact, and Innovation teams.  This role will support the International Finance Manager (IFM) in building an internal finance function and will work with Family’s outsourced financial service provider in the UK to transition support in-house, ensuring efficient income and expenditure processing, reconciliation and reporting.

This role includes study support to become a qualified accountant (ACCA) with the potential for role development linked to successful exam progression. Family offers a study leave policy of 10 days over a rolling 12 month period (pro rata for part time staff).

Scope and Limits of Authority:

The post holder is expected to organise their own day-to-day activities according to the overall priorities and timescales set, and to exercise sound judgement in many critical decision-making areas.

Key Responsibilities:

Finance administration

• Principal point of contact for staff and suppliers (purchasing, expenses and payments).

• Managing and organising the finance inbox, ensuring queries are answered in a timely manner and ensuring good supplier relations are maintained.

• Processing all invoices and expenses onto the accounting system, ensuring correct coding and allocation of costs.

• Preparation of domestic and international payment runs, ensuring international payments are compliant with local requirements and following up on any issues.

• Working closely with the Programme Officer to track the status of grants and ensure outgoing payments are received.

• Managing the prepaid cash cards and monthly sign off of spend, supporting staff with purchases and expenses, checking and updating expense claims prior to processing of payment.

• Bank reconciliations, monitoring bank activity, ensuring invoices/expenses paid by direct debit are processed and approved as required, maintaining supplier details up to date.

• Preparation of monthly journal entries for review and approval by the IFM.

• Acting as the main point of contact for staff to provide guidance on all operational financial policies and procedures.

• Leading on continuous improvement to operational finance processes, including the use of AI technology to streamline processes and improve efficiency.

Payroll

• Preparation of monthly UK payroll.  Working closely with the HR Officer to ensure all adjustments are processed.

• Preparation of monthly UK pension submissions within the required deadline.

• Processing all pension changes, including auto-enrolment and adjustments to contributions.

• Checking calculations for EOR and international payrolls.

• Preparation of monthly payroll allocation journals for review and approval by the IFM.

Financial budgeting and reporting

• Supporting and coordinating the budgeting process with the International Finance Manager and budget holders, updating the budget templates and checking the draft budget for accuracy and completeness.

• Supporting the production of monthly and quarterly financial reports and cash flows, reviewing trial balances prior to accounts consolidation, carrying out income reconciliation  review by the International Finance Manager, and completing sample checks of the financial reports.

• Supporting the preparation of the accounts for the annual audit and financial report

• Supporting the Impact team by reviewing project budgets, re-forecasts and financial reports prepared by members

Income processing and reporting

• Carrying out the income reconciliation between the Bank and Salesforce, working with the Database Officer and Analytics & Process Officer to ensure the necessary adjustments to the database are made.

• Ensuring income recognition is in line with accounting standards and preparing and uploading draft journals for recognition of income to Xero.

• Preparing and completing HMRC Gift Aid submission files, monitoring the Gift Aid debtor balance and receipts from HMRC

• Assisting the IG Finance Manager in administering and reporting on legacy income 

• Carrying out financial analysis and reports as needed for donor reporting, forecasting and financial modeling.

Cross Cover support

• HR:  Managing the monthly payroll process with the outsourced provider including provision of data, and checking reports and calculations, for UK payroll and all international payrolls

• HR: Maintaining day to day liaison with line managers and any outsourced payroll and employment providers (EOR).

• Fundraising:  Assisting the Supporter Care team with income processing, including regular payment processes

• Impact:  Assisting the Programme Officer with purchase orders and grant management as needed to cover periods of leave and heavier workloads (i.e. during events, etc…)
