Administration

You will support the whole organisation with a range of administrative tasks which will include:

· Completing minutes for key meetings.

· Processing of Expenses on behalf of the Senior Leadership Team.

· Arranging room bookings both internally and externally.

· Support with co-ordinating organisation wide meetings i.e., monthly staff meetings, away days, including booking venues and arranging catering.

· Supporting with governance committee cycles, preparing documents and reports as required.

· Provide general administrative support to the wider team as required.

· Taking donations in any of the Weston Park Cancer Charity locations

You will work on time limited ad hoc projects, which could include:

· Creating and implementing new processes, including building templates / documentation / matrixes.

· The build-up to / during and/ or after a campaign / or event.

Cover Support

You will provide cover on the front of desks of both our sites: Cancer Support Centre, Northumberland Road and our Charity Hub, Whitham Road which will include:

· Meeting and greeting visitors including supporters and patients and acting as their first point of contact for any queries.

· Dealing with telephone, email and postal enquiries across the organisation

· During cover period, you may be required to open and close the patient spaces, as part of a wider team rota.

· Booking in and logging patients onto the relevant records and databases to provide accurate data.

· Sending appointment reminder calls/texts/letters to clients as required

· Co-ordinating the Transport service, including supporting and co-ordinating the volunteer drivers.

· Managing the consumables within this patient space and ordering replacement stock as and when required.

Duties and key responsibilities: 

Office Maintenance

• Oversee the general maintenance of the office.
• Manage office supplies by tracking office inventory and replenishing supplies including kitchen and stationery.
• Ensure the office and meeting rooms are well-maintained.
• Manage Sarcoma UK storage, ensuring it is fit for purpose.
• Liaise with office contractors and service providers to ensure the office runs efficiently.
• Assist with office refurbishments, expansions, and relocations.

Administration

• Be the first point of contact for all enquiries to our telephone switchboard and info@ mailbox, responding in a timely manner to all enquiries and delegating across the team where relevant.
• Manage the daily postal system including opening post and recording donations on the finance spreadsheet.
• Managing deliveries to the office and organising couriers.
• Organise travel and accommodation bookings across the whole charity including fundraising events.
• Organise travel, meetings and staff attendance at events including the British Sarcoma Group conference.
• Make any bookings and arrangements for the team that involve financial transactions, for example booking travel, conferences, training courses, flowers for supporters and event purchases.
• Provide meeting room management, including bookings and catering.
• Carry out ad hoc administrative tasks for other departments when requested e.g. fundraising and information send outs during busy periods or absence.

Health & Safety

• Ensure compliance with health and safety procedures, maintaining a safe working environment in the office. This
• Regular health and safety inspections of the office and workstations.
• Carry out regular DSE tests
• Arranging regular PAT tests
• Cary out fire risk assessments (training will be provided)
• First aid assistance and maintain the first aid supplies (training will be provided)
•  Review and update the health and safety policy.

Other

• Support the operations team when required, this will include finance, database, and HR functions.
• The post holder will be working in a developing environment, and they will therefore be required to undertake other appropriate duties as necessary for the efficient operation of Sarcoma UK.

Coram is the UK’s oldest children’s charity founded by Thomas Coram in London helping vulnerable children and young people since 1739. One of the nine members of the Coram group, Coram Children’s Legal Centre (CCLC) is the UK’s specialist centre for children’s rights in education, immigration, community care and family law, and provides significant international legal systems consultancy. The centre is located on the Coram Campus in central London with bases in Colchester and Leeds. We champion access to justice through information and advice, legal practice and representation, policy and strategic litigation. Our Legal Practice Unit provides advice and representation primarily under legal aid contract. Our Migrant Children’s Project promotes the rights of refugee and migrant children, young people and families through the delivery of advice, practice change through training and capacity building to professionals and systems change through research, policy and advocacy.

About the role

This role will provide financial and operational leadership and management for CCLC particularly focussed on the Legal Practice Unit and the Migrant Children’s Project but with support for the Child Law Advice Service and Coram International where required. Managing a small finance team, the role will hold primary responsibility for core financial functions within CCLC including legal aid billing and management and tracking of grant and other charitable funding. Through systematic and efficient financial management, the post holder will play a pivotal role in CCLC’s financial sustainability. The role will act as a key point of contact with Coram’s central finance team and a range of internal and external stakeholders on financial matters.

The role will also oversee the smooth running of the London and Colchester offices through line management of operations and administrative staff.

The role would suit a high organised and efficient business support professional with experience of financial management within the legal or charity sector. In particular, candidates with experience of legal billing and more specifically, civil legal aid billing, would be welcomed.

This is a largely office-based role in order to fully provide support to the finance and operations team. However, some remote / hybrid working may be possible depending the experience of the candidate after the initial settling in period (to be negotiated with the successful candidate).The finance team are split between the London and Colchester offices and the post holder should expect some travel to both locations. The large majority of the legal and policy team are based in London and as such regular (at least twice weekly) presence in our London office will be expected. However, on other days the candidate could be based in the London or Colchester office.

Whilst this is a full-time position, we will consider requests for part-time working (28 hours per week minimum) and we will endeavour to offer some flexibility with days and hours to be agreed.

We are recruiting for an enthusiastic and proactive individual to join our Finance Team in the role of Finance Assistant.

The Finance Assistant supports all aspects of the Hallé’s work at the Bridgewater Hall, the Hallé Venues and concert halls across the UK.

The Finance Assistant works in a department currently comprising Finance Director, Finance Manager, Assistant Finance Manager and Finance Assistant.

The department is responsible for all aspects of the financial affairs of the Society and its related trusts. The Finance Assistant is responsible to the Assistant Finance Manager.

They take responsibility for processing the day-to-day transactions of the company across purchase ledger, sales ledger and the cash book, and ensure the smooth operation of the office. They will also need to work collaboratively with colleagues across the wider Hallé as well as with external customers and suppliers.

The post is full-time permanent based on a 36.25-hour week. Our core office hours are 09.00-17:15, from Monday to Friday. There is an option to work up to 50% of hours from home.

The Role 

An exciting Café Manager position has opened at our Yorkshire Cancer Research Centre, which houses a fully integrated Cancer Rehabilitation Centre, Shop, Donation Centre, Office, and our first-ever Café, named Café Hornbeam. 

We are looking for an experienced Café Manager who will provide excellent customer service, prepare delicious food, and create a warm and welcoming space, inspiring their Deputy Café Manager and team of employees and volunteers to do the same. This role will be accountable for the overall management of the Café, including process and policy adherence and development, and Food Safety. 

Specifically, you will: 

• Uphold and manage café operating procedures and policies, including Food Safety, Allergens, Health and Safety and Trading Standards.

• Manage the product mix, introducing new products where appropriate and maximising profit margins.

• Identify appropriate food and drinks suppliers and build and manage supplier relationships.

• Maintain an up-to-date awareness of developments within the café/food service industry to make or recommend appropriate changes to the delivery of café services and products.

• Manage the Deputy Café Manager and Café Assistants, including supporting them with their continued development, managing rotas and timesheets, providing training and providing appropriate support when needed. 

• Maximise profitability through driving sales and managing and controlling costs, stock, and margins effectively. 

• Be trained as a First Aider and Fire Marshal.

About You 

To be considered for this role, you will need: 

• Proven experience of working in a catering or hospitality role at a similar level. 

• Level 3 Food Safety & Hygiene Certification. 

• Experience in managing staff and/or volunteers including recruitment and development. 

• To be highly organised with good time management skills and the ability to prioritise your workload to meet deadlines. 

• Excellent communication and interpersonal skills with the ability to motivate yourself and others. 

• Strong leadership skills with the ability to coach, develop and nurture talent.

• To be resilient and adaptable to change. 

• To be willing to undertake an enhanced DBS check with children's barred list due to the requirement to supervise and train Cafe volunteers between the ages of 14 – 18 years old.

Salary: £40,000- £44,000 FTE (pro-rata based on hours) depending on experience

Requirements

We are looking to recruit a Head of Member Acquisition and Engagement on a part-time contract. This is an exciting new role that will play a key part in our continued growth and will make a real impact on the teaching profession; we are looking for someone who believes in our mission and the work we do.

Working closely with the Deputy Chief Executive, Associate Director: Partnerships and the Marketing and Communications Manager, the Head of Member Acquisition and Engagement will take a lead on activity related to attracting and retaining our individual teacher members, including developing, rolling out and evaluating recruitment and retention programmes, initiatives and campaigns for current and prospective members. The successful candidate will be confident using data to inform decision-making and monitor progress towards membership growth targets and have the ability to work well independently and within a team.

• Working closely with the Marketing and Communications Manager, planning recruitment campaigns and strategising content and resources for membership initiatives
• With the Associate Director: Partnerships, ensuring join-up between group membership sales and individual member sales
• Promoting and representing the Chartered College to potential members at events
• Working with the Membership Manager to ensure a seamless experience for members from their first interaction with us
• Recording, presenting, formatting and analysing data in a variety of ways to report to colleagues and stakeholders, including against KPIs.
• Performing other activities as and when required to support the wider team to achieve the charity’s goals.

Alongside your main areas of work, you will also participate in meetings and be encouraged to participate in CPD learning activities and training to maintain and develop your knowledge and skills.

You don’t need to have expertise in absolutely all areas, but we’re looking for someone who is motivated by our vision and truly passionate about membership growth and supporting teachers. Systems you would be using include Salesforce, DotDigital, Google Workspace, Zoom, Submittable and Slack.

Experience and skills:

• Experience in a sales or business development role (essential), with experience of membership or subscription sales highly desirable
• Experience working in the education sector (highly desirable)
• Experience of developing, delivering and evaluating sales initiatives and campaigns (essential)
• Strong Excel and data analysis skills (essential)
• Experience of Salesforce or other CRM systems (essential)
• Excellent written and oral communication skills (desirable)
