Citizens Advice Hammersmith and Fulham (CAHF) is a busy, dynamic award winning Service. We deliver a variety of projects via face to face and digital media.  

Since 2012 we have delivered a volunteer led community library service at Avonmore library.  In April 2024 we embarked on running a second community focused library at Askew Road. To support CAHF community library delivery at both libraries, we introduced the role of Community Library Coordinator.  

Purpose of the Role:

In addition to traditional library duties—such as managing stock inventory and delivering storytime sessions for under-5s—the Community Library Coordinator plays a key role in positioning the library as a vibrant hub within the local area. The library offers a diverse programme of activities for users of all ages throughout the week. Working collaboratively with colleagues, the Coordinator will oversee and help develop engaging library events, while also supporting the dedicated volunteers who contribute to the successful delivery of our community-focused services.

About You:

You will have strong interpersonal and communication skills, along with enthusiasm for working in the library sector. You should be confident in promoting the library service and delivering excellent customer service to a diverse range of users. While previous library experience is desirable, it is not essential.

• A good level of community awareness, with experience of working with diverse communities

• An interest in literacy and reading
• The ability to recruit, induct, and support library volunteers in service delivery

Role overview
We’re looking for a proactive and organised Programme Coordinator to help keep our busy calendar of classes, events, and community activities running like clockwork. This is a varied role with a focus on bookings and administration, alongside outreach, communications, and reporting, helping us reach more people, share our story, and measure the difference we make. The role will be onsite at our teaching space in Hackney. You’ll play a really key role in our team, making sure everyone, from our chef educators to our school partners, has the right information at the right time. Key Responsibilities
Programme & Administrative Coordination

• Act as the first point of contact for all incoming enquiries via phone, email, and in-person show-arounds.

•  Coordinate all aspects of school, after-school, and holiday cooking programmes — including outreach, scheduling, and briefing the delivery team.

Outreach & Communications

• Promote programmes to schools, community groups, corporate audiences, volunteers and the public.
• Undertake targeted outreach to recruit participants for funded community programmes, ensuring spaces are filled by priority groups.
• Produce engaging content for social media, newsletters, and the website to shout about what we do.
• Create and update promotional materials using tools such as Canva.

Monitoring, Evaluation & Reporting

• Keep our Monitoring, Evaluation and Learning framework up to date, recording key data monthly and termly to record and evaluate our impact.

• Collect and analyse participant feedback to improve delivery and help evaluate our programmes.
• Support the preparation of reports, case studies, and impact stories.

Finance & Administration

• Support financial processes for bookings and programmes, including invoicing, payment tracking, and deposits.

•  Ensure accurate financial records are maintained in line with organisational procedures.

Purpose of the job

Primarily, you’ll own responsibility for our small to medium grant pipeline, so we're looking for someone with a track record of successfully securing five figure funding from Trusts, Foundations, or Corporates. As well as writing high quality, comprehensive and persuasive funding applications, you’ll need to manage reporting and relationship management with the funders you successfully engage with and oversee wider fundraising areas, including playing a key role in our social media and communications, supporting sponsored event and London marathon runners, and playing a key part in planning our annual fundraising events. The Opportunity

We are looking for a diligent and data-minded Grants Assistant to join our small and dynamic team. This new role will support the WFN grants team in monitoring and evaluating active grants, analysing and assessing the charity’s impact, and in the smooth running of our grants programmes. The Grants Assistant will support the Head of Grants and Grants and Network Manager in WFN’s application and review processes, grant management, and impact evaluation work, and will support the flow of information about the work our winners are doing on the ground to the rest of the WFN team. GRANTS ASSISTANT - PERSONAL SPECIFICATION

Essential:

· MSc or equivalent experience in a relevant field (e.g. Conservation/ Zoology/ Environmental Science)

· Demonstrable understanding of grassroots conservation projects, issues and solutions (ideally in Asia, Africa, Latin America)

· Data-minded and analytical, with solid understanding of evaluation methods and trends

· Strong writing skills with ability to turn technical reports and language into accessible content for a lay audience

· Efficient and organised, with high attention to detail and ability to manage logistics

· Proficient and comfortable using databases

· Proficient in Outlook, Word, Excel and Powerpoint

· Flexible ‘can do’ approach and will flourish in a small team and charity environment

JOB DESCRIPTION

Department/Service:

The finance department is responsible for the overall financial management and administration of the 4million turnover at GSU. The department plays a crucial role in ensuring compliance with statutory regulations, including HMRC, Charities Commission, Companies House, and pensions. This includes supporting our annual external financial audit.

The finance team act as Business Partners to the rest of the organisation ensuring they understand financial processes to aid effective working. The team also work alongside our external payroll provider and our external digital system provider to ensure smooth and effective working.

Job Purpose:

Provide a professional, accurate, and timely accounting service in respect to all management and statutory reporting. Collaborate with internal stakeholders and external support services to enhance the effectiveness and efficiency of the Finance department, ensuring excellence in service delivery.

Reports to:

• Currently reporting to the CEO whilst the senior management role in the Finance Department is under review. The senior management post is currently vacant.

Responsible for:

• Supporting, managing, supervising, and developing one Finance Coordinator and one Finance Assistant.
• Temporary Interns and/or student staff supporting the Finance team as required

Duties and Key Responsibilities

1. Management and Statutory Reporting:

• Prepare accurate management accounts on a timely basis each month.
• Reconcile all balance sheet accounts monthly, including accruals and prepayments.
• Prepare and submit statutory reports, including VAT Returns, Companies House, and Charities Commission Annual Returns.
• Support the preparation of the annual accounts for the external financial audit and play an instrumental role during the audit process.
• Reconcile GSU bank accounts including PayPal online accounts weekly and monthly.
• Reconcile Commercial Income to Bank Accounts producing weekly sales and analysis reports.

2. Budgeting, Forecasting, and Cashflow Statements:

• Support in the preparation of the annual budget and reforecasts.
• Create forecast reports and statements as and when required.
• Produce monthly and annual cashflow and liquidity statements.

3. Business Partnering and Collaboration:

• Act as a business partner to all GSU staff members, providing financial insights and support to meet organisational goals.
• Work alongside external support services (e.g., payroll providers and digital finance systems) to ensure smooth operations and excellence in the Finance department.
• Collaborate with external auditors and other stakeholders to ensure compliance and effective financial management.

4. Managing and Supervisory Duties:

• Supervise and support the professional development of two GSU finance staff members.
• Foster a team culture that promotes accountability, continuous improvement, and collaboration.
• Oversee the responsibilities of Finance Coordinator and Finance Administrator and ensure their tasks align with departmental goals.
• Supervise and support interns and student staff as appropriate.

5. Digital Systems and Processes:

• Maintain efficient digital finance systems and processes to streamline financial operations (Twinfield, Ezora & Basecone for example).
• Ensure the accuracy and timeliness of digital records and reporting systems.
• Evaluate and improve digital tools and workflows to enhance departmental efficiency.

6. General Finance Department Duties:

• Oversee and assist with sales ledger, purchase ledger, and payroll functions as needed.
• Support the Finance Coordinator and Finance Assistant to issue and maintain records of purchase orders and associated invoices.
• Support the Finance Coordinator and Finance Assistant to maintain and post all petty cash transactions.
• Prepare ad hoc financial reports and information for the Senior Leadership Team (SLT), Trustee Board, and other stakeholders as required.
• Respond proactively to financial queries from GSU staff.
• Support the ongoing review and development of Finance department systems and procedures.
• Maintain customer-facing systems and ensure smooth operations for Finance department stakeholders.

7. External Audit and Compliance:

• Prepare schedules and reconciliations for the annual audit.
• Ensure compliance with regulatory requirements, including HMRC and Charities Commission guidelines.

DFN Project SEARCH offer an evidence-based supported internship model which takes place entirely in the workplace.  The programmes provide continuous support to young adults with a learning disability, and autistic people who are aged between 16 – 24 with an Education Health and Care Plan, or equivalent, in their final year of education.
